Aloha everyone! 

 

We're evaluating Salesforce's native Document Processing feature (under the Automations tab) as a replacement for MuleSoft IDP, which is a significant recurring cost for us and which we're barely using relative to what we're paying for it.  

 

  1. To use Document Processing, we had to activate Agentforce Agents. Does Document Processing usage draw from Agentforce/Data Cloud credit consumption, or is it billed/metered separately?
  2. Where can we actually see this consumption in our org? We can't find a clear place to monitor usage tied to Document Processing specifically.

    Document Processing runs as an Agentforce agent action, so it isn't on a separate meter - it draws from your Agentforce Flex Credits (the same metered pool your agent actions use, billed monthly in arrears). Data Cloud has its own Flex Credits for Data Cloud operations, but the agent-action invocation itself is Agentforce credits. 

     

    To see it, go to Setup > Digital Wallet - that's the central, near-real-time dashboard for Flex Credit consumption (agent actions, usage, balances). You won't find a line literally labelled 'Document Processing'; it shows up as the consuming agent's action usage, so read it there by agent/action. You can also add Consumption Threshold Alerts via a Flow to get notified as usage climbs.

Hi Everyone,

 

Need assistance on this one.

 

Is there a way for all automated case actions created through Integration/Third Parties to be assigned to "System" instead of me the SF Admin? I understand through salesforce out of the box case creation Email2Case, Web2Case it'll be assigned to System but Outside of those OOTB case creation paths, the automated actions are being assigned to me.

 

Isn't a show stopper but I rather them not be assigned to me. I have the Automated Case User set to System. Any assistance would be helpful, thank you!SN: These cases are created through Google Form through Zapier

    The reason those are landing on you rather than System is that they 

    are not coming through Web-to-Case or Email-to-Case. They are coming 

    in through the API via Zapier, and API-created records are owned by 

    whichever user the integration authenticates as. If Zapier is 

    connected using your credentials, that is you. 

     

    The fix is to create a dedicated integration user, reconnect Zapier 

    as that user, and the automated actions will show against it instead. 

    Worth doing anyway from a security standpoint, since integrations 

    running under a named admin account is a common audit finding.

Parent Order → Order Line Items  Scenario:  If the total quantity of Order Line Items exceeds 100, send an approval request to a manager.  Questions:  • How will you calculate total quantity?   • When should the approval process be triggered?   • How will you avoid duplicate approval submissions?

    Hi @Rohit .

     

     

    Use a Roll-Up Summary (SUM) on Order to calculate the total Line Item Quantity if the relationship supports it; otherwise, use a Record-Triggered Flow to aggregate the child quantities. 

    Trigger approval only when the total crosses 100, and use an Approval Status/Submitted flag plus an active-approval check to prevent duplicate submissions

Hello! Does anyone have any suggestions on call tracking features in salesforce? We are leaning towards Aircall CTI, but if anyone has any suggestions on something similar and/or better let me know!

 

We want it to be as seamless as possible - our reps make a call in salesforce and it's automatically tracked/notes, states how long the call was etc. and we can report on it.

    I think you'll find most CTI providers have similar feature sets. In addition to Aircall, our clients have had success with Five9, Ring Central, and Vonage.

I’m working on a Salesforce org with several Flows, Apex triggers, and scheduled automations. As the amount of data grows, some processes are taking longer to complete and a few users are seeing delays during record updates. I’d like to understand which areas I should check first, such as Flow design, Apex execution, SOQL queries, or automation order. What tools or best practices do you recommend for finding the main performance bottleneck?

    Hi Matteo , 

    The best approach is to measure first and optimize the actual bottleneck rather than focusing on only Flow or Apex.

    I would start with Salesforce Debug Logs and reproduce the slow record update. Then check:

    1. CPU time – Look for high CPU consumption across the complete transaction.
    2. SOQL queries – Avoid SOQL queries inside loops and make sure queries are selective.
    3. DML operations – Bulkify inserts, updates, and deletes instead of performing DML repeatedly inside loops.
    4. Flows – Check for unnecessary Get Records, Update Records, and large loops. Move queries outside loops and perform collection-based updates.
    5. Apex triggers – Ensure triggers are bulkified and avoid repeated queries or DML.
    6. Automation order – Review all Flows and Apex that execute during the same transaction because multiple automations can contribute to the same CPU and governor limits.
    7. Scheduled automation – Review the volume of records processed and consider Batch Apex or other asynchronous processing for large workloads.

Hi All, 

I'm currently working on a Proof of Concept (POC) for the Data Consumption Framework, but I've encountered a roadblock. It seems I might be missing a step or making an error in the process. Here's a summary of the steps I've taken:

 

Created an Integration Definition (both APEX Defined and External Service Defined).

Skipped the MuleSoft Connect option as we are utilizing other External Services for data retrieval.

As per the documentation, the next step involves passing the Integration Definition to the Integration Procedure. Upon execution, it should return the desired results. However, I'm unclear on certain aspects, especially when creating an APEX-defined integration—specifically, where to set the endpoints and authentication.

 

Any assistance or guidance on this matter would be greatly appreciated.

    Short answer: For an APEX-defined Integration, the endpoint and authentication are not set inside the Integration Definition record itself — they're set inside your Apex.class that implements the DataSource.Load (or VlocityOpenInterface) interface. Inside that class's load() method, you build an HttpRequest and set the endpoint URL there, and for auth, best practice is to use a Named Credential (endpoint = callout:YourNamedCredential/path), so Salesforce handles the token/credentials instead of hardcoding them in code. 

    In the Integration Definition, you only specify: 

    • Type = "Apex Class"
    • The name of the class implementing the interface
    • The request/response JSON structure (so the Integration Procedure knows how to map the data)

     

    Then in the Integration Procedure, you just drop in an "Integration Action" element pointing to that Integration Definition — it calls your Apex class, which handles the endpoint and auth internally. 

      

    If you're using External Service Defined instead, the endpoint/auth is already configured via Named Credential when you set up the External Service itself (Setup > External Services) — no extra Apex needed in that case. 

      

    Bottom line: endpoint/auth lives in the Apex class (or Named Credential), not in the Integration Definition record.

My org recently switched to Lightning - in Classic the subject field for tasks was predictive based on what a user has used in the past. In Lightning this does not work - however, the user can switch back to classic and it will still work. After initial research the only thing I can find is that clearing browser cache ~might~ work. I have seen several places where people are asking about this but there are no definitive answers. Have others ran into this? If so, how have you fixed it?

     You may want to check the Lightning Task settings and browser cache first. Also try testing with another browser or user profile to rule out a local issue. If it works correctly in Classic but not Lightning, it may be a Lightning-specific limitation or bug rather than a cache problem.

Versions of flows in production that were not active were being executed even though they were not active. I deleted the Not-Active versions of flows and problem was resolved.  Anyone ever experience anything like this?

 

For clarity - this was happening both in Debug with option to use latest versions of flows Unchecked and also happening running the live versions of the flows in production.

It would be good if Trailhead Trackers capabilities could

Include available points per badge

How many points a user has earned for each badge

If you complete a badge and it is the revised and extra content is added how you can be made aware

Also could certification and quest data be added so they can be assigned to users without manually creating a badge and then this data also pulled from a user’s trailhead profile

    Hi Dan - the app is Trail Tracker (Salesforce Labs, free on AppExchange). It syncs each user's earned + in-progress badges, points and trailmixes daily via an API integration user, lets you ASSIGN badges/trailmixes, and ships with pre-built reports and dashboards. So 'how many badges/points a user earned' and assigning learning are covered out of the box. 

     

    The specific things you listed are NOT native, though: 

     

    - Available points per badge (earned vs available): it syncs what's earned, not a catalogue of available points - you'd maintain that reference yourself. 

     

    - Alerts when a completed badge is revised or gets new content: no mechanism. Trailhead doesn't surface 'this badge changed' through the sync. 

     

    - Certifications: not synced. Certs aren't badges (they live in a separate system), so it won't pull them - track those manually or via a separate integration. 

     

    - Quests: not a standard synced object either (quests are temporary badge campaigns). 

     

    The upside: Trail Tracker is a Labs app, so you get the objects and code - you can extend it (custom fields for available points, a flow to flag changes, a custom object for certs) rather than build from scratch. Out of the box, though, it's badge/points/trailmix tracking + assignment, not the full picture you're after.
