Anyone else feel like their member data is scattered across way too many places?

Read something that hit close to home: a member says she never got her renewal reminder, the CRM has the wrong date, finance has the right one in a spreadsheet nobody synced back, and her event attendance lives in a totally different tool. Classic "we have the data, just not the picture" situation.

 

What stuck with me was the difference between member

data and member intelligence. Knowing someone hasn't logged in for 90 days is data. Realizing that means they need an actual call instead of another automated email, that's the useful part.

 

Also liked the checklist for actually assessing how fragmented your data is, rather than just assuming it's fine. Sharing here in case it's useful for anyone doing membership ops on Salesforce:

Interesting shift in how associations are approaching fundraising in Salesforce https://bit.ly/45j2Ozh.

Been reading about how association fundraising is changing now that donor expectations look a lot more like consumer expectations: personalized, timely, tied to actual impact instead of generic asks. The part that stood out most: AI can help a ton with things like flagging likely donors or catching lapsed ones early, but only if the underlying data is actually clean and connected. Garbage in, garbage out still applies. 

 

Also liked the point about donation flows living inside the member experience instead of on a separate donation page. Every extra step (re-entering info, leaving the portal) seems to quietly kill conversions.

I was asked to present in my local nonprofit group... of course, I said yes (you should, too)! Things in the SF admin world are so tumultuous and pressured that last couple of years (every discussion group and survey shows admin are stressing about the fast pace of change and growth in scope of the admin role). I felt that a 15-year perspective on things that I've gotten to implement that have stuck and had lasting value. And there is one speculative area (about.... AI, of course) at the end, but even that for me is the fruit of 18 months of off and on again experimentation and work, so I think it's proving value, too.

It's a bit humbling to see 15 years of hard work reduced to these handful of points, but they are highly valuable to the ministry and our constituents and have stood the test of time (except the last one, of course... we'll see, but it's broken even easily in the last 3 months so very promising). 

 

I have promised to do a recorded "screenside" or maybe "poolside" chat in July about my 18 months of AI discovery and implementation, hosted by one or two inquiring Trailblazers.  

 

A bit about how I made this presentation: AI (NotebookLM) constructed the timeline and features in conversation with me grounded in our unstructured implementation documents (a few hundred pages of google docs).  I focused on things that lasted, no detours, no "upgrades" just the working good stuff that added value for the team and our constituents. I then asked AI to make slides (NobeookLM) with some prompting and revision. Then I exported them to Canva where I added the screen shots and hid text that I didn't agree with or think needed to be there. It's not perfect, but it's far better than I would have done unaided.   

 

Hint: start writing down every little project you take on in SF. The data you collect is a goldmine. You can keep is simple: Title/date, user story bullets (what does the end user expect to happen or get better), implementation plans or idea bullets, testing method bullets, screen shots of the key pieces. Nothing more is needed to have a goldmine treasure chest in a year or so! I don't look around my org anymore when I need to pinpoint where something is or when I did it. I ask my documents, "What's the name of that flow I build to xxx? When did I do that? What's the major history of changes?" Then I go to work a bit more informed, memory refreshed, and make a new entry when I get it done! It could be structured data, but why bother.

Is there something on app exchange or something built in for a portal / flow for non-users to sign up to be volunteers and then sign up for shifts on NPC volunteer with person accounts?  So far, I couldn't find anything so I just started building from scratch.  I added the shifts and positions etc., then I created a flow for initial volunteer sign up, then I created a flow for orientation, then I created a flow for Shift Sign-Up.  It took A LOT of work, but I was able to create experience cloud pages for each, create the guest user profile, add permissions to the guest user profile, create a public group to add the staff that work with volunteers, and then I realized you cannot update records with a guest user profile, only create records.  So then I had to create a custom object to create a record with all of the orientation information, change the flow to create those records instead of updating the person account records, and then create a new separate flow to push the data from the custom object into the account object.  I also had issues creating automated emails but I was able to get that figured out by creating templates instead of using the email body within the flow which did not work.  MY PROBLEM IS:  Now that I did all that work, I cannot get the flow that I created to sign up for shifts to work with the experience cloud on an incognito browser with the guest user profile.  I keep getting this error:

Volunteer Portal for Nonprofit Cloud

 

 

Please advise.  It seems like all this work should already be done, or there should be a package I can get or something.  If not, maybe I should build a package once I get this done so others don't have to deal with this!  If someone wanted to help me do it and get it published I would give it away for free.  I just don't understand why there isn't a simple way for potential volunteers to sign up to be volunteers, and then sign up for shifts without having to be paid users.  Thank you!

    The error is telling you exactly what's wrong: `JobPositionShift` is not accessible to the Guest User profile. This is a known limitation with NPC objects and guest user context in Experience Cloud. 

     

    Guest users can't query `JobPositionShift` directly via Flow record lookup. You have two options: 

     

    Option A  Run the flow in system context 

    In Flow Builder, go to the flow's Start element β†’ set "How to Run the Flow" to System Context with Sharing (not User or Guest context). This lets the flow query NPC objects the guest user doesn't have direct access to. This is the quickest fix. 

     

    Option B  Use an Apex-invocable action 

    Create a small Apex class that queries `JobPositionShift` and invoke it from the flow. More work, but gives you finer control. 

     

    Option A is almost certainly your path forward here β€” try that first before touching anything else. 

     

    One other thing to double-check: make sure the Guest User profile has Read access to any custom objects your flow touches, even when running in system context. The flow context handles the NPC objects, but your custom orientation object still needs explicit guest permissions.

Hi Experts, 

  

 In NPC Fundraising, I need a β€œTotal Gift This FY” rollup. However, the OOTB DPE Rollup calculates the summary based on the calendar year instead of the fiscal year.  

 

Has anyone implemented an FY-based rollup using the standard DPE Rollup? Any guidance would be very helpful.

    @Manjula Rajaram Our implementation partner cloned the OOB DPE and calculated the fields to use Fiscal Year instead of Calendar Year.  When it came time to generate end of year tax letters (United States), I needed Calendar Year calculations instead of FY.  Insted of undoing the partner's work, I made new fields and expanded the DPE to write CY data into fields I could use for total tax year giving.   Knowing what I know now, I would leave Salesforce's OOB for Calendar Year and make new fields on Donor Gift Summary for Fiscal Year, then reference Company Fiscal Year data points.

Hi Experts, 

 

  • We have a requirement to show the remaining balance amount on a Gift Commitment when the Schedule Type is set as Recurring.
  • The remaining balance should be calculated using:

      Total Gift Transaction Amount - Total Paid Gift Transaction Amount 

 

  • The issue is that for recurring Gift Commitments, we cannot access all upcoming Gift Transaction records because they are only displayed in the Lightning component.

 Could anyone please confirm whether it is possible to retrieve or calculate the remaining balance amount in this scenario?
