What is the expected mapping behavior of custom Recurring Donation fields to Opportunities when installment auto-creation is disabled

? 

 

For example, I want to map a custom 'Acknowledgment Status' field on the Recurring Donation to the 'Acknowledgment Status' field on Opportunities. If NPSP were set to auto-create the next installment, the Recurring Donation's Acknowledgment Status would get mapped to the new Opportunity. However, we have installment auto-creation disabled. So if the next won installment for a Recurring Donation comes in, say, through an online donation platform, would its Acknowledgment Status be inherited from the Recurring Donation:

  • When it's created?
  • In a batch overnight?
  • At all?
  • And would the Recurring Donation's Acknowledgment Status get copied to all child Opportunities, or just new ones after the field is updated?

    Hi Adam,

    The custom field mapping is applied when NPSP creates an installment Opportunity from the Recurring Donation. 

     

    So if Installment Opportunity Auto-Creation is disabled, NPSP won't automatically create the next installment just to apply the mapping. If an Opportunity is later created by an external donation platform, the Recurring Donation → Opportunity custom field mapping would not automatically populate that Opportunity unless the integration/process creating it explicitly applies the value. 

     

    Also, updating the Recurring Donation doesn't simply copy the value to every historical/closed Opportunity. NPSP's behavior around existing open installment Opportunities can update mapped values depending on the Recurring Donation processing/configuration. 

     

    For an online donation platform creating the Opportunity directly, I'd recommend checking the integration's field mapping or automation rather than relying on the NPSP Recurring Donation mapping.

Hello there, 

I'm working on setting up Files Connect with SharePoint online. 

 

After setup, currently, the External Source seems to be connected and Authenticated (as seen the External Data Sources entry  Administration Authentication Status | Authenticated  

 

However, as a User, when trying to Access the SharePoint, after clicking "Trust" to connect my account, I'm getting the common / Know Issue "Can't access external source. External data source is unavailable because of an error."

The Known issues page proposes two workaround.  

 

I tried No 1, pretty small change in the Setup, but it did not work...  

No 2 suggest to "create an external authentication record for the user"  Is that something that the Admin must do on the Setup or is this something the end User must do?  

 

I'm asking because its confusing. On this Help Page it says  

Before you begin your administrator:

Sets up the external data source or named credential to use per-user authentication.

  • Grants you access to the external data source or named credential.
  • Verifies that your org can connect to the external system.
  • Tells you the authentication settings to enter.
  • Sets up the community, if applicable, by using the Salesforce Tabs + Visualforce template.If the community is built with the Customer Service template, only your administrator can set up and manage your authentication settings for external systems. You can’t complete these steps on your own.

 

Any guidance here is very welcomed

    I know this is a very old question, but just in case it helps someone. The External Data Source should first be granted to the individual user via permset/profile. That is all it meant by the bolded line. 

    User should now see a banner they can follow to authenticate with that data source, or otherwise follow. 

     

    If you get to the point where you are seeing an error like this

    "Can't access external source. External data source is unavailable because of an error" and you are using the Auth Provider approach, it is most likely a problem with the permissions granted on the Sharepoint (Azure Management Console's Web Application ) side. The SF help docs just say "add permissions", but it doesn't work unless you add a specific set:

    • AllSites.FullControl
    • EnterpriseResource.Write
    • MyFiles.Write
    • Sites.Search.All

    if you add all those, then resync the external source metadata and try again it should work

Our org wants to utilize GAU Allocations - but from what I can tell, On the "New Opportunity" form, there's no way to just have a field similar to Primary Campaign Source where you just select which GAU you want to associate the donation with. The only way to do it is after the Opportunity is created, going to related lists in the newly created record and edit the GAU, which takes too long. I imagine this is because GAU has the ability to be split up the amount into multiple Allocations, which is too complex for a simple lookup field, but 99% of the time I just want it to go 100% to one GAU. How can I make this an option directly from the New Opportunity form? I know Campaigns can be tied to a GAU but sometimes we'll have an event where people give to different things, so that's not a solution. Would the easiest thing be to Create a picklist with the GAU options and then a flow that creates a GAU based on the picklist selection?

    I don't have need for this so I've never solved it. An opportunity has one closed date. A payment has one date. GAU offers zero dates.

    If I truly had a one off for this, I would break it into three opportunities with three closed dates and market so that we don't think people for them multiply and try to live with it. If it were an extremely routine thing, I would probably create 3GAU for the funding in different years and make the allocation that way. Reporting would obviously have to be driven by the GAU grouping and not necessarily the year given. I don't think NPSP or Salesforce has a clean answer for this type of thing.

    Even financial folk don't have a great solution. They typically accrue all of it into one account separate out the future part into a liability and then transfer from the liability to current assets one year at a time. That's another option, I suppose. Inner one opportunity with the full amount and make 1/3 GAU allocation to the fund. Create two activities do a year from now and two years from now to allocate more of the Donation to the GAU. In the end, you have 100% of an allocated to the fund and it reports Properly. In the middle, the donation reports properly as a whole donation, but the GAU only gets credit for the "earned" portion. But it's two manuel tasks for someone.

*Using Nonprofit Success Pack, if that's relevant*

 

Reviewing everything about merging contacts, it says that the associated tasks/activities will stay on the final master record.

 

However, when we merged two contacts, quite a few of the associated "tasks" (using E-mail to Salesforce which creates Unresolved Email tasks which are then assigned to the contact) linked to the records completely disappeared. It seems the ones that disappeared were the ones associated with the non-master account. But I thought the activities and tasks from both would be carried over to the master record?

 

I checked to see if the tasks still existed somewhere in Salesforce (thinking maybe they were now not Related To anything) but they were gone.

 

Any clue why this is happening? This org uses Email to Salesforce pretty frequently and losing those correspondences when merging contacts will cause major issues.

I want to move from away from a 'many lists, few segments' to 'one list, many segments' approach to managing supporter email preferences in Campaign Monitor (CM). And in doing so only pay once per subscriber! I also want some users to be able to edit the subscriber email preferences from the Salesforce contact record and have that sync back to CM. 

 

Has anyone built a solution around how to make a synced Salesforce field that relates to a list segment from which data syncs both ways? Beaufort 12 Support explained that due to high processing demands, detailed segmentation information can only be accessed directly within CM. 

 

If I create a dummy segment in CM, can I use that to auto-populate a custom field on the contact record, via SF reports? Alternative ideas are greatly appreciated!

    In my experience, CM segments don’t sync cleanly as fields because they’re evaluated views, so the practical pattern is to store preferences as explicit custom fields (or a child object) in Salesforce and then push those into CM as custom fields/tags, letting segments be built from that.  

     

    If you need users to edit from the Contact record, have Salesforce be the source of truth and run a scheduled bi-directional sync on those preference fields. Skyvia can handle field-level two-way sync between Salesforce and Campaign Monitor, while keeping segmentation logic in CM where it belongs.

Can anyone share best practices of importing an ASL report from Salesforce into Quickbooks? It has been recommended to me that we use Import Excel | Google Sheets | CSV - Business Importer to assist in getting the CSV file imported. I believe part of the issue is mapping the custom fields created in Salesforce over to Quickbook Online and having them be recognized to complete the import.

 

Does anyone have experience using this app? Or has anyone found a better way to get spreadsheet with the custom fields imported into Quickbooks?

 @Keizra Tyson-Griffin and I are looking for some recommendations. Any assistance is greatly appreciated.  Adding @Salesforce.org System Administrators to the chat. Thx

    I’ve dealt with this when moving Salesforce reports with custom fields into QuickBooks Online, and the main challenge was always how QuickBooks handles custom fields on import. What worked better for me than generic CSV importers was using an integration layer like Skyvia, where you can explicitly map Salesforce custom fields to the right QuickBooks objects.

Has anyone tried to bulk update gift commitments : amount or frequency ?

Like how am I supposed to massively update these records ? Because creating a new GCS, modifying the existing GT update the Currenct GCS on the GC and doesn’t seem the correct way to go nor does it properly working

    I am curious if you figured out a solution, since this matter was raised in February. Can you share your solution? 

     

    If the problem remains, I’d like to better understand your situation  by having you answer a few clarifying questions: 

     

    1. Are you trying to update existing gift commitments directly on the Gift Commitment object, or are you updating them via the related Gift record? 

     

    2. When you mention “creating a new GCS and modifying the existing GT,” are you referring to using the Gift Commitment Schedule (GCS) related list or a custom automation/process? 

     

    3. Approximately how many records are you trying to update at once, and are you looking for a point-and-click solution (like Data Import Wizard/Data Loader) or are you open to Apex/data manipulation tools?

    For this kind of forecasting you’ll want an integration that can bring QuickBooks estimates into Salesforce and tie them to Opportunities, so the probability weighting works. Some teams go with AppExchange apps dedicated to Salesforce-QuickBooks sync, others use middleware to handle the mapping more flexibly. If you don’t want to manage custom code, Skyvia is worth a look. It can connect QuickBooks Online and Salesforce, sync estimates and opportunities, and keep the data ready for forecasting without manual exports.

 We have a requirement to import constituent data into a fresh Nonprofit Cloud (NPC) org. The data provided includes multiple phone numbers and email addresses for each constituent. I am planning to leverage the standard Contact Point objects mentioned above; however, I don’t see them available in the org. This is my first time working with nonprofit clients and a Nonprofit Cloud implementation. Any guidance or best practices you could share would be greatly appreciated!

Hi everyone,  

 

We currently use Gravity Forms on our WordPress website to allow volunteers to sign up. One issue we’ve encountered is that support workers from charities sometimes allow their clients to use the support worker’s email address to register—likely because the clients don’t have their own email addresses. 

 

This creates a data integrity problem. We have automation in place that checks if a contact already exists (based on email) and updates the record if it does. But in these cases, multiple individuals are signing up with the same email, which causes the system to either overwrite existing contact data or fail to create distinct records.

Since this happens at the point of form submission, Salesforce validation rules don’t help, as they don’t prevent the issue from occurring in the first place.

I’d really appreciate any suggestions on how to improve this process. Specifically:

  • How can we prevent or better manage multiple signups using the same email address?
  • Are there any Gravity Forms add-ons or customisations that could help us flag or block duplicate email usage at the form level?
  • Could we implement a secondary identifier (e.g., phone number, unique ID) to distinguish individuals even if they share an email?
  • Are there any best practices for handling signups from individuals without email addresses, while still maintaining automation and accurate syncing with Salesforce?

    My personal experience ... Gravity Forms is a pain in the butt, and it's hard to get good results from it. If you could switch to Form Titan or FormAssembly or something like that, you'd have a much better time in general.   

     

    If I had one of those tools, I would allow a group signup. Then the group registration could have a primary contact, and all of the other volunteers could be parented under that contact. Then create a separate custom object for registrations.  

     

    Side note -- My preferred method for handling forms in general (even with expensive form tools) is to integration to a custom object in Salesforce, and then use Salesforce Flow to manage everything else.  

     

    So for your situation, the solution could look like: 

    • Custom Object: Form Submission
      • RecordType: Gravity Forms - Volunteer Registration 
      • In addition to the form fields, also create a 'conversion status' field. And then run asynchronous or nightly automation to create Contacts where necessary. This would give you full control over the conditions. The 'conversion status' would change to complete if a contact was created successfully. You could even create a queue of records where conversion status is set to 'manual review' by the Flow due to conflicts.
