I wanted to share a recent guest post on a topic that often comes up in more complex implementations: migrating Salesforce Knowledge across environments. 

 

Salesforce Knowledge is straightforward to author and consume. When set-up properly, it is also very powerful in helping to create personalised, customer-centric experiences; especially when tied into other features, such as Agentforce. However, moving Knowledge Articles between orgs often introduces a number of challenges, such as:  

 

  • Articles are data, not metadata (meaning deployment must be handled separately)
  • Embedded images can break
  • Versioning and publishing states require careful handling
  • Data categories may not align, etc. 

Salesforce doesn’t currently provide a native way to migrate Knowledge articles while preserving their full structure, which can make this particularly challenging in multi-org or governed environments.

I am curious how everyone is using the Knowledge Base within their organizations. Do you have any guidelines you can share in terms of what content you recommended to be created into Knowledge Articles v. what should not be one? Would love to hear recommendations from others on this topic.

I have made a sandbox and want to move knowledge articles from production to sandbox. Which objects do i use to fetch records and in which order? Currently i am getting an error on knowledge_kav object.. that a column is missing. Although there is nothing like it.

Any more tips for this task.

I have one existing experience cloud site on which kb artiles populate when user search, and they are listed under data categories. Also there is embedded serv deployment component a chat feature implemented using agentforce.

Now i want to make another experience cloud site havig functionality but i dont want the different articles to populate here. The data categories associated with first experience cloud should not appear in this one.

How can i restrict the exp cloud search?

For data categories, i think i can either use tooics, create them in workspace and associate the articles with topics in workspace-> content management. But i dont know how to configure the search?

Hello All,

 

Need help/ deck/ content with Salesforce Service Cloud offerings on Service Console, Email to case, Web to Case, Live Agent (Chat), Knowledge, Omni Channel. Have to present to a customer. Trying to collate the best of the minds out here.......PLEASE share.

 

Please help........really looking fwd. to get some deck/ content that any of you may have.

Hi All,  I'm having an issue with Knowledge visibility. I have two groups of users who are using Knowledge, and they should not be able to see each others' articles. This is how I have it set up:  

 

  • Roles: No Data Category Visibility 
  • Profiles: No Data Category Visibility 
  • Default Data Categories: None 
  • Permission Set A: Data Category A 
  • Permission Set B: Data Category B  

 

Currently, regardless of the above settings, all users in Group A can see Group B's articles, and vice versa. I'm testing this with articles that have the correct data categories populated. What am I missing here?    #Service Cloud #Knowledge Articles #Lightning Knowledge

    Your salesforce Instance might be using Standard salesforce sharing rather than visibility based on data categories. you can change that from knowledge settings.

Hello,

 

I created a Help Center Experience for our final customers (guest users) to have access to our public knowledge article.

 

I created Topics, Navigation and featured topics using Content Management, but when i go to Article Management, it's empty. I might have missed something in the setup somewhere. Can you help?

    Hi I think I understand what you mean now that when viewing the articles through Workspaces > Content Management > Article Management you don't see any articles.  If this is this without changing any filters I would agree it's because the article may not be published. Or are you using data categories to partition the database?  If so I would recommend checking this article : https://help.salesforce.com/s/articleView?id=000387727&type=1

Hello everyone,

I've been trying to find an answer to this but I seem to be searching for the wrong terms because I can't find any help for my problem.

 

We have established our Knowledge Base within casavi and created an Experience Cloud Site for it.

Now we are running into the problem that our displayed articles contain all the fields that we only want to have displayed internally like article record type, created by and so on.

 

I tried to change field level securities for these fields but they cannot be edited. Is there any way to hide such fields so they are not visible on the Experience Cloud site?

 

I'd appreciate any help or links to further information.
