Sarah Bonthuis: Q: We implemented pardot about a year and a half ago and ever since then we've been having conversations and fighting this idea that we picked the wrong platform because our different teams ant to email different email addresses, someone who gets books from us OR they could be an exec and want to use different emails. We've had so many convos about this issue across all different platforms and highlight the gains but its a perception issue, but also whats a real, solid way to make something happen without having two different data bases, or ex keep MailChimp for one off emails... ANY ADVICE! 

  • A: Chris - there was a product called Common Ground where you could email any address field in the org but this was killed by Blackbaud. Pardots connecter has lots of restrictions, its not the most powerful salesforce tool.
  • A: Toby - I'll answer part of the question - something thats been good about Pardot is the introduction of the marketing on core, the next products, theres a lot of inoperability thats freed up lots of options there, talk to a marketing cloud professional who can help you navigate this, there are more options now then there were a few years ago.
  • Comment - is there any tool that doesn't consider email a unique identify? Not that we know of. most consider 1 person = 1 email. 
  • A: Emma - can you pull in alternate email - 
  • Overall Sarah - this is not your issue this is a fundamental email issue.

Q: Samuel from Atlanta: about 3rd party tools for specific agentic AI use cases - without starting with Agentforce - are there 3rd party tools that you recommend that we can start building with. 

  • A: Chris - when folks start talking about AI... I want to triage the question. How are you using AI? Ex. HR vs. Sales vs Chatbot - what is your use case? IF you are an org that just wants to start with AI, don't just add a chatbot at the bottom right corner of your website. Think about REALLY SMALL use cases, where the risk of the data being wrong is low. For example: use case where someones job was googling people to ask for money, can use AI for this. If its something you can do on the core platform WITHOUT AI, start without, then think where are the places where is there unstructured data where you could bring value. How do you pull this data into business processes. 
  • A: Toby - missed opportunity - is to get this in the hands of the people to grow familiarity - so when you ask about 3rd party apps, think about agents in other apps and ISV products, I think this is a great place to learn from because they are looking at discrete use cases and innovating rapidly. You have this AI hammer you want to use, what is your nail? Think about what you want/need to use AI for and build comfort and familiarity.

Q: Climate Lead: from a total AI newbie - our org is at the very beginning of our AI journey. Were getting the question: how could we connect AI to Salesforce. Ex connecting to google drive, I want to summarize engagement with prospects. or tell me all the people who are interested in horses within this range of addresses who are the most influential people to come to an event, kind of examples. Went to their AI with the summarizing question - AE said they would use Slackbot for that. IF we let employees do that, what are the risks? Slackbot or other tools? Gemini access to Salesforce? Or are there better ways?

  • A: Toby - no. But, when you asked your AE... I kew the answer you'd get. Folks using Slackbot in an integrated system is blown away by that. That's a place to explore and get comfortable with. 
  • A: Chris - yes, Slackbot is cool and impressive. The #1 biggest thing - lots of tools connecting chatgpt to org, the reason that people use Agentforce is because there is no safe way to send that data without having the tooling between the data and the agent, thats what you're paying for. You can ask Agentforce to use gemini behind the scense.
  • A: Laura - would ask Claude to answer this for me! I use Claude for METADATA, NOT DATA. 
  • Follow-up Q: should we be concerned with data of Slackbox? 
  • A: Chris - I would feel more comfortable using Slackbot vs others.

Hi! Thank you for hosting today’s session. Our org is looking for a new form builder for event management. We’ve been using Formstack and Jotform, but we faced some difficulty to create a complex form that deals with flight booking and accommodations and integrate with our custom app that we created in NPSP. Any recommendations? Form Assembly and 123forms caught my attention, but wanted to ask some advice.

  • I have been having a good experience with 123FormBuilder, but there is a learning curve.

  • I believe 123FormBuilder can only do prefill from Contact and Lead.
  • We use form assembly and have had good experience with them. Their tech support is very good, in my opinion. A lot of flexibility with prefills.

I am wondering about Benefit Sessions in NPC. I have sessions that are scheduled weekly, but the nonprofit only facilitates these sessions and the other parties set them up. So I'm wondering if I can set a session that encompasses a week, and then the attendance reporting for that week could go in to that session, with different dates depending on when the service was provided? I don't think I have to use Benefit Sessions, though, so maybe just go with the individual disbursements?

Does anyone have a suggestion or tips for developing an inventory management system? (context: Plant Nursery)

  • Inventory Manager for Nonprofits - Salesforce Labs. This is free, maybe you can adjust to your needs
  • Inventory, Asset & Barcode Management by ELTON. This is a paid app, has a few more reviews on the app exchange
  • @Bill Florio uses salesforce assets for tech (ex computers) plants might be more volume intensive
  • Can map out what you need (ERD) ex. type of plant? write out your processes, are you going to need automations? ex when plants are used, what does the workflow look like, get this mapped out
  • Maybe start with the salesforce labs app - start in a sandbox, does this work or do you need to start something custom?
  • Also make sure its appropriate to put this in your CRM at all - do you NEED to put this all in?
  • there might be other tracking apps that are better, like nursery tracking apps

Reporting q: Any best practices around pulling a household/accounts hard and soft credit giving? Struggling with pulling DAF gifts for donors as a part of their overall giving since this is only linked on the contact level as a soft credit and since payments are not related to contacts. My most recent use case to query on my contacts who have given a *paid (donor, household member or soft credit) cumulative $1k to a specific GAU in a specific FY. Rollups needed? (on NPSP)

    I see this a lot too.

    Many smaller orgs want AI in Salesforce, but the budget only supports very

    focused use cases.That is actually why I started building a lightweight

    Lead / Opportunity summary workflow -- just to help users scan records faster

    without a larger Einstein rollout.

1. Formula Fields & Spanning Relationships

Attendee:

“Can you explain why we’re hitting spanning relationship limits in formula fields, and what alternatives we should consider?”

Panellists:

They explained that this issue commonly occurs when formula fields reference other formula fields, which can quickly breach Salesforce’s spanning relationship limits. As an alternative, they recommended moving complex logic into record-triggered Flows, which can reduce dependency on formula chains and help avoid these system constraints. 

 

2. Leads vs Custom Objects for Fundraising

Attendee:

“Should we be using Leads in Salesforce to manage fundraising activity, or is there a better approach?”

Panellists:

They advised caution when using Leads for fundraising. In many nonprofit contexts, donor relationships are ongoing and don’t fit neatly into the standard Lead lifecycle. They suggested using custom objects or reporting directly by Contact to better reflect fundraising activities and supporter engagement over time. 

 

3. Donor Data Management & Fundraising Pages

Attendee:

“We struggle to track fundraising pages for challenge events as they move through different stages. How are others managing this, especially when linking platforms like JustGiving to Salesforce?”

Panellists:

They acknowledged this as a common challenge. While Salesforce offers standard tools such as Campaigns and Leads, these often require customisation to work effectively for fundraising journeys. They discussed using custom fields, objects, and tailored automation to better track fundraising page statuses and relationships to donors and campaigns. 

 

4. Supporter Data Integrations

Attendee:

“How are people handling integrations between external fundraising platforms and Salesforce without creating duplicate or mismatched supporter records?”

Panellists:

They shared experience integrating Salesforce with Enthuse, explaining the use of unique identifiers and Flows to reliably connect supporter records between systems. It was noted that this approach helps maintain data integrity while supporting ongoing fundraising activity.

Another attendee example referenced Move Data handling initial record linking, but experiencing difficulties with managing fundraising pages before they go live. 

 

5. Custom Fundraiser Object Approaches

Attendee:

“Has anyone built a custom solution to manage fundraisers and fundraising pages more effectively?”

Panellists:

They discussed an example using a custom Fundraiser object, combined with native Salesforce integrations. This approach supports both automated and manual fundraising page creation, while maintaining strong links between fundraisers, donors, and campaign records. 

 

6. Move Data Documentation Challenges

Attendee:

“We’ve inherited undocumented Move Data customisations. What’s the best way to deal with this?”

Panellists:

They recommended contacting Move Data directly to request any existing documentation or historical context around the customisations. Undocumented changes can introduce long-term risk, and additional vendor support may be required to fully understand or refactor the setup. 

 

7. Recurring Donations Changelog

Attendee:

“In NPSP, changes to recurring donations don’t seem to update the effective date in the changelog. Is this a bug?”

Panellists:

They suggested this could be a Salesforce issue rather than a configuration problem and recommended raising a Salesforce support case to investigate further, particularly if the behaviour is consistent and reproducible. 

 

8. Salesforce Certificates & Security

Attendee:

“What’s the real value of Salesforce certificates, and when do they actually matter?”

Panellists:

They explained that certificates are used to verify trust between cloud instances and enable secure integrations. While they can seem abstract, they play an important role in maintaining secure data exchange. The discussion referenced an upcoming user group session led by Lawrence Newcombe

, which will cover Salesforce security topics in more depth, including certificates. 

 

9. NPSP Support & Future Planning

Attendee:

“With NPSP development stopped, should organisations be worried about support ending?”

Panellists:

They clarified that although active development on NPSP has stopped, it is still supported by Salesforce, and no end-of-support date has been announced. Organisations were encouraged to stay informed and consider long-term migration strategies, but not to assume immediate risk.

1. Agent Force Studio

Attendee:

 

“Has anyone activated Agent Force Studio yet, and is it safe to enable in production? Are there risks around unexpected credit usage or contract implications, and should this always be tested in a sandbox first?”

Panellists:

 

They advised enabling new features in a sandbox first wherever possible. Agent Force Studio in particular can have contractual and consumption implications, so it’s important to understand your master service agreement and any usage-based limits. One panellist shared that they had enabled it directly in production and did not see significant credit consumption, but still recommended working with a knowledgeable partner and getting expert guidance before rolling it out widely. They also suggested consulting a specialist familiar with Data Cloud and Agent Force for deeper architectural advice.

 

2. Email Deliverability & DKIM

Attendee:

 

“Google’s new sender rules are affecting our Salesforce email delivery. What’s the correct way to set up DKIM, and once it’s active, is it safe to disable ‘Enable Compliance with Standard Email Security Mechanisms’ and ‘Enable Sender ID Compliance’?”

Panellists:

 

They confirmed that DKIM should be fully configured in both Salesforce and DNS, and validated using a DKIM checking tool. Once DKIM is correctly set up and passing, it is generally safe to turn off “Enable Compliance with Standard Email Security Mechanisms” and “Enable Sender ID Compliance” in Salesforce, as these legacy mechanisms can interfere with modern authentication. They shared reference material and recommended testing carefully before making changes in production.

 

3. Task Assignment Notifications

Attendee:

 

“When a task is assigned to a user, is there a standard Salesforce setting that sends an email notification automatically, or do we need to build this with Flow? How reliable is the standard notification if users can turn it off?”

Panellists:

 

They explained that Salesforce does have a standard task assignment email notification, and it has a clean, well-formatted template. However, it is controlled by individual user settings, meaning users can disable it. Because of this, organisations that need guaranteed notifications often implement a Flow-based email instead, which cannot be bypassed by user preferences.

 

4. Flow Query Limits / Subflows

Attendee:

 

“We have a subflow that runs multiple ‘Get Records’ elements and is hitting query and buffer limits in large batches. What’s the best practice for consolidating lookups and avoiding governor limit issues?”

Panellists:

 

They recommended reducing multiple record lookups into a single “Get Records” element wherever possible and pulling back all required fields in one query. This avoids repeated database calls and significantly reduces the risk of hitting query and buffer limits during bulk processing.

 

5. Bulkification & Performance

Attendee:

 

“For high-volume processing, is it better to bulkify record queries in Flow, or should we move this logic into Apex actions? How do CPU limits factor into this decision?”

Panellists:

 

They advised bulkifying wherever possible, using filters to reduce the number of records processed. However, they cautioned that Flow can still hit CPU limits with very large data volumes. In those cases, Apex actions—written to be bulk-safe and loop-efficient—can provide better performance and control.

 

6. Campaign Influence Models

Attendee:

 

“Our org has a custom Campaign Influence model set as default, but new influence records are still being created against the standard model. What could cause this, and are there known fixes or configuration resets to try before raising a support case?”

Panellists:

 

They noted that in a correctly configured org, new records should respect the custom default model. Suggested steps included toggling the default model from custom to standard and back again to force backend recalculation, checking for historic data conflicts, and testing whether automation or legacy settings were interfering. If the issue persisted, they recommended logging a Salesforce support case.

 

7. Email Sync in Lightning

Attendee:

 

“Is it possible to automatically sync only selected emails into Salesforce, rather than an entire mailbox? What are the risks and limitations of Einstein Activity Capture, especially around confidential data and GDPR?”

Panellists:

 

They explained that Salesforce cannot selectively sync individual emails; it syncs entire mailboxes. Einstein Activity Capture does not provide fine-grained content filtering, which raises GDPR and confidentiality concerns. They stressed the importance of sandbox testing and governance reviews before enabling any automatic email capture.

 

8. Excluding or Removing Synced Emails

Attendee:

 

“If we enable email sync, can we exclude certain domains or delete individual emails from Salesforce afterwards, and what governance controls should be in place?”

Panellists:

 

They confirmed that certain domains can be excluded and that emails can be deleted after syncing, but warned that this requires careful policy design. They also advised against enabling full contact syncing between Outlook and Salesforce due to risks of data overwrites and compliance issues.

 

9. Volunteer Sign-Up Forms → Salesforce

Attendee:

 

“What are low-cost or no-cost ways to capture volunteer sign-ups from a website (e.g. Wix or Google Forms) and get them into Salesforce automatically? Are tools like Web-to-Lead, JotForm, Zapier, or 

Make.com suitable for this?”

Panellists:

 

They outlined several options:

  • Native Web-to-Lead forms combined with Flow for processing and routing
  • JotForm, which offers a free tier and direct Salesforce integration
  • Automation platforms such as Zapier or Make.com for connecting Wix or Google Forms to Salesforce

They suggested starting with the simplest native approach where possible, and piloting third-party tools on a small scale before wider rollout.

This is a question from the August 16 Nonprofit Ask Me Anything sessions - I am relaying the question asked live in the session + the resources the hosts shared as a follow-up.

 

Mine is mainly about using Case Management for organisations - we have a service where we match people with Down's Syndrome with potential employers and so would potentially treat each as a case (potential employee case, potential employer case) and then link them for a role. any thoughts on using case management vs bespoke config?

QUESTION: Regarding NPSP Workflows — who is responsible for migrating to Flow? me or SF?

QUESTION: What is the most effective way to log an email as an activity on a contact record while ensuring the email content is visible only to specific user profiles? If this cannot be accomplished without additional Salesforce products, are there any recommended free or low-cost AppExchange solutions to achieve this? The primary goal is to track previous conversations between Foundation staff and potential planned giving donors, enhancing cultivation efforts and building stronger relationships to increase the number of donors participating in planned giving opportunities with our organization.

QUESTION: We are a small nonprofit with about 250 members. Our chapter is part of the Texas Master Naturalist™ state program. We do environmental service, education, and outreach. We have an account with Salesforce for Nonprofits and need help to convince our board that adopting Salesforce is our best path forward. We use Slack to run our chapter. In addition, we use Mailchimp, SignUpGenius, and Google for Nonprofits. Can you suggest a presentation that will help us make the case? I understand that Slack integration will improve, and Salesforce can replace Mailchimp and SIgnUpGenius, saving us money. Thanks! (Using NPSP).

 

QUESTION: Is there anything on the roadmap to allow Agentforce to view the new Fundraising objects for external portal users? Currently, access to these objects is granted through a permission set, but the permission sets cannot be assigned to the Agent user.

  • Not sure! I’ve relayed this internally and will share with more if I hear back, stay tuned.

QUESTION: We currently have an open text field to describe opportunity restrictions but need something more robust and reportable. We're looking into using General Accounting Units (GAUs) in NPSP but want to make sure we can report the information we need back out, including being able to report on GAUs at the payment level. I see references in the Salesforce materials to the possibility to configure GAUs at the payment level, but we're struggling at bit to do so. Any GAU tips, especially payment-level GAUs?

  • Here's a link to the NPSP ERD (data model) where you can visualize how these objects (GAU, payments, allocations, etc.) relate to each other

  • There is a way to manage GAU Allocations directly on payments instead of opportunities. You have to turn someone on in setup. I’m trying to find the specifics.
  • There is not right or wrong way to do this in salesforce... it depends!
  • Comment from the chat: Will always recommend Apsona. While pricing has gone up, it is the swiss army knife of Salesforce for a lot of things.

QUESTION: Just to clarify, when workflow rules and process builder are retired Dec. 2025, the built-in workflows in NPSP package will still work, but will no longer be supported/improved/fixed if they break in the future? So the best recommendation is to manually rebuild each of these into flows in order to future-proof our org?

QUESTION: I'm curious how people are using Data Cloud in relation to fundraising, especially as it relates to marketing segmentation.

QUESTION: Is it better for us to use Nonprofit Cloud instead of NPSP?

  • If you’re a small org and using 10 free licenses, use NPSP for small orgs - its longer tested, its easier to set up.

Hi there! We use NPSP. Hoping to get some guidance from the community about best practices around entering over/underpayments on pledge payments in Gift Entry. It seems like NPSP only likes payments when they are the pretty *exact amount :) and not messier other circumstances.

I work with a very small nonprofit organization and am self-taught on Salesforce. We are using NPSP currently. What is the difference between NPSP and Nonprofit Cloud?

What are the improvements - what are the big benefits (of Nonprofit Cloud)?

If youre a small nonprofit when would you consider NPC?

  • Hosts saying they would not recommend NPC for small nonprofits right now (but it really depends on each organisation!) dont forget that NPSP is functional and will continue to be functional. See @Michael Kolodner's recent blog about the future of npsp.

Hi There Everyone, thanks for hosting! My question is more around Reports and Dashboards. Our Executive team wishes to present metrics in a specific manner but from what I understand, there are limitations to different chart types. What workarounds can be used for native SF features instead of being sold Tableau or Data Cloud. I can explain more off mute if needed (didn't want to write a novel lol)

  • There are limitations to salesforce reporting so don’t feel responsible for those limitations!
  • CRM Analytics
  • Apsona + Weekly Demos
  • PowerBI is a Microsoft alternative - learning curve, but directly connects to Salesforce Objects and has amazing flexibility / visuals.
  • go to the appexchange and search dashboards

Sticking with the theme of reports, how would I generate a report of number of donors per month. I have tried to implement the unique count feature, but it isn't coming up as an option.

  • think about what is your base report type = accounts with payments you can do for a single period of time, but you should be able to do report type with opps and if you inclue accoutn as a column then you can do unique count on accoutn and then group by closed date and then group that by month and that should give you the chart you need. Do straight opportunity.
  • Relative dates are super helpful when creating reports.
  • Did I get this right @Erica Cox? Anything else you'd add?^

Activities logged on a contact record, created a report with contacts with activities but can see only current years not past years activiteis/ are there any limtiations to activities?

  • activities get archived after a certain amount of time, thats why they arent showing up inyour report
  • It looks like it is archived 365 days per this post.

Cant add a text field more than 250 characters? or whats the work around to that?

  • is activity meeting the need here? does this note make more sense in a chatter post or another notes object? if theres this much effort in a note are you ok to lose them when its archived?
  • Or an external doc
  • Drive Connect, can link google
  • This addresses a hack for activities with longer notes.

Best practice for recurring donations and dealing with gaps or changes?

I'm trying to process gift batches on nonprofit cloud. It seems that it can only process one batch at a time. I can increase the volume to about 5 with a loop, but even if I use queued apex, I'm restricted to 5.

What is the advantage of using gift commitment schedules over a series of unpaid gift transactions? We are working with a client who is concerned about maintaining data between both records for their custom GC schedule.

  • The biggest limit is if someone wants to hone some sort of automation... it depends!
  • In Winter 25 there is soft credit inheritance
  • Be careful when you're throwing out parts of the implications of the standard data model
  • Hard to know what might get lost - whats the risk of not doing this
  • @Dar Veverka not sure if I got down what you were saying correctly, please add any other context I might have missed!

  • If you put a $0 payment for your in kind what would happen?
  • Go in to npsp settings and turn on payment
  • If its type, in kind, a flow to make it a $0 payment

  • You have not made a mistake its just how it works! :)

Hello everyone, So I am a Salesforce Admin in the job hunt right now, I am wanting to navigate in the Nonprofit sector, I will like to get a little orientation towards navigating towards it.

What are the feelings about using Person Accounts only in NPC vs. a mixed model (e.g. Person Accounts for donors vs. Contacts for folks who are only a contact at a foundation or corporation)?

  • Some say, Dont do it.... its a bad end user experience if someones going to have to remember if its a person account or a contact
  • If youve got ANY PAs, go ALL PA,
  • Another idea, could work - what are the reasons,what ware you tracking
  • REALLY DEPENDS
  • Others say, setup can be biforkated 
  • Overall, dont confuse the. endusers, what does the UI look like to encourage the action

Ninja Form - challenges with the Salesforce Integration

  • Advice being requested on challenges with the Ninja Form Salesforce Integration - much documentation is from 2017 and makes reference to not supporting custom domains
  • Suggested checking the setting for 'prevent login from test.salesforce.com or login.salesforce.com is not enabled as this could be causing the challenge: see this help article 

How can I reorder Campaign Member Statuses?

  • You cannot do this natively in Salesforce - see this Salesforce Idea which also includes a workaround for using workbench or dataloader.

We are looking to integrate with 123FormBuilder - is this is a good solution?

Anonymisation of Contact Data

  • Discussion around when contact data should be anonymised.
  • Feedback was that it depends on your data protection policy and that needs to be decided before the 'tech' side.
  • Highlighted that if contact data is anonymised under GDPR then backups should be too.
  • Ensure you document decisions around anonymisation so that it's clear and that all rationale can be explained in case of queries from the data subject.

Is Mailchimp the best option for email marketing for a small charity? (the charity already uses Mailchimp with the legacy integration to Salesforce)

  • Suggested that for 1,500 contacts, Marketing Cloud Account Engagement (Pardot) or Marketing Cloud would potentially be too big.
  • Suggested Campaign Monitor as an alternative, if they were looking at other options
  • Discussed the Beaufort12 integrations for both Campaign Monitor and MailChimp
  • Suggested HubSpot - as that can integrate with Salesforce
  • Suggested ActiveCampaign
  • Martin discussed how some organisations select the email marketing tool and then pay for development to connect rather than use a marketing tool which already integrates well - look at the integration as part of your product selection

    We use Adestra Message Focus for sending emails from our Campaigns - this tool integrates with Salesforce so we are able to create the Campaign in SF then link it to Message Focus to send the emails. The status shows on each Contact record which is linked to the campaign - e.g. Sent, Click, Read.

     

    I'm not sure of the costs but they do work with charities
