Commons Project: PMM + V4S

Archived. A Community Sprint project group to draft a recipe doc to connect Program Management Module (PMM) and Volunteers for Salesforce (V4S) open source products! PMM and V4S users have asked for guidance and a recipe guide to see how others are connecting these two open source app’s where and when it makes sense. Has anyone implemented NPSP Program Management, and used it in conjunction with V4S (Volunteers for Salesforce)?

V4S uses Campaigns (the "old way" of doing programs) to drive volunteer recruitment and onboarding.   My customer's need is more sophisticated: 

- they recruit volunteers directly from institutions (schools, universities, businesses), and need to plan and manage each of these engagements

- the volunteers can also attend classes on things like public speaking, first aid, etc, which are managed as Programs (with sessions, participants and attendance)

- they have a standard set of tasks that need to be completed during volunteer onboarding (such as police checks, passport checks, etc), and they run sessions to train up volunteers before they can go out to the field

- and then the volunteers need to be assigned to actually do the volunteering work, which is managed as Programs

So it seems that recruiting and training can be done with Program Management.  Onboarding can use either Engagement Plans or Sales Process + Path (I'm leaning toward Engagement Plans).  Then V4S manages the volunteering jobs and shifts.

Does that make sense?  Any thoughts?

    I use both V4S and PMM, connecting the two platforms through various objects with lookup fields. We lean more heavily on PMM as it seems more robust and relevant, but certain features of V4S like mass emailing, making mass edits, and volunteer job and hour records have come in very handy when tied to programs/program engagements/contacts, etc...  I agree though, that some features of V4S definitely seem out of date, however.

We are looking to use V4S and also considering PMM. If I'm not mistaken there was a discussion not too long ago about replacing V4F. I have not seen any recently new features for V4F and also V4F is not leveraging all the new standards that Salesforce is using. 

 

Does anyone know if there is a sunset date for V4F or what the plans are for the future? As far as they are known of course. Thank you!

    To @Elizabeth Smith's question - V4S does allow for Volunteer Hours records that aren't attached to shifts, and that can be a good option if you just want to track service and such. However, the web signup pages are built around the shift lookup, so it would mean manual updates (or custom setup).

     

    Your budget will be a big deciding factor in volunteer tools. I haven't heard of any beyond V4S that are free, and that becomes a big deciding factor for many organizations.

GitHub Help Needed!

 

In preparation for the PMM + V4S mini sprint (register here) we are looking at using Metecho!

 

Metecho will also to manage our project development declaratively (for the most part). That is where are looking for support in managing the GitHub side. Here have some experience with managing branches and branch merging is needed. You don't need to be an expert and you don't need to fully know this project!

PMM + V4S Mini Sprint Time!

 

Thanks to pushes from some of you, @Sandra Prieto​ and I are hosting a mini sprint for the PMM + V4S project! We will be building off of our great work from last sprint.

    I signed up for the mini sprint but got my times wrong and I have a conflict for the first hour. I would still be interested in participating though. I am happy to pop in late, possibly after the lunch break so no one needs to waste too much time catching me up.

Switching from a custom program management build to PMM, but bummed that V4S would still be a separate process, duplicating many efforts to document volunteer sessions on top of program sessions. Any one using both efficiently?

Hi all, curious about a few things and wondering if the collective wisdom of the Hub has some best practices to share.

1. Downsides to creating new Program records annually. I do understand how cohorts could be used to make this distinction; however where there are clear start/stop dates (summer classes for example), Service Schedule really (in my mind) should be the child of Program Cohort, and I want to see what Services are offered to each Cohort as well as that may change over time (A,B,C offerings last year, but this year A,B,D,E,F are available). Clearly I can move page layouts around and create additional relationships (or even objects), but wondering if other folks have gone the route of creating unique Program records. The main downside I see is that you would need to ensure units of measurement stay the same YoY, and create a way to bundle together Service records for reporting (i.e., I want to view a report that aggregates all "After School Enrichment" (Service) days attended and have separate records for a 2021 and 2022 Program). This could either be a picklist (Type = After School Enrichment) or separate object (meta-'Service').

I am a bit leery of diverting from the recommended data model; at the same time, a more seasonal model where programs change and evolve over time seems to argue for distinct Program records to better view those changes. Would love thoughts on this.

2. Downsides to offering the same Service in multiple Programs. See reporting consideration above (want to lump Service Deliveries together for reporting although Services might be different records). Use case/example - offering a comprehensive education support program that includes after school enrichment classes, one-on-one tutoring, and after-school meals. I also want to offer paid tutoring as a standalone service, not considering it part of education support program. So a blend of people who are participating in a service (tutoring) but in different contexts. A fair bit to unpack here, but it seems like either an additional Cohort-type object(s) that could provide cross-Program grouping or duplicate Services in different programs would get the reporting I'm looking for. Leaning towards the latter, but again - curious to hear what others think.

3. Events that are part program service offering part fundraiser. Campaign or Service Session? Or both? Lots of nuance to unpack and good arguments in both directions but curious from both a data architecture/reporting perspective as well as staff usability (knowing what object to create when).

Hi all!

 

I have finish the rough drafted of the documentation of the Flow we created at the Sprint! You can read it here. I was going for speed so please read through it and edit to add more details/clarity.

 

Also if anyone has CCI experience please let me know. I would love to save this Flow into GitHub.
