 I tried creating a benefit schedule using the 'New Benefit Schedule' button in the Benefit object. I entered the details, and the session details appeared on the second screen. However, at the end, an error occurred: 'Something went wrong while marking Approval Status to Approved in Benefit Schedule.' Is anyone else facing the same issue? The coordinator that manages our prenatal workshops program would like to be able to see the name, phone, and relationship of the support person for the pregnant participant all in one place. My thoughts were to have this information live as fields on the program engagement or in a report. The issue that I am running into is whether I create fields specifically that collect this data when creating the program engagement or find a way I can pull this data from existing fields since in most cases, the support person usually lives in the same household. That being said there would be cases where the support person may not be in the same household so I am not sure how or whether I can bring this information over. Does anyone have advice as to how to go about it or guide me in the right direction?     Sounds like you might have a few options?

    1. A formula field you create to pull those data points over (depending on your lookups and if not having it 'stored' and just showing on the UI will work), or 
    2. A rec-trig Flow for create/update that will physically write (and store) those values in non-formula fields, or
    3. Maybe a custom button on the dynamic lightning rec page (if you're using those) to show those particular fields from Contact.

    This is how I've usually done this (but I'm not in PMM specifically).

I noticed that the fields I had added on the service delivery field set where not visible when tracking attendance on the service session record. While yes adding the field to the attendance service deliveries makes it visible on the service session, I only want certain fields to show up according to a specific service similar to what you can do with Bulk Service deliveries. Adding all of the service specific fields on the attendance service field set will make all of them show up on the attendance UI component which is not what we want. At least that is what I am seeing (see screenshot). The Prenatal workshop field pertains to one service and the other pickup field pertains to another. Both are showing up here when the service is related to our prenatal program. Only the Prenatal workshop field should be showing. Is there a way to customize attendance fields on the service session record according to service?

Anyone know or have ideas if there is a way to possibly bring over field data from a contact record to the program engagement like a phone number?     I have an example for you : one of my client wanted to see in a report who has been taking part in which Program session, including if it had a Disbursement, which Program it and which Cohort if there is one, and a few others personal informations. I have been able to do it using a Report Type.

I would like to link a Program or Services or Service Deliveries - or all of the above to a Grant Provider. The purpose is for reporting back to the Grant Provider. eg if Big Bertha Foundation provides a grant to the nonprofit to pay for 12 months of the Food Program, then I want to report back to BBF on the results of the program.

 

Has anyone already done this?

I work with the following objects- Services, Service Schedules, Service Sessions. The scenario is marking classroom attendance for kids enrolled in after school programs. In this case, the service is 'marking attendance', service schedule is the classroom (identified by location and academic session), and service session is every single day that the service is delivered (attendance is marked every single day the class meets).

 

When a student is added to a service schedule as a service participant, a program engagement record is created against that student. I'm trying to understand the difference between service delivery and program engagement. Is service delivery a record created for every single service session?

 

Also, am I correct in my understanding of the hierarchy?

Initiative > Program > Service > Service Schedule > Service Session?

    Here is the ERD for PMM in NPSP (wow that's a lot of acronyms): https://help.salesforce.com/s/articleView?id=sfdo.PMM_ERD.htm&type=5

    Notes: 

    • Note that there is now a second ERD for Nonprofit Cloud, similar data model but it's built on a different product, so disregard that one.
    • Also note that those are the default object labels, and your organization miiiiight have had at least one label change (e.g. the Programs object being relabeled to 'Initiatives')

    Some definitions: 

    • A student should have an overall program engagement for any program (Initiative). That's where participation/delivery information is aggregated for their total participation in a program across multiple services, schedules, benefits, etc. It also tracks their status in the program. Typically you only need one program engagement per Program+Contact, but you might have multiple if the student goes through a particular program multiple times. 
    • A student's service participant record is the most confusing! But it is necessary. It's basically their registration for an overall schedule -- and only for that one schedule. (it works with some of PMM's custom interfaces for signing people up for recurring classes) 
    • Then, as Terry said above, Service Delivery is participation in the specific class session on that day (or in the context of other types of programs and services, it can show that they received a specific benefit and in what quantity. This is why you can have 'service deliveries' without any 'service participant' record).

Hey there!

I recently got my hands on the NPC and I'm a bit confused about the program management. I noticed it's different from what I'm used to seeing in the program management module. Am I looking in the wrong spot or is there something I'm missing?

I'm used to seeing services, service delivery, program engagement, and other objects in the PMM, but I can't seem to find them in the NPC. Do I need to download the PMM to access these features or are they available in the NPC as well?

    Hey @Sâmia Morse, so basically you don't need to download PMM since the same standards are already built-in in NPC, only terms has been changed, here I will match between what old terms and new terms. 

    • PMM > NPC 
      • Program > Program 
      • Program Engagement > Program Enrollment 
      • Service > Benefit & Benefit Type (They added another object Benefit Type, where Benefit has lookup relationship to Benefit Type) 
      • Service Delivery > Benefit Assignment & Benefit Disbursement (They added another object Benefit Disbursement, where Benefit Disbursement has lookup relationship to Benefit Assignment) 
      • Service Schedule > Benefit Schedule & Benefit Assignment Schedule
      • Service Session > Benefit Session

    So, you can keep the same idea from PMM to NPC, but only change the terms that you use.
