We often resort to creating data with generic names like “Test Lead 1”, "Test Lead 2" ... that don’t truly reflect the real-world scenarios. Using generic data with names like “Test” or “Dummy” lacks richness and falls short in providing a comprehensive testing/training ground.

🚀 How to Lock Records in Salesforce - A Step-by-Step Guide 🔐

 

Ever wondered how to secure your Salesforce records post-lifecycle? 🤔

 

In Salesforce, sometimes you would want to lock records in Salesforce so that they can no longer be edited or deleted. When a record has reached the end of its lifecycle, nobody should be allowed to modify the record any longer. ❌

 

For example, once an opportunity is closed (won or lost), it just needs to live in the system without being touched. Same can be for “Cases” or records sitting in your custom objects. Or maybe once a record has been interfaced to a backend system, you would want to lock the record so that it can no longer be modified in Salesforce.

 

Locking records will safeguard your data's integrity. 💪

 

Traditionally Salesforce professionals have used different options to meet this requirement & each of these options have its own pros and cons. They include:

 

1. Using Record Type & Page Layouts

2. Using Record Ownership

3. Using Apex Trigger

4. Using Validation Rule

5. Using Custom Visualforce Page

 

But none of these options are elegant and fool-proof.

 

In this guide, we will explore a better option (in my opinion), where we will actually “lock” the record using a couple of declarative features of Salesforce. Once locked the end users will see an error (please refer to the screenshot attached below) when they try to edit the record. 👌

Blog Post: A Quick Guide to Getting Started with Dynamic Actions in Salesforce

 

With Winter '21 release of Salesforce, you now have 'Dynamic Actions' available in your arsenal. With Dynamic Actions, you can have granular control on which actions/buttons should be visible on a record detail page and under what condition.

 

For example, on a record detail page, you have various standard and custom buttons - like 'Edit', 'Delete', 'Clone' etc. Before Winter '21 release you had limited control on which buttons will be visible to the users. But now, with Winter '21 release, you can attach a filter condition to each button to control whether the button should be visible to the user or not. And this filter condition can be based on the value of the record field, the device or even user's profile and permissions

 

With Dynamic Forms earlier and now Dynamic Actions, Salesforce seems to be moving away from the concept of the traditional Page Layouts. So, wouldn't now be an appropriate time to get your feet wet with Dynamic Actions and Dynamic forms.

Blog Post: Step By Step Guide To Delegated Administration in Salesforce

 

Working for a large organization with hundreds or thousands of users? If managing users take up a lot of your time as System Administrator, why not use 'Delegated Administration' feature in your Salesforce Org to grant a group of users (e.g. team leads or department heads) the privileges to create/manage users within their own department or Business Unit without giving them System Admin privileges.

 

Delegated Administration, as the name suggests, means delegating some of your administrative duties to others. Some of the duties that Delegated Administrator can perform is to create users with specific role and profile, unlock a user, reset password.

 

Other than managing users, Delegated Administrators can also manage custom objects with a few restrictions.

Blog Post: How to Send Rich Text Emails from Flows in Salesforce

 

Introduced in Salesforce Spring ‘21 release, you can now send rich text emails from Flows in Salesforce. Earlier, you could send email only in plain text when sending an email using Flow’s core ‘Send Email’ action. And to send an email in rich text, you had to use a Classic Email Template of type Custom along with an Email Alert to send it through Process Builder. 

 

After this enhancement Flow is slowly becoming a one-stop-shop for all your automation needs and it hints that Salesforce intends to focus on improving the Flow furthermore in upcoming releases.

 

(As a matter of act if you have been using other automation tools like Workflow Rule or Process Builder, my recommendation will be to move to Flow)

 

With a brand new rich text email format, you have more options to send an email from a Flow. Now you can beautify your emails by presenting information in bullet points, make the text bold or italic. Also, you can add images to jazz up your emails.

 

As this is the latest and one of the interesting features of the Salesforce Spring ‘21 release, I have come up with a short guide to explain how to set it up. Within the next 15-20 minutes, you will learn how to send Rich Text Emails from Flows in Salesforce.
