Apsona for Salesforce

Welcome to the Apsona Trailblazers community. In the spirit of Ohana, ask questions, find resources, help others, and share your own experiences. Apsona excels in Data Maintenance and Cleansing, Document and Email Merge, and Complex Reporting requirements.

We received an email regarding our Apsona licenses expiring, 11/30. I was verifying the licenses and it looks like we only use the Apsona for Salesforce and Multi-Step Reporting licenses, but the invoice also included Charts and Dashboards and Document and Mail Merge. I don't see these two under installed packages or managed packages for our users.

Can someone verify if these are needed?

Thanks!

ALTERNATIVES TO GRIDBUDDY?

Some of you already know that AppBuddy (the makers of GridBuddy) was acquired by Validity over the summer. For background, here's a link to @Michael Kolodner's post and discussion when that was announced.

My org has used GridBuddy for many years. Half of my users have licenses and we have built a number of data updating processes using GridBuddy that are enormous time savers for our staff.

My GridBuddy licenses come up for renewal in February and I just found out that the amount we're going to be charged is almost 250 percent higher than what we had been paying. That's not a typo. We had been paying $120 per license/year and yesterday I was quoted $288 per license/year. For us (16 GridBuddy users) that means going from an annual bill of $1,920 to $4,608.

I'm sure I'll be able to negotiate something lower than that, but I'm also sure it's not going to be a reasonable price increase. I understand raising prices by 10, 20 or even 25 percent after an acquisition, but raising them 250 percent without any significant changes to the product? That's just pure greed.

Between the DemandTools acquisition and now the AppBuddy acquisition, Validity has shown itself to be the greediest company I have ever encountered.

GridBuddy is so built into our organizational processes I'm really not sure what to do.

Is anyone aware of any inline data editing tools that are similar to GridBuddy that are more reasonably priced? Has anyone moved off of GridBuddy to another product?

Hi Community,

I am currently looking for a document generator tool for a client to enable them to create documents both in batch and individually.  The documents need to be automatically uploaded as an attachment to a record and with the ability to easily print in batch.

I've been looking at Opero as it seems to provide the above (albeit, it requires flows to be built to manage the batch element), but I am wondering if anyone has experience of using any other tools that they would recommend, that can achieve these things specifically.

Cost is of course a consideration, as are any monthly limits for document generation.  S-Docs has become very expensive, so I don't think this will be an option.  Other tools that AI have suggested are Titan Doc Gen, Nintex DocGen and Conga Composer.  If anyone has any experience with these or any others that they feel might fit the bill, I would love to hear about them.

Many thanks

Natalie Gorman

Hi @Natalie Gorman, “batch” turns out to mean quite different things from tool to tool, so these are the questions I’d put to each one on your list:

    • How does a batch start? From a list view or report, on a schedule, or only through a Flow you build yourself? The Flow route works, but your client then has something extra to maintain.
    • What does “attachment” mean in each tool? Some save the document as a File on the record (the Files related list), others as an old-style Attachment (Notes & Attachments). Files are easier to preview, share and find in Lightning, so it’s worth checking which one you get. Also check who can see it afterwards.
    • How does printing work? Can the batch give you one merged PDF to print in one go, or do you end up with 200 separate files to open?
    • What does the limit count? Documents, users or runs. With regular batches, a per-document cap is usually where the cost grows.

Full disclosure: I work on Floverk, a document-generation tool, so I’m not neutral. Your case is exactly what it’s built for: one document per record, each saved as a File on its record, plus one merged PDF for printing. We’re currently looking for a few companies to use it early, free for a period, in exchange for feedback. If your client might be up for that, I’m happy to share details. Either way, the questions above should help whichever tool you pick.

This is my last step, which links together all the previous steps. But I keep getting a full result of 18k records. It doenst seems to be doing the 'does not match' part. What am i missing?

I am running a multistep report, but my linkages dont seem to be working. It just gives me all results

    Hi Anna,

Per Apsona's own documentation, mixing "matches" and "does not match" linkages to different previous steps within the same "all" grouping is officially supported — their docs give this exact pattern as a valid example ("select those contacts that match the Contact ID values of step 3, but do not match the Contact ID values of step 1"). So the structure itself isn't wrong on its face.

Since you're getting essentially the full dataset back, the most likely explanations are:

    1. The "Exclude given Cash gift" step itself isn't returning what you expect. A "does not match" linkage only excludes records that actually show up in that step's own result set. If that step's filter criteria (on the Opportunity object) is too narrow, returns 0 rows, or isn't filtering the way you think, the negation has nothing to exclude against — meaning it will pass everything through, which would exactly explain seeing your full 18k. Run "Exclude given Cash gift" as a standalone step first and confirm its row count/content looks right on its own before trusting the negation against it.

    2. Null values on Opportunity.Primary Contact. If a meaningful number of Opportunity records in that step have a blank Primary Contact, those nulls typically don't behave intuitively in a match/does-not-match join — they often don't count as a "match" either way, which can cause a "does not match" filter to effectively let everything through rather than excluding records that have no related Opportunity at all. Worth checking how many rows in that step actually have Primary Contact populated.

    3. Isolate one linkage at a time. Temporarily delete the "Active DD" and "Grab from TEMP campaign" linkages and run with only the "Exclude given Cash gift — does not match" linkage active. If the count still doesn't drop at all, that confirms the negation itself isn't being applied as expected, rather than an interaction between the three conditions.

Since this is specific to how Apsona's engine resolves negated linkages (not a native Salesforce reporting behavior I can verify beyond their docs), if isolating the linkage above shows it's genuinely not filtering even on its own, that's worth taking directly to Apsona support via the "Help for this section" link on that page — this is exactly the kind of linkage-resolution edge case their support team would need to look at on the backend, since the doc confirms the feature should work but doesn't cover every interaction case.

Will GAU allocations appear in Batch Export where payment is matched to an open opportunity in Salesforce? Our fundraisers are now entering opportunities for their pipeline management. Our donor services team is receiving the payments for those opportunities and entering them through Apsona Batch. We have also recently begun using GAU Allocations. During our testing today, we discovered that if a fundraiser has already put a Campaign with Allocations on their opportunity, those allocations are not showing in our batch export. What is the issue and what is the solution?

    Hi Wendy!

GAU Allocations should generally be tied to the Opportunity/Opportunity Contact or payment record, but whether they appear in an Apsona Batch Export depends on the fields and relationships included in the export.

Since the Campaign and GAU Allocations are already on the Opportunity, I’d first check the Batch Export configuration and make sure the GAU Allocation object/related fields are included. If the export is only pulling Opportunity fields, the GAU Allocation records won’t automatically appear.

I’d also verify whether the allocations are created before the Batch Export runs and that the Opportunity is the record actually being matched to the payment.

If you can share the Apsona Batch Export configuration (especially the source object and selected fields/relationships), it would be easier to pinpoint exactly where the allocations are being dropped.

Hello,

When I first logged in this morning, I did not encounter any issues downloading our batch receipt Word files from Apsona.  However, after installing an update on my laptop (2026-07 Update (KB5121767) (26200.8894)), blank pages are appearing between each receipt within the downloaded Word files.  A colleague of mine is also encountering the same issue after installing the update on her laptop.

I also notice that when I click into the blank page near the header, the blank page disappears, but it sometimes comes back depending on where you click (very finicky).

Is this a bug/glitch between Apsona and the recent Windows update, similar to what was discussed several months ago?  Is anyone else experiencing the same issue?  Thanks in advance for any help!

Just wanted to provide another update.

Apsona Support shared a link to an upgraded version (2.721) that their engineering team developed to fix the problem.  Our DBA upgraded our sandbox and production to the latest version provided, and the issue has now been resolved on our end!

    Hi @Benjamin engh

    ,

If you're trying to use the Scheduler in a sandbox org, you'll need to have it enabled for that sandbox first. Please reach out to our Licensing team at sales@apsona.com

, and they will enable the Scheduler for your sandbox. Once it's been enabled, simply clear your Apsona cache, and the Scheduler options should become available.

If you have any questions or need further assistance, please feel free to reach out. We are always happy to help.

    Thanks,

    Abhishek

Hi colleagues,   I am building a Mail Merge solution that creates a "Donor Profile" one page PDF.  So far, I'm pulling in data from recent opportunities, open opportunities, tasks/activities, contacts/affiliations, and fields from the Account (org/household).  I'm wondering, what's most important to you and your teammates to surface in a document like this? LMK!
