#AgentforceBuilder15 debatiendo

Hi everyone,

I'm looking for a practical, tested solution (not a theoretical one) for this requirement:

Requirement:

In an Agentforce Service Agent on Enhanced Chat v2 (MIAW), automatically transfer the conversation to a live human agent after N agent replies (e.g. 30), regardless of which subagent is currently handling the conversation.

My setup:

  • I am using the classic/old Agentforce Builder (Subagents list with "Subagent Configuration" and "This Subagent's Actions" tabs). NOT the new Agent Script/Canvas builder.
  • Subagents: Escalation, General FAQ, and other subagents.
  • Escalation is already configured under Connections > Escalations with an Omni-Channel flow, and it works when the customer types something like "human" or "talk to agent".

What I built so far:

1. An autolaunched Flow "Increment Reply Counter" (input: currentCount, output: newCount = currentCount + 1).

2. An agent action "Track Reply Count" based on this Flow.

3. A custom conversation variable `ReplyCount` (Number). The action input uses "Assign a Variable" = ReplyCount and the output uses "Map to Variable" = ReplyCount.

4. Added the action to each subagent, with an instruction to call it once before each reply.

I confirmed in the Conversation Preview that ReplyCount increases correctly on every turn.

What does NOT work :

I added this instruction to the subagents (threshold set to 3 for testing):

"If {!ReplyCount} is greater than or equal to 3 and the customer still wants to continue, immediately escalate the conversation to a live human agent."

The agent just keeps replying normally. No escalation happens. I also tried putting a similar instruction in the Escalation subagent, with the same result.

My observations:

  • When I type "human" or "talk to a human", it transfers immediately with the message "You're being transferred to a support representative", but the trace shows no action launched ("Actions: 0"). It looks like a hidden, classifier-driven system escalation.
  • In the classic builder, when I search the action library (New > Actions) inside a subagent, I cannot find any standard "Escalate" action to add.
  • Topic classification seems to depend only on the customer's message, so an internal variable like ReplyCount can't route to the Escalation subagent.
  • In the new builder I see `@utils.escalate` can be added as an action inside any topic, but I cannot find an equivalent in the classic builder.

My questions:

1. In the classic builder, is there any way to trigger the built-in escalation from a variable condition (like ReplyCount >= N) instead of customer intent?

2. Is there a hidden/standard escalation action I can attach to a regular subagent?

3. If not possible, is there a different practical approach that works with the classic builder? For example a Flow or Apex triggered from the Messaging Session / conversation entries that counts messages and routes the session via Omni-Channel, or anything else you have actually implemented.

4. If this is only possible in the new Agent Script builder, can someone confirm that, and is there any official documentation saying so?

If you have actually implemented something like this in production, I would really appreciate hearing how you did it. Screenshots or a short outline of the approach are very welcome.

Thanks in advance.

In Production, Flex Consumption is visible under Digital Wallets. In my Sandbox, it does not appear. The Sandbox only shows the list view of “All Digital Wallets” and “Recently Viewed.”

Does Flex Consumption show only in Production? Or is it available in a Sandbox as well, but requires some configuration or setup to become visible?

Any guidance on what needs to be enabled or configured to see Flex Consumption under Digital Wallets in a Sandbox would be appreciated.

Hi @Sourabh Dondekar Yes, this is expected. Flex Credit consumption is viewed through Digital Wallet in Production, even for Sandbox usage.

    A few key points:

    1. Digital Wallet consumption details are available in Production.
    2. Sandbox usage can be tracked from the Production Digital Wallet.
    3. Make sure you have the required permissions to view consumption details.

Check Digital Wallet in your Production org. You don't need to enable any separate setting in Sandbox.

    Hope this helps!

Hi Everyone,

  • Are Flex Credits consumed by Agentforce agents and Prompt Templates reflected in Digital Wallet in real time?
  • If there is a delay, what is the usual update frequency?
  • Does the consumption data update immediately when a Prompt Template is invoked through a Record-Triggered Flow or Autolaunched Flow?
  • How can we verify actual credit consumption if Digital Wallet doesn't update immediately?

Could anyone share their experience or official Salesforce documentation regarding this?

Thanks!

Short answer: it's near real-time, not instant.

From Salesforce Help (Monitor Usage for Consumption-Based Products in Digital Wallet): "Consumption information is updated multiple times a day but can take longer in some situations." Each consumption card shows a Last Processed date and time. Anything that ran after that timestamp isn't in the numbers yet.

    Taking your questions in order:

    1. Real time? No. Usage is collected and processed through Data Cloud data lake objects, so expect a lag of hours, not seconds.
    2. Update frequency: "multiple times a day". The Last Processed time on the card tells you exactly how fresh the data is. Underneath, usage is stored at hourly and daily level (the TenantHourlyEntitlementConsumption and TenantDailyEntitlementConsumption DLOs).
    3. Prompt templates called from record-triggered or autolaunched flows: no difference. They show up after the next processing run, not the moment the flow runs.
    4. Verifying actual consumption:
      • Digital Wallet > Consumption Insights shows usage by type for a specific day or time period.
      • Build a Data Cloud report on the TenantEnrichedUsageEvent DLO. Salesforce built it for consumption reporting, and reports on it don't cost credits. Group by Usage Type Developer Name and Resource ID or API Name to see which agent, action or template used credits, and add Units Consumed. See the Help articles "Report On Usage by Feature With Digital Wallet" and "Create a Report on Usage by User ID".
      • If Digital Wallet and your invoice ever differ, the monthly statement is the source of truth.

Tip for testing: run your flow a known number of times, note the time, and check again after the next Last Processed timestamp. That gives you a clean per-run credit figure.

If you found this answer helpful, please mark it as helpful.

Hi Trailblazers,

I'm working on an Agentforce implementation involving multiple subagents and actions.

When multiple subagents have similar responsibilities or overlapping instructions, Agentforce may select the wrong subagent or action.

What best practices do you follow to improve routing accuracy, avoid ambiguous action selection, and ensure consistent behavior in production?

Would love to hear your real-world experiences and recommendations.

    Hi @Manohar Goud

This is a common issue when we work with multiple subagents and actions in Agentforce.

Here are a few things I would suggest:

    1. Clear Responsibilities: Give each subagent a specific job. Try to avoid overlapping responsibilities.
    2. Proper Instructions: Clearly explain when to use a subagent, when not to use it, and what it should do.
    3. Meaningful Names: Use clear names and descriptions for subagents and actions so Agentforce can understand their purpose.
    4. Avoid Similar Actions: If two actions perform almost the same task, try to combine them or clearly separate their use cases.
    5. Use Agent Script: For complex or critical scenarios, use conditions and explicit routing instead of depending completely on AI decisions.
    6. Availability Conditions: Use available when conditions wherever applicable to control which subagents or actions can be selected.
    7. Handle Unclear Requests: If the user request is confusing, let the agent ask a follow-up question instead of choosing the wrong action.
    8. Test Multiple Scenarios: Test different ways users might ask the same question, including negative and overlapping scenarios.
    9. Monitor Agent Behavior: Review session traces regularly to understand why a particular subagent or action was selected.

    For example:

If we have three subagents for Order Inquiry, Order Cancellation, and Order Modification, each should have clear instructions about which requests it handles.

In my view, the best approach is to start with fewer subagents and actions, test them properly, and then gradually add more.

One important point: Don't depend only on AI instructions for critical business processes. Use proper conditions, permissions, and validations to control execution.

    Hope this helps!

    Thank you,

    Venkat Yadav.

We are evaluating Agentforce Analytics in Agentforce Studio and would like to understand the licensing requirements. Is a Data Cloud license

required to use Agentforce Analytics, or can it be used with standard Agentforce licenses? If Data Cloud is required, which specific Data Cloud permissions, editions, or features are needed?

There is a request from an internal team at the organization to send a report extract from Salesforce to a shared network drive within the organization for a bot to pickup. Is there a way to automate this within Salesforce?

Hello Trailblazers,

I am preparing an Agentforce Solution Design for a client and would like guidance from experienced architects and consultants on how to approach the design comprehensively.

The use case may involve Employee Agent,  Coworker Agent, and Out-of-the-Box Salesforce Agents

, Flex Prompt Template and I want to ensure I am covering all important aspects from business requirements through implementation, licenses, Flex Credit model, governance, and deployment.

Any sample templates, reference designs, or lessons learned from real implementations would be greatly appreciated.

Thank you in advance for your guidance! 🚀

    Hey Jiyaulla,

Here’s how I would approach the solution design:

    1. Agent Boundaries & Routing

    • Split by persona: Don't build one monster agent. Keep Employee Desk (IT/HR Q&A via Knowledge), Coworker (sales/service reps on record pages), and OOTB Service Agent in clean, separate buckets.

    • Topics & Hand-offs: Limit each agent to 4–6 tightly scoped Topics. Write explicit "When to use" instructions so the reasoning engine doesn’t cross wires. Always map human escalation via Omni-Channel, carrying the chat summary over.

    2. Actions & Grounding (The Engine)

    • Actions: Use Autolaunched Flows for standard CRM updates and Invocable Apex for external API lookups. Keep JSON outputs short; feeding raw multi-page payloads burns tokens and slows reasoning down.

    • Flex Prompt Templates: Stick to a 4-part prompt: Role, Grounded Context, Guardrails (what NOT to do), and exact Output Format.

    • Knowledge & Data Cloud: If grounding with PDFs or policies, ensure your Data Cloud search indexes chunk properly. Watch Field-Level Security—if the running agent user can’t see the field, the LLM hallucinates.

    3. Trust, Guardrails & Security

    • Einstein Trust Layer: Decide upfront if PII needs data masking and where audit logs get retained.

    • Hard Refusals: Put explicit negative prompts inside each topic (e.g., "Never disclose salary bands; route user to Workday").

    4. Licenses & Consumption Reality Check

    • Cost control: Agentforce bills per conversation, and custom prompt calls burn credits. Don't use the LLM for things a simple Flow lookup or formula can solve deterministically.

    • Token limits: Heavy record grounding causes latency spikes. Keep grounding payloads minimal.

    5. ALM & Deployments (Where Projects Trip Up)

    • Metadata API: Topics, Actions, and GenAiPromptTemplate deploy through standard DevOps pipelines (Copado, Flosum, SFDX).

    • Manual Post-Deploy: Playbooks always break here. You must manually:
      1. Assign permissions and FLS to the Agent Execution User.
      2. Activate the Agent version in Target Org.
      3. Validate Data Cloud search index syncs.

1) I am assuming this error message means there is an issue with my Pre-Arrival Guest Experience Subagent. Screenshot below reads "The custom topic Pre-Arrival Guest Experience is not detected. Ensure the topic meets the requirements."

2) I followed all the instructions, so is this a connection to trailhead issue or a subagent requirements issue? It's tough because a lot of the challenge direction language is outdated.

Any advice would be greatly appreciated!!

Setup with Agentforce

Just wrapped up the Setup with Agentforce Quest and honestly, it's changed how I think about doing admin work in Salesforce.

What stood out most was how it handles permission and access troubleshooting — instead of manually digging through profiles, permission sets, and sharing rules to figure out why a user can't see something, I just asked and got a clear answer. That alone saves a ton of time.

I also liked that it doesn't just make changes on its own — it shows a preview first and waits for confirmation, so I always know exactly what's about to happen before it happens.

Would recommend every admin try this Quest — it genuinely makes day-to-day Setup work easier.

Hi Trailblazers,

I’m currently working on the Trailhead module “Deploy an Agent in Slack.”

As part of the exercise, I’m trying to find the Agent Request under Tools & Settings → Organization Settings → Salesforce →Agentforce. However, when I open Agentforce, the Needs Review tab shows “0 requests” and “No requested agents.”

I have attached a screenshot showing what I’m seeing.

Could someone please help me understand:

  • Why is the Agent Request not appearing?
  • Is there any additional setup or permission required?
  • Do I need to complete any specific step in the Trailhead module before the request appears?

Any guidance would be greatly appreciated. Thank you!

    Hey Karthick,

The errors in your second screenshot tell you exactly what's wrong:

"Action input 'Guests' in 'Create_Experience_Session_Booking' has primitive type 'number' and does not require 'complex_data_type_name'"

"Action input 'startDate' in 'Get_Sessions' has primitive type 'date' and does not require 'complex_data_type_name'"

Basically, someone (or the auto-generation) set a complex_data_type_name on these two inputs, but that field is only meant for object or list[object] type inputs. Since Guests is a number and startDate is a date, both primitive types, that field should be empty for them.

    Fix:

    1. Open the Create Experience Session Booking action, find the Guests input parameter, and clear out the complex_data_type_name value, leave it blank

    2. Do the same for the startDate input in the Get Sessions action

    3. Save, then check the Problems panel again, the 2 warnings under it are worth reviewing too but the 3 errors should clear once these two inputs are fixed

These usually come from the action being generated off a Flow or Apex class where the parameter metadata got mismatched. If you're pulling these actions from a Flow, double check the Flow's input variable data types match what's expected (number/date, not a record/object type) before regenerating the action.
