#Duplicate Record0 discussing

Hello,

 

We have a couple of matching and duplicate rules for the Lead and Account objects.

Regularly, I can see this message on top of a Lead record.

 

I know how to merge duplicates using Duplicate Record Sets but that's for duplicates I'm aware of.

 

Is there a way to identify all the records that are recognised as duplicates, i.e. the ones I haven't spotted yet?

 

What I found online is suggestions using a custom report but the report only shows me the duplicates I've already identified and merged, not the ones I don't know of.

Hi all,

I have recently changed my duplication/matching rule for duplicates.

Now, I want to see a list of duplicates to enter in the record and delete them.

To do that I created a Report on Duplicate Records (as seen here https://help.salesforce.com/articleView?id=duplicate_management_custom_report_types.htm&type=5).

Unfortunately, the report shows me ALL the Duplicate Record Item (not only duplicate record based on modified matching rules, but also those record that was a duplicate in the past but those are no longer.

 

Can someone help me, please?

    Hi Suzanne,

    You have to create a report type of all duplicate record item with contact.

    Then you have to pull in the count field (form edit layout in the page of record type).

Hello, I create duplicates for Lead Object, but if I check the database on the Developer Console the Duplicate Record Item Database is not populated (in the UI it shows me the duplicate for the lead I am creating). Is there a system delay on populating the Duplicate Record Item Table or something else?

I have activated the lead/contact duplicate rule as suggested in https://www.salesforceben.com/6-salesforce-duplicate-rules-you-need-to-activate-right-now/ and updated a lead record but the duplicate record was not generated. Any thought why it would fail? Do I need to update the specific field?

    are you aiming to block duplicates or allow duplicates? Will love to get more clarity on what is failing!

    By configuring the duplicate rule, you can decide to alert/report or block on both create or edits on the record.

I have a contact record in Pardot that won't sync into Salesforce and the notification that appears says "Deduplication matching rule conflict: You're creating a duplicate record. We recommend you use an existing record instead." However when I search for her in Salesforce it shows no records. Any idea what's up or what might be triggering it to show as a duplicate record when it isn't? Thank you!

    This is one to take to your Salesforce Admin, to check over the de-dupe rule in Salesforce and see what it might be.

    Some rules are set not for exact matches, but for basically a 'fuzzy match' logic.

    It could be someone by that name (but not the matching email). Someone with a SIMILAR name, and also in that state. Someone at that company with the same last name.

    Things like that. Those Salesforce rules can be very strange sometimes.

Hi everyone, brand new to the group but have been fumbling my way through SF for a year on my own - SO glad to find this group. Can anyone recommend a reliable app on the app exchange to de-dup records? (Leads, contacts,etc...)

You can find this feature in your Setup App under Data > Duplicate Management > Duplicate Rules. Here you can create rules specific for your Objects and business needs to create notifications and information about duplicates for your team.

Wondering what everyone uses for de-duping records?  We currently have CRM Fusion (Demand Tools) which was recently bought by Validity, and the license pricing is increasing dramatically.  Also, can anyone recommend a good App Partner for cleaning up email addresses?

    Hey Laurie,

    You should check out DataGroomr. I recently signed up to their Beta program so that I could use the tool to dedupe the leads, contacts, and accounts that we had in our environment. I also noticed that they have a tool to standardise and clean-up record data, including email addresses.

I am experiencing a deduplication rule error syncing from Pardot to Salesforce. We attempted to change the duplicate records & matching rules to merge based on email address in the Salesforce lead, contact & account object manager. It seemed to help some of the sync errors, however, I still have a ton. An example: We have an account set up, there are 5 existing contacts & 3 leads associated with the account. While uploading a prospect list to Pardot, a prospect is getting a ""Deduplication matching rule conflict: You're creating or editing a duplicate record". The problem is that this prospect nor his email address is anywhere else in our Salesforce. What rule can we create that would solve this? I have over 700 sync errors and that is just one example but I figured I would start by exploring that one & tryingto identify the field that is triggering Salesforce to identify this prospect as a duplicate record. HELP!

    Thank you. We are a VERY small company. The SF admin is our President (I am also an Admin but I am strictly self taught & by no means advanced!). I will definitely look into the validation rule.

I noticed a Prospect had text next to the "Do Not Email" field that said:

 

Apply Do Not Email to all records with this email

 

1. There happens to be a duplicate record with same email.  How can this be?

 

2.  I found out that Pardot apparently considerss "Do Not Email" if the Prospect Bounced, made a spam complaint, or if manually was opted out or changed a preference page preference.  but how can I tell when this happened?  There is no time stamp

 

3.  If this happens, why doesn't Pardot mark the Opt Out field as such?

 

4. Is the "Apply Do Not Email to all records with this email" system generated?  Why can't I segment a list this way?  When I try to make the criteria, the only choice for default field "No Not Email" is "is" or "isn't" do not email.

    Lots of pieces to this here.

    Let's start with Duplicates.

    Duplicates in Pardot are most often generated from Salesforce.

    Common example: if you have two Contacts in Salesforce with the same email address, or a Contact and a Lead with the same email address.

    The key here is that EACH of those Salesforce records have different CRM IDs.

    When Pardot sees an email address with AND it has a different CRM ID, it will follow what Salesforce does and also create the duplicate.

    If you look at each of the Pardot records you can see this - scroll down to the bottom of the left-hand column in the Pardot prospect record. You should see if this Pardot record is syncing to a Lead or a Contact, and what their CRM ID is.

    The ONLY way to generate a Pardot-only duplicate? is by hand-typing in a new prospect. And I don't know anyone who does that on a large scale. So while yes, it could have happened, it's unlikely.

    You can't get duplicates from form completions. Nor can you get them from importing a CSV file of just email addresses.

    Because whenever Pardot gets an email address on its own (whether by file upload or by form fill) Pardot first looks to see if that email address already exists. If it does, it syncs with the existing Prospect record. No duplicates can be generated by Pardot in this way.

    Now - if you go do an Import into Pardot, and your CSV file ONLY contains email addresses then Pardot does this de-dupe automatically.

    If you do an Import and your CSV file contains a column for Email AND it contains a column for CRM ID, then yes Pardot assumes you're matching Salesforce CRM IDs and it will match up to those CRM IDs. (Important to realize that the duplicate is STILL coming from Salesforce in this scenario.)

    So what to do? Well, if you're doing a good job of de-duping in Salesforce then you don't have a duplicate problem.

    Because in Salesforce if you are MERGING those records together, then Pardot follows what you did and also merges them.

    So in order to reduce duplicates in Pardot? Do it from Salesforce.

    Regarding the message you see "Apply Do Not Email to all records with this email"

    This is almost exactly the opposite of what you think it means.

    It DOES NOT mean that someone has become unmailable on one version.

    If they were unmailable you would see a different message: "Remove Do Not Email from all Records with this Email"

    So - leave that link alone. Clicking it would make all versions of them unmailable right now.

    Regarding telling the difference between Hard Bounce and Unsubscribed.

    People can become unmailable in several ways:

    1) by clicking the Unsubscribe link in a Pardot email.

    2) by visiting the Email Preferences Page and clicking to globally opt out.

    3) by someone from your company clicking the Salesforce field for 'Email Opt Out' on the Lead or Contact record.

    4) because the email address hard bounced (or had 5 soft bounces which = hard bounce)

    How do you tell the difference?

    Well if it hard bounced you'll see the hard bounce message on the Prospect record (the version of them that bounced).

    It's at the bottom of the left-hand column again, and basically tells you what message Pardot got back from the email server. It'll say something like a number error (5.4. or something) and also a text like 'email does not exist on this server' or 'block bounce' or any number of other error messages.

    You can also tell tell based on field values. There are TWO fields involved here.

    1) Do Not Email (this is a Pardot-only field)

    2) Opt Out (this is synced to Salesforce's 'Email Opt Out' field)

    If both fields are checked then they unsubscribed.

    If only Do Not Email is checked then they hard bounced.

    You can create yourself some dynamic lists to sort them out, and see your numbers at a glance. See my blog post about making those lists here:

    Edit:

    Specifically to the question of duplicates - when one version of them is unmailable, Pardot makes the other ALSO unmailable.

    This is to protect you, so you're in compliance with anti-spam rules pretty much everywhere.

    So if someone is opted out, the duplicate of them is also unmailable.

I'm getting a frequent error with Pardot/Salesforce sync: "You're creating a duplicate record. We recommend you use an existing record instead."

 

I have the connector configured to match by email if there isn't a CRM ID, so I would think that this should handle this case and just link up to the existing record - there should NEVER be an opportunity for duplication with that setting on.

 

The help documents and other discussions indicate that I should disable/reconfigure deduplication in Salesforce, but that really shouldn't be necessary since Pardot is managing that via email address, right? What am I missing?

    we have these two domains. We would like the tracker domain in emails to be one or the other depending the message. We would like the vanity domain in landing pages to be one or the other depending on the page [PardotOpenOfficeHour]
