Hello!
Looking for recommendations on solutions for transferring record ownership across users, including custom objects.
We evaluated Salesforce's native Mass Transfer Records functionality, but unless I'm mistaken, it doesn't support custom objects, which limits our use case. We've been using Data Loader, but downloading, updating, and re-uploading records is a bit cumbersome for an ongoing process.
Ideally, I'm looking for:
- A Flow-based approach OR
- An AppExchange solution that is actively maintained and well-supported OR
- Ability to update ownership across standard and custom objects OR
- Support for bulk record transfers
If you've implemented something similar, I'd appreciate hearing what worked well (or what to avoid).
Thanks!
The best approach depends on a couple of factors, like:
- How do you identify which records need to be updated? Do you use the same criteria every time that records need to be updated, or do the criteria change frequently?
- How do you determine who records need to be transferred to? Are these changes coming in from ad-hoc requests, or are they based on something your could store in Salesforce like geography, job title, etc.?
- How frequently do these transfers occur, and how many records are transferred?
If these are ad-hoc requests with different requirements every time, I would probably just use a tool like Jetstream to do a mass update based on criteria.
If the updates follow a specific pattern (you always know which records need to be transferred to whom), you could use a schedule-triggered flow. It would be best to set up a separate Flow for each object that needs to be updated. Keep in mind that you're only allowed 250,000 scheduled flow interviews per day.
A screen flow could work in theory if the volume of records being updated is low (<10,000 per transaction). However, this is likely to be unwieldy and is almost certainly a bad idea in the long run.
If you're dealing with high frequency, high volume changes with criteria that change a lot, you're almost certainly getting into territory where AppExchange or Apex is the way to go.
