I have an issue around our quote approval process. My org has controls that exist on the Opportunity Product, linked to the price book data, that validate if pricing is within a proper range, and if quantity minimum and increment are valid. If everything is in compliance with the controls, a quote is automatically approved. If not, it requires approval from a product manager.

My issue lies in editing quotes. If a quote is already approved, a sales person can simply edit the price or quantity out of comliance, but they do not need to get additional approval afterwards. I had validation rules in place that prevented quotes from being edited altogether, but I would like to be able to sync quotes with opportunities.

Therefore, I am trying to create a field formula on quotes that indicates whether or not the opportunity products are in compliance with our controls. If they are not in compliance, I would like to create a workflow rule to kick the quote back to the "Needs Approval" stage (field update rule). However, I cannot seem to be able to link the formula that I am trying to create on the Quotes object back to the opportunity product. I understand that the Opportunity Product is called OpportunityLineItem in API.

My syntax is not working, however. My formula is not recognizing the OpportunityLineItem as a valid object.

FYI, I have one field in Opportunity Products that sums up all of the validity rules around price and quantity for approvals. This is called the Status Indicator field.

Draft formula for the Indicator Approval:

IF(OpportunityLineItem.Status_Indicator__c=1 && Approval_Status__c="Approved", 1, 0)

Any assistance or information about why I cannot link my formula on Quotes to the Opportunity Products object would be immensely appreciated.

    I don't believe you will be able to link the quote and opportunity products as they are not a mster-detail relationship.  However I think you can accomplish this on the actual opportunity object: if you build 2 rollup fields; one that sums the amount of all opportunity product lines and another that sums all quote lines.  Then you can use process builder to trigger a change in the quote status when these two fields are not equal.  Does that solve your use case?
