Lightning Knowledge Migration

This group was for customers and partners who were participating in the pilot and beta of the Lightning Knowledge Migration Tool to learn tips and tricks from Salesforce employees and other customers on using this migration tool. Now that this Lightning Knowledge Migration tool is GA, please report all issues that you experience through a Support case. This Community is still available for discussions, but is no longer here for Support related issues.

We need to correct however many articles have this certain word or phrase.  Any ideas on what report type to use as all reports I've tried are not giving me results but also including blank articles with no content in them.

    Thanks, Nick!  Salesforce support advised me to remove the "With or Without" criteria on relating the Versions object on the custom report type for KB Articles.  This took the blanks away!

Hi - I am getting error in lightning knowledge migration in sandbox, where smart links are not completely migrated as shown in below screenshot. I am concerned if it occurs in prod,is there any way we can resolve this or get the list of articles where these links have failed.or any other possible workaround to this issue. Any help would be much appreciated!!!

Hi, we are migrating Drupal articles to Salesforce Knowledge and we have some translated articles not linked with Original language articles, how can we link the translated articles with original if we can't edit in any way the MasterVersion Id field to relate both? Is there any way to do it?

     As per the case description, I understand that you are looking to upload translated articles associated to master article(Knowledge__kav object.)

     

     I have tested this in my demo org and found a way to achieve this by creating a lookup field,

     

     i. Created a lookup field(ParentKnowledge) to knowledge.

     ii. Translated an article(Creates a new Spanish article with draft status)

     iii. Updated the field ParentKnowledge with the English article in the newly created article.

     iv. The translated article is associated with Master article.

     

     Also, I have tried updating the article using data loader(refer the attched article.csv file).

     

     Please find the attachments for reference.

     

     Note the following restrictions:

     

     It's only possible to update draft articles via Data Loader and there are restrictions on how you can export or query knowledge articles.

     

     It's not possible to update an article's PublishStatus via the Data Loader and it's necessary edit each article you would like to update to create a draft version.

     

     There is no standard or supported means to mass update articles to draft status. They must be set to draft status one at a time via the user interface.

Just a tip for those who are preparing to migrate your Classic Knowledge to Lightning Knowledge.  You have to perform in a recently refreshed full sandbox (30 days or less) and you have to perform a successful migration and Go Live on the same Release!  We found out the hard way but Salesforce accommodated us with a loaner sandbox.

We have 20 custom fields  and 5 article types.  We've practiced in a Dev Pro Sandbox with 600 articles and the migration was successful.  We have a Full loaner SB from Salesforce which we will run the tool first, before PROD but wanted to know the timeframe - if it's hours or days for 100K articles.  Thanks so much!

    We changed our API field names back to the original names immediately after migration, before we connected them to integrations and it's working out very well.

I've read in the documentation that each Knowledge article is given a new ID once migrated.  What happens if articles are linked in Digital Experience pages.  Do these stop working and all the IDs require updating?

    Hi Ainsley, 

     

    This is true if migrating from a sandbox to Production. What you might want to do is create a custom field to store the SandboxId of that article so that after the articles are imported, you can then do an update so that the the references are updated to the correct id. 

     

    Alternatively, you could also just import the parent articles, secure the new article ids, and then you can do a second import of all the child articles that reference a parent article, making sure to reference the new id

Once you have completed the migration and you refresh the full sandbox does it go back to its original state (pre-migration).  I would like to run the migration to test and document it all fully before arranging a Salesforce request for Prod migration.

    a full sandbox refresh will take a refresh of ALL records in production at that point in time. So it will look like whatever the source org looks like.

After a successful full sandbox migration, I am unable to add any article editing actions to the article page layouts. I have nearly everything toggled on in the permission set, yet I cannot edit articles while viewing them despite having added the actions in the page layout configuration. At most I have managed to get Edit as Draft to appear in the list view, but not in the page layout view.

 

I do see one odd thing, when viewing the object settings in my permission set, there are two Knowledge objects, one with all the expected R/W toggles and one with only the tab settings group. I don't know if this is a Lightning bug or a migration issue. Anyone else have these problems?

    No, I never determined why there are two listed. If I remember correctly, only one had permissions defined on it so I ignored the other that didn't.
