Activates custom prompts in the flow of work

I'm working on the Trailhead challenge "Create a Sales Email Prompt Template" in my Einstein AI Playground.

In Setup, I opened Prompt Builder and clicked New Prompt Template. The Prompt Template Type dropdown lists types such as Flex, Record Summary and SDR Qualification, but Sales Email does not appear.

What I've checked: Einstein is turned on in Einstein Setup. The Prompt Template Manager permission set is assigned to my user (assigning it again gave a duplicate assignment error). I logged out, logged back in and refreshed, but the option is still missing. I found no toggle for Sales Email in Setup.

The challenge requires the Sales Email type, with Contact as the recipient and Guest Event as the related object, so I can't use Flex instead.

My Playground expires on 9/24/2026 at 5:30 AM GMT+5:30. Could someone check my Playground, enable the Sales Email type, or issue a fresh Playground that includes it?

    Hi chandrika, 

     

     "Einstein is on" (general Einstein Setup) and the Prompt Template Manager permission set are not the same as the specific toggle that unlocks the Sales Email template type. There's a separate setting you need: 

     

    1. From Setup, search for Einstein for Sales (not the general "Einstein Setup" page) 

    2. Find Turn on Sales Emails and set it to True/enabled 

    3. Go back to Prompt Builder → New Prompt Template — Sales Email should now appear in the Prompt Template Type dropdown 

     

    This is a distinct feature toggle specific to Sales Cloud's Einstein for Sales add-on, separate from the general Einstein enablement and separate from the Prompt Template Manager permission set (which controls who can build/run templates, not which template types exist in the org). Missing this specific toggle is exactly why Flex, Record Summary, and SDR Qualification show up (those don't depend on it) while Sales Email doesn't. 

     

    Given your Playground expires soon, do this now rather than waiting on a reset — it's a self-service Setup toggle, not something that needs platform-side intervention, so you shouldn't need a fresh Playground at all.

I have a Prompt Template that is invoked from a Record-Triggered Flow.

The user who triggers the record-triggered Flow does not have:

  • Prompt Template User permission 

I would like to understand the expected Salesforce behavior:

  1. Is the Prompt Template User permission required when a Prompt Template is invoked through a Record-Triggered Flow?
  2. If the triggering user does not have this permission, will the Prompt Template still execute?
  3. If the Prompt Template executes successfully, will it consume Flex Credits?
  4. Which user's permissions are evaluated when the Flow invokes the Prompt Template—the Flow-running user or the automation/system context?
  5. What is the purpose of the Prompt Template User permission if Prompt Templates can be invoked through Flow?

 

Looking for clarification based on the current Salesforce behavior/documentation for Record-Triggered Flow → Prompt Template

A few weeks ago at True to the Core (TTTC) during TDX, I asked the Salesforce Team to clarify the pricing for Prompt Builder. 

 

Salesforce Foundations is a free offering that includes Agent Conversations, Data Cloud, and features from Marketing and Commerce. However, despite what Trailhead and Salesforce Pricing pages suggest, it does not include Prompt Builder. 

 

Since raising this at TTTC, I’ve spoken with multiple Salesforce teams, and even they can’t agree—some say Prompt Builder is included, others say it isn’t. In practice, it’s not available in a Salesforce Foundations org, as the required Permission Sets (Prompt Template Manager, Prompt Template User) and Permission Set Licenses (Einstein Prompt Templates) are not provisioned. 

 

Currently, it appears Salesforce intends to require an Einstein for Service, Einstein for Sales, or Einstein for Platform license — effectively making Prompt Builder subject to both user-based and consumption-based licensing. 

 

I appreciate that Salesforce teams have been working on this behind the scenes, and I’ve noticed a shift in messaging. Since TDX, Agentforce’s response on Salesforce Help has changed from ❌ “Prompt Builder is not explicitly mentioned as part of Foundations” to ⚠️ “Prompt Builder is available with Salesforce Foundations, but on a limited basis.”

 

This lack of clarity is a problem for the nonprofit clients I work with, as they rely on the Power of Us Program for courtesy licenses in the first place. 

 

I’d like the Salesforce team to: 

 

1️⃣ Clarify whether Prompt Builder is included in Salesforce Foundations, as the official materials currently contradict each other. 

 

 2️⃣ If Prompt Builder requires per-user licensing (even temporarily), consider extending the Power of Us Program to provide courtesy Prompt Builder licenses alongside the standard courtesy Salesforce licenses. 

 

 3️⃣ Correct all marketing and documentation to clearly reflect whether Prompt Builder is included with Foundations (or not). 

 

At TTTC, it was suggested that Prompt Builder was coming to foundations, but I didn’t get a clear time commitment to the above, so I’m posting here. 

 

Before I raised this at TTTC I verified this was not currently available in two separate orgs both with Salesforce Foundations enabled.

    Thanks @Abby Trout we dont currently have Agentforce or Data Cloud license. I was assuming the prompt Builder being GA would mean it appears in the org without any other products being enabled. But the more I am reading about the licensing it may be that Prompt Builder may come with Salesforce Foundations but we will have to check with our AE on this. Thanks for your help.

    This is a smart approach because embedding Agentforce Flex Prompt Templates directly into an MCP server moves AI usage from ad hoc prompting to a repeatable workflow. The biggest advantage is consistency: Claude receives the same structured instructions every time, which reduces prompt drift and makes outputs more reliable across teams.

    It’s similar to how a standardized reference, such as the china king chesaning menu, gives users a predictable experience instead of forcing them to figure things out from scratch each visit. The same principle applies here: less manual effort, fewer variations, and more dependable results at scale.

    I also like the focus on reducing context switching between Salesforce and Claude, since that’s often where productivity gets lost in real-world deployments.

While working on the Salesforce Prompt Builder > Sales Email Template. I have noticed the following, would like to know the thoughts of the community on the below observation.

 

Scenario 1:

 

I have created a template using the standard input fields, where in a few sections I have traversed through the child objects and provided Field names as inputs in my prompt template.

 

Scenario 2:

 

I have created a flex template, where I have provided the flow (The template triggered prompt flow has got all the records of that object, looped them and provided as input to the prompt template)

 

Observation: I have observed no much difference in the output provided by both Scenario 1 and Scenario 2, except for additional step of creating a flow to get records as input to a prompt template with in a flow. As per Salesforce, unless there is a custom logic where flow filters out the data based on the input I really do not see much of a difference in the output. But, I doubt this !

 

Feedback:

 

1. Could anyone please post their observations / thoughts on the above two scenarios?

2. Is there anything intresting you have observed while working on the prompt templates that stood out for you and want to advise me specific to Sales email prompt template creations.

Hi all,

 

I have been creating a series of Field Generation  prompt templates/corresponding fields for the past few months which have been working fine in my Org. When configured, I can click on the button on the Lightning Record Page (dynamic form enabled) to re-run the prompt. Normally when I do this, a Copilot window would open to the side and generate the output of my prompt (that part still happens) and then under the output would be a button that says "Use" which I could click and it would paste the results to the field (that is is no longer showing). So now I see the output but no "Use" button.

 

This is happening on all my field generation enabled fields, even the ones I created weeks/months ago. Has anyone seen anything odd like this happen to them? Please let me know thank you!!

    Everyone should start seeing the fix starting yesterday. If you didn't see it yesterday then should be today. All orgs will get the new patch today. It should be automatic.

    The patch is released in PST timezone around 4-5pm.
