Tableau User Group board | Cincinnati (Ohio)

Some self promotion, but I'm teaching a 2-Day Data Management (SQL and Data Modeling) training course at the University of Cincinnati on January 29th and 30th.  The course is meant for people interested in data to help them develop their skills on the data side of projects. The focus is on teaching basic to advance Microsoft SQL (MSSQL) and will also cover some basics on how to understand/create data models and different ways to structure data.  The basic SQL portion will include coverage of JOINs, GROUP BY, CASE, variety of functions and other syntax, while advance SQL will focus on variables, stored procedures, dynamic statements, PIVOT/UNPIVOT, and IF/THEN/WHILE (procedural).

The link for all the training courses that UC offers is located here: http://business.uc.edu/centers/analytics-center/analytics-training.html

(I highly suggest reviewing this list, I've participated in a few of the courses and found them to be great!)

and the direct link to signup for the course I'm teaching is here: https://www.regonline.com/builder/site/Default.aspx?EventID=1595627

Hi All.  I'm just curious about any plans for future Cinci TUG meetings?  I used to enjoy driving up from Kentucky, with coworkers, for a night of stimulating Tableau presentations.  However, it looks like the last one was quite some time ago.  Are Cincy TUG meetings a thing of the past?

For those that are interested, we (the admins of the group) are currently planning to host an event in late January.  The general plan is to have an event in the downtown area (or right across the river in Covington) on Tuesday January 20th starting around the 5-6 PM time frame.

Since we haven’t had an event in Cincinnati in a while we are planning to do multiple small presentations to show basic, advance, and expert level Tableau tips & tricks so there is something for everyone.  The event will also focus around meeting fellow Tableau users in the Cincinnati area, which will help us customize future material to better account for the experience level of the group.

We are still in the planning phase, but wanted to let the members of the group know that we are working on putting something together (since the group is fairly inactive).  I will make another post with more details and a definitive date, time, and location as soon as we lock down a few items.

If you have any questions/comments/concerns, please reply to this posting or contact me directly at russellspangler <at> gmail.com.

Thanks.

The official link for the event is located at this url:

    http://www.tableausoftware.com/learn/usergroups/cincinnati-user-group/2015-01-20

Please make sure you sign up if you are attending! There is limited capacity set on the event posting, if the event fills up, I'll adjust the capacity to get as many people as we can fit into the space.  There is a paid parking garage below the building, street parking I believe goes till 9PM (so watch out for meters if you park on the street).

The plan is to have 3 small presentations that are focused on different experience levels, then leave time for any discussions and to meet other individuals in the area (and maybe even troubleshoot/answer questions if you are having problems in Tableau!).  Everyone in the group should be receiving an email with the same information on Wednesday morning.

If you have any questions/comments/concerns, please reply to this posting or contact me directly at russellspangler <at> gmail.com.

Cincinnati Tableau User Group Members!

We have officially scheduled our 2nd meeting for Thursday, March 19th at Data Intensity (the same location as the previous meeting, formerly Clear Measures).  For this group meeting we will be hosting an Iron-Viz competition to help people showcase their abilities.  For those that are interested in competing you can register as a team or as sole contestants (I and the other admins will be sitting this competition out unless we do not receive a lot of interest, we however are available to help any of the teams prepare for the competition).  I will be posting details of the rules of the competition and a sample of the data set a few weeks prior to the event to help teams prepare for the competition.

I will be posting details for the signup page and any additional information over the next few days. Please contact me at russellspangler <at> gmail.com to register as a competitor as we will need to cap the number of teams.

    Sure.

Prior to the competition multiple teams will need to form and register, those can be either individuals or groups.  I will release a random sample of the data about 2-4 weeks before March 19th. During that time the teams can practice on creating a viz within Tableau.

For the competition, each team will need to bring a laptop (only one laptop can be used for each team, however people can swap who is creating the viz if multiple people are on a team) and we also hope to have projectors for each of the teams.  At the start of the competition each team will only be allowed to have a blank workbook and the data set loaded to their laptops.  Each team will then have 30 minutes to build a visualization to present to the judges (they can also use other programs, such as Excel, R, Websites, or SQL, however all code must be written in the 30 minutes).  Visualizations can be single dashboards, multiple tabs, story books, etc. and use any kind of charts, along with focus on any part of the data (maybe someone does a sales viz while another team focuses on employee performance). It is up to each team to come up with an idea of the “best viz” for the data.

We’ll try and provide commentary as the contest progresses during the 30 minutes.

After the 30 minutes have ended, each team will have a few minutes to present/talk about what they built and why.  Then the judges will ask a few questions or make a few suggestions and write down their scores based on a few categories (example: Visualization Design, Creativeness, Overall (TBD, I’ll provide more details about points in each category and what judges will be looking for)).  We’ll total up the points given by the judges and announce the winners, and we might even do something to determine a crowd favorite.

For those not in the competition, you can watch multiple people work on building a viz and hopefully gain some tips and tricks in the process.  As always after the event is over I encourage people to socialize and hopefully meet others in the area (especially if you enjoyed the viz that one team built).

We’ll also try and post all the vizzes online to the user group page/Tableau public profiles and will help support the teams/individuals via social media.

That is the general plan and I'm open to making some changes if needed.

I work in a group largely responsible for report and data delivery and my company installed Tableau Server in May.  We are getting to the point where we need to develop our team's development workflow.  I've gathered from much of what I've seen posted elsewhere that using Projects within the same Site is a preferred method for workflow (Development, QA, UAT, Production).

We currently have many frustrations with managing different versions of the truth that have evolved over the years across multiple reports ("why don't these sales reports match?").  For this reason we've planned to use Published Data Sources from the server as our 'single source of truth' when building new dashboards.

I've come to realize through recent experience (frustration) and forum posts that:

  • the old Development server and Production server separation to manage the workflow will be an exercise in tedium when having to promote workbooks/dashboards from the Dev server to Prod as we intend to use published data sources
  • workbooks in more than one Project will all be updated if only the workbook in one Project is updated (the post that illuminated this for me indicated using prefixes or suffixes on the workbook/dashboard names published unique to the Project in which they reside

I'm very excited to hit the ground running with Tableau, but I keep finding nuances about it that worry me about making the right workflow.

Does anyone have feedback on things one should NEVER do and things one must ALWAYS do?

Are there pros and cons / must-dos and never-dos for:

  • Two server (Dev & Prod) method of development and promotion?
  • Projects (Prod server) management for development and promotion?

Any assistance will be greatly appreciated as we try to ensure we steer our efforts in the right direction.

Kevin, I'm not sure if anyone answered your questions, but I'm happy to add my 2 cents.

I normally would suggest having your single point of truth within your database, that way you can connect multiple tools to one point within your organization.  Even though you might build something in Excel and something in Tableau, having data staged in a database will allow you a place to pull the exact same raw data for either of the tools.  If you do that you can avoid having published data sources and have a data connection directly to your backend.  You can still do published sources and have them refresh on an automatic schedule.  Granted if you use multiple tools you still have the issue of building things incorrectly and having mismatching numbers.

If you refresh a published data source it will refresh the data source on the server, if multiple workbooks connect to that published data source, you are correct that multiple workbooks will be updated.

You can do one production server with a folder for development.  Most development should happen within the desktop product, once a workbook has been put together it can be pushed to the server for final testing. If you don't want to manage multiple environments, having a folder for development might provide the least amount of maintenance.  If you have a large team and critical reports, then having two separate server environments and only a select few members to do the publishing to the production server might provide you with the most control (you can also do this separation using sites).

The hierarchy of Tableau is: Server -> Sites -> Projects -> Workbooks -> Worksheets/dashboards.  Sites are separated on the server (however users can access different sites on the same server), projects are like folders (only 1 level deep), and workbooks and worksheets/dashboards are what you see when using the developer product.

    I hope that helps!

We are starting to plan Event #3 for the user group, I'll update this posting as we put together the details for the next event.  The current plan is to host the event on the main campus at University of Cincinnati at the Carl H. Lindner College of Business building on Wednesday May 6th (start time around 4:30-5:30pm).

I would like to do a hands-on portion for the event, and possibly hold a happy/social hour afterwards at a local bar/restaurant.  We are open to ideas about topics to focus on for the hands on portion and possibly adding another presentation or idea for a part of the event.

Great job last night, guys! Can't wait for the next one.

The Iron Viz against the other Local Groups seems like it will be lots of fun. And I am sure we will win, with all the talent we have around here.

Also, from the discussion, here is some info about hiding underlying data:

    http://kb.tableau.com/articles/howto/hiding-underlying-data

    Question

How to hide the underlying data when sharing a workbook.

    Environment

    Tableau Desktop

    Answer

Use one of the following workarounds:

    • Publish the workbook to Tableau Server, and deny permission to view underlying data to relevant users. For more information, see Publishing to Tableau Server in Tableau Help.
    • Hide unused fields, and then create an extract. Hidden fields are automatically excluded from the extract. For more information, see Hide or Unhide Fields and Extracting Data in Tableau Help.
    • Use an aggregated extract. Aggregating data prevents users from seeing row-level data for aggregated fields. For more information, see Aggregated Extracts in the Tableau knowledge base.
    Additional Information
    • When using Tableau Reader, you cannot access the underlying data.
    • To voice your support for the inclusion of this feature in a future product release, add your vote to the following Community Idea: Allow download of summary but not underlying data

Hi,

This is a really simple issue, but not able to resolve.  I put a table calc into a parameter of various measures - it's a percent of total formula, and although it's working, I don't know how to format the result as a percentage (it will only show as 0.22 for example).

I'm sure there is a quick solution, I just don't know it.  Any assistance is appreciated!

Click on the option on the right side of any pill and click format. That should allow you to format the number to a %. If you do it on the canvas (rows or columns or marks) then it only holds for that use. If you do it on the data panel then it formats universal for all uses.

Fellow Cincinnati TUG members:

I recently posted an idea to the Tableau Community for improvements to ranking and Top N. I'd appreciate your review of and vote for the idea. Constructive feedback is also genuinely welcomed.

Fixed_Rank() and Top_N() Functions

The genesis of the idea is a business request to compare (1) the contribution of Top 10 teams for a territory to (2) the contribution of the Top 10 teams of the Top 5 territories. The business had to accept that 2nd result as the concentration across all territories after an uncomfortably detailed discussion of Table Calcs 😏
