Our Account Engagement database is getting close to the mailable prospect limit, so I've been working on a suppression strategy to free up room.
I set up two dynamic lists that both feed into a single automation rule that marks prospects as Do Not Email:
- The first list captures anyone with a Hard Bounce Detected email status who isn't already marked DNE. Since hard bounces are permanent, this felt like a safe call but I wanted to check that this is considered best practice.
- The second list captures prospects who haven't had any activity in 12+ months, were created more than 12 months ago, and are not already marked as DNE
Both lists are tied to a separate reactivation rule that flips Do Not Email back to False if a suppressed prospect shows any activity, so mailability is restored automatically if they engage again.
Is this a solid approach? Any suggestions or things you would do differently?
I appreciate any feedback!
Agree about archiving - it is not a feature so I assumed that sending to the recycle bin is what people are refer to when they reference "archiving" prospects. Since they are always retrievable.
