I'm looking for suggestions on how to keep my mailable prospects in Pardot below my 10,000 limit.  I need to load over 100,000 contacts with emails, but they'll need some additional prospecting and qualification before we can add them to any email lists.

 

For past orgs, I've used the selective sync guideline commonly used by HubSpot.  However, this requires using another Salesforce user licenses, which I've found isn't necessary.

 

I've confirmed with Salesforce that I can use the "Do Not Email" flag to control the mailable prospects to keep within my usage limits.  So, I'm thinking about defaulting this field to true.  But asking users to clear this without checking to see if it was set from a bounced email doesn't seem like a good idea.  

 

I'm thinking I need to create another field that users can control (i.e. Marketing Emailable), and then use some automation to validate if the Do Not Email flag can be cleared when this flag is checked.  

 

Any suggestions on how to implement something like this?

    @Michael Wray Using the "Do Not Email" flag in Pardot is a common way to control the number of mailable prospects. In terms of implementing a process to ensure that only qualified prospects are marked as mailable, here are a few suggestions:

     

    1. Create a custom field, such as "Marketing Emailable", that users can control.
    2. Use automation to validate the "Marketing Emailable" field before clearing the "Do Not Email" flag. For example, you can create a rule in Pardot that automatically checks the "Marketing Emailable" field before clearing the "Do Not Email" flag. If the field is set to "Yes", the "Do Not Email" flag can be cleared, allowing the prospect to receive emails.
    3. Train your users on the process and ensure that they understand the importance of only marking prospects as emailable if they meet certain criteria (e.g. after they've been qualified or if they've requested to receive emails).
