Hello, my client has been using Salesforce to house their employees as contacts under an internal account, but would like to instead house them all in Pardot to send monthly newsletters to. They have been utilizing an API to go from JDE to their org. What is the best way for them to bring over all of their contact info into Pardot as Prospects? We would set it up to not sync those prospects to Salesforce with an automation rule. And then further, what is the best practice for what to do with their old internal data in Salesforce? - For the group in SF: export a report with the Contact ID's and email only.
- Import to Pardot using the contact ID's and clearly tag, add to lists and identify this as your internal contacts group.
- Allow them to sync ONCE., this will pull down all their contact info from SF.
- Create a profile in Pardot just for these internal people (also makes it easy to ID/segment)
- Create an automation rule based on the tag you created on import to change prospect profile to put them in the employee profile and set to "do not sync with CRM". This gets them all in one tidy group and sets them not to sync any more.
- If you want to clear all the contacts and all their information out of Salesforce at that point, you can take the same file you exported in step one and use it in workbench or dataloader and do a mass delete.
- You could also put in a ticket after that and ask if Support can clear the CRM ID's from all the people in the employee profile, although that's optional. If any CRM sync were later attempted on a contact after you deleted the records, it would just fail because the CRM ID is missing.
