We have a category called tour Scheduled tour details and at the top is a subtitle link for Tour bookings (all those who are on the scheduled tour). It is a drop down list. For some reason my drop down list goes to 20 (thus showing almost all of the tour members) while a co-workedr only gets 5 records displayed. i have gone in to customize this page but it only shows categories to be displayed, not ability to increas list number displayed. How does one do that?

Looks like picklist vaues are not added to the record types. Check your record types and add missing value to the Category field.
Go to Your Name ---> Setup ---> App Setup ---> Customize ---> Objects ---> Record Types
Click on the record type and then click 'Edit' link next to field available and add missing picklist values to 'Selected Values' box.
