Hi everyone,

Salesforce for Outlook is being retired in December 2027, and we are currently reviewing our organisation’s dependency on the legacy Salesforce for Outlook application.

We have just enabled Outlook Integration and Einstein Activity Capture (EAC) in our Salesforce org. However, I’m a little confused about how to confirm whether any users are still using the legacy Salesforce for Outlook app, particularly because users can also install the Salesforce app from Outlook via Get Add-ins.

Could someone please clarify:

1. What is the best way to identify whether users in our org are still using the legacy Salesforce for Outlook application?

2. How can we distinguish the legacy Salesforce for Outlook add-in from the newer Outlook Integration add-in when both appear to be installed through Outlook’s Get Add-ins?

3. Is there a recommended Salesforce report, Setup page, or Microsoft 365 admin location that can help us identify all users currently dependent on the legacy application?

4. Since we already have Outlook Integration + EAC enabled, what should we specifically validate before removing the legacy SFO configuration?

Any guidance or recommended checks would be greatly appreciated.

    Yes - here are the best references, and one is screenshot-heavy: 

     

    - Trailhead module Outlook Integration - its unit Outlook Integration and Einstein Activity Capture Setup walks the whole thing step by step with screenshots. That is the one to hand your admin. 

    - Salesforce Help - search Outlook Integration and Sync for deploying the add-in, and Einstein Activity Capture for the sync side. 

    - In-app: Setup, Quick Find, Outlook Integration and Sync shows both the Outlook Integration and Einstein Activity Capture toggles and their status. 

     

    For EAC specifically the setup is three steps: grant users access via a permission set, create a configuration that controls what to capture and sync, then assign users to that configuration.

    Hi! Huan,

     

    Please follow the below steps:

     

    Installing the Salesforce Outlook Add-in (Mac)

    • If you have Microsoft Outlook open, close it
    • Navigate to the Office 365 website ‘Manage Add-Ins’ Page: (https://outlook.office.com/owa/?path=/options/manageapps)
    • Find Salesforce in the add-in in the list and check the box in the Turn On column
    • Wait about 15 to 20 seconds and then open Microsoft Outlook
    • The Salesforce add-in should appear on your Outlook ribbon

    Configuring the Salesforce Outlook Add-in

    • Click on the Salesforce Outlook Add-in on the Outlook ribbon (toolbar) to open it
    • If you’re using the web version of Outlook you can configure the add-in by clicking on the Salesforce Outlook icon
    • Make sure ‘Production’ is selected for the Environment
    • Click on “Log In To Salesforce”
    • Click on ‘Use Custom Domain’
    • You will be logged into Salesforce inside Outlook the add-in
    • Once you’ve activated and configured the Salesforce add-in it will be active and configured in all versions of Outlook, both desktop and web versions.

Hello Salesforce (and Outlook) friends,

 

does anybody know whether it is possible to disable the "Send through Salesforce" option in users' settings? 

 

Is it possible to disable

 

Background is, we do want to send to allow sending email, we just want make sure nobody sends other than through Office 365.

    I am assuming, in the org below steps have been followed

     

    1. From Setup, in the Quick Find box, enter Send through External Email Services, and then select Send through External Email Services.
    2. Select either Send through Gmail or Send through Office 365.
    3. From Setup, enter Deliverability in the Quick Find box, then select Deliverability under Email.
    4. Set the access level for sending email to All email.

     

    In that case, for your ask.. we cannot disable that Option of Send through Salesforce. May be try to raise a case with Salesforce support and check if they can disable for the Org.

     

    an alternative way is.. (since the salesforce option will exist).. you can try to enforce users for Office365 via training as well as explore Email Relay services. This needs some work but i guess it will work as it requsts salesforce to relay all emails via office 365. Link as below

If your html template contains the {!Community_Url} merge field, chances are its length will cause Outlook, and some other mail services to override the width setting and force the text of the body to go wider than the screen with no horizontal scrolling available.

Solution – use a short text that will hold the link.   Select that text, click the link widget and enter {!Community_Url} in the popup. https:// will initially appear, but paste over it.

Hi all,

 

I'm working on a screen login flow to encourage users to connect their Salesforce and Outlook accounts.

 

The user can set a reminder and it creates a task. 

I've been running some tests, to see what's the best. So my flow can also creates an event.

 

What I want is that when an event is created, it's also sent by email to the user as an Outlook invitation .ics format and html body with instructions. It is possible?

 

To sum up: I want the user to recieve an email which contains:

- event invitation in ics format so he can see it in his outlook calendar.

- html body with all the instructions on how to connect Salesforce and Outlook.

    Hi Marie, 

     

    This is definitely possible, as I've done it previously. What I ended up doing was using a Visualforce email template with an attachment, where the attachment contained the ICS file (using the various merge fields from the record). I did need to use an Apex controller to format some of the values the way I wanted, though, so you'll most likely need a developer.

Several of my users have reported intermittent issues adding emails to Leads using "drop n drag". Thus far the issues have only been with emails that are replies from customers sent to a shared mailbox. 

 

What's the issue?

A reply email is dragged from Outlook to our Production org to be attached to a lead. Rather than attaching to the Lead record a new tab opens and in the URL is a message: 

 Intermittent issue - drop/drag emails from Outlook to

The rest of the screen is blank.

 

It shouldn't have anything to do with the size of the email, there are much larger emails that we are able to drop/drag without issue. 

 

In all reported instances there are no attachments to these reply emails and the issues have been reported by different users. 

 

We do not use Inbox and have not yet rolled out to our Production org our Outlook Integration. 

 

Has anyone experienced something similar?

    Hi @Gwenn Ferguson,

     

    To troubleshoot the issue, you may want to check the following:

    1. Check if the Lead record exists in Salesforce and if the email address associated with the Lead matches the email address in the email being attached.
    2. Verify if there are any customizations or configurations in your Salesforce instance or Outlook integration that may be causing the issue.
    3. Check if the user who is trying to attach the email has the necessary permissions to access and modify the Lead record.
    4. Review the error message in the URL and try to identify the cause of the issue.
    5. If the issue persists, you may want to contact Salesforce support or your organization's Salesforce administrator for further assistance.

Our users are just starting to use the Outlook  Integration.  One of the users is receiving an error when attempting to Log an email from the Saleforce panel within outlook:

 

"exchangeServerError": {

  "code": "ErrorNonExistentMailbox",

  "message": "No mailbox with such guid."

 

Has anyone else experienced this, and is aware of a cause and/or solution?

    @Jazmine Moore

    Do you see any errors when you click on the Troubleshoot option in Outlook Integration panel? So navigate to the email where you are getting this error and then click on troubleshoot, see if you are getting any error there.

I'm typing this email when all of the sudden my outlook starts going crazy.  First the person's signature to whom I'm replying jumps up before my cursor while I'm typing and before I can figure out what is happening my paragraph literally disappears!  Then as I look around the screen to the still docked email window, I see all the stuff I circled in yellow highlighter.  

 

So I decide to I'm going to screen snap the entire screen to share with this group.  After doing so, I thought maybe I will "pop out" the email into its own window and the bottom snip is the result.  I'm thinking 1) Inbox might be doing something to my Outlook - as I've seen goofy icons (two or three) once before and didn't think much, 2) Gremlin are in the machine or 3) my workstation or outlook may have suffered a seizure or may have been infected with Covid?  :)  Leaning heavily towards something wrong with Outlook & Inbox playing nice together as no other app that is open including the internet that i'm typing this post is acting out of sorts.  Any advice or past experience would greatly appreciated.

    FYI, I had to close Outlook b/c nothing worked.  When I get back to inbox, fully typed email is back, like nothing ever happened.  All the text is there, just fine....  #Gremlins

After i sync an email from outlook to salesforce, is there a way to access EmailMessageId or TaskId in my Aura Component (implements clients:availableForMailAppAppPage) displayed on Salesforce Outlook panel/layout?

    Just spent 3 weeks researching this. Solution: Global actions create new individual actions like create opp and new contact. Outlook integration and sync, let users access, create new email application publisher layout, add the new global action you created, and assign as default to profiles/groups.

Hello everyone,

I have a small question about the connection between Salesforce (App: TrackWise Digital) and Outlook. 

 

Every outgoing email ends up in the spam folder of Outlook. The reason for this is probably that a cryptic key from Salesforce is attached to the sender address.

 

Examples:

 e389jr8010tc.1x-8goveai.cs100.bnc.sandbox.salesforce.com

 ynrbzv392s7gljot.0pobb.1x-8goveai.cs100.bnc.sandbox.salesforce.com

 

Apparently the email is forwarded by Salesforce.

 

Is this error known and is there a solution?
