I pulled a list of unengaged subscribers that have not opened at least one of our last 3 monthly sends. I want to suppress these contacts from our filtered data extension which we use to send to. How do I do this? And how would I keep this automated to continuously remove unegaged contacts.

    Hi Taylor,

     

    The most robust, automated way to handle this in Marketing Cloud is using Automation Studio with a SQL Query Activity or by using an Exclusion/Suppression List at send time.

     

    Here are the two industry-standard approaches depending on how your sends are orchestrated:

     

    Option 1: Automation Studio + SQL Query (Recommended for Ongoing Automation)

    Instead of manually maintaining a filtered Data Extension (DE), let Automation Studio calculate the sendable list on a daily or monthly schedule.

     

    1. Create a "Sendable" Data Extension

     

    • Create a DE that contains the subscribers eligible to receive the newsletter (e.g., Monthly_Newsletter_Audience).

     

    2. Write a SQL Query Activity

     

    • Query your master audience and use a LEFT JOIN or NOT EXISTS against the _Open Data View for the past 90 days (3 months):

    3. Automate in Automation Studio

     

    • Build a scheduled automation:
      • Step 1: SQL Query (Data Action: Overwrite to your Monthly_Newsletter_Audience DE).
      • Step 2: Trigger your Email Send or Journey.

     

    Option 2: Use an Auto-Suppression Configuration or Send-Time Exclusion

    If you prefer to keep your existing Filtered Data Extension as-is and simply suppress those unengaged contacts at the moment of send:

     

    • Send-Time Exclusion:
      1. Store your unengaged subscribers in a dedicated DE (e.g., Unengaged_Suppression_DE).
      2. In your Email Send Definition or Journey Builder Email Activity, expand Delivery Options.
      3. Select Unengaged_Suppression_DE in the Exclusion List / Exclusion Script field.
    • Auto-Suppression List (Account-Wide):
      • If you never want these unengaged subscribers receiving any commercial email, go to Email Studio > Subscribers > Auto-Suppression Lists, create a list, and populate it via an Automation Studio query.

Hi! I was wondering if anyone else was experiencing this. We have been getting a much lower than normal open rate the past two monthly sends. We used to average between 40-50% open rate but have now dropped to 29% for each send (august & september). I first thought it was our subject line but don't think that's the cause anymore. Our delivered emails remain the same so no drop in that. 

 

I did research on the Gmail update that happened in July that penalizes larger lists and prioritizes engagement. We do have a lot of unengaged subscribers which I am thinking could be the cause of this. Would it be worth cleaning out these subscribers to see if this fixes the issue? Any other recommendations or think this may be something else?

    Good that rules out the most common silent failure cause, so this now points toward reputation/engagement rather than authentication. With 65k/123k on Gmail, you're well past the bulk sender threshold, so their spam-rate and engagement bar applies fully to you. 

    1. Gmail Postmaster Tools - do this first, it's the actual source of truth Everything above is inference from opens; Postmaster gives you Gmail's own view: 

    • Spam rate - this is the one that matters most. Gmail wants this under 0.10%, and anything approaching 0.3% risks bulk filtering. Marketing Cloud's own complaint tracking undercounts this people who just hit "report spam" without unsubscribing don't always show up the same way in MC's complaint metrics.
    • Domain/IP reputation High/Medium/Low/Bad bucket, tracked daily
    • Delivery errors and feedback loop data
    • Needs domain verification (TXT record) if not already set up, this alone is worth doing regardless of the current issue, since you'll want the historical trend once you have it.

    2. Segment your engagement report by ISP before doing anything else

    If open rate dropped roughly evenly across Gmail/Yahoo/Outlook, that points more toward content/list fatigue than a Gmail specific inbox placement issue. If it's disproportionately Gmail, that confirms reputation/spam rate as the driver. This one check tells you which of the two paths below to prioritize. 

    3. On spam rate specifically check for a silent cause

    Since authentication passes, a spam rate creep is the next most likely explanation for exactly this symptom (delivered flat, opens down). Things that quietly push spam rate up: 

     

    • A list merge/import around July/Aug that added lower-quality or older contacts
    • No visible/working one-click unsubscribe (Gmail requires the List Unsubscribe header AND that it actually works within 2 days) if someone can't easily unsubscribe, they hit "report spam" instead
    • Content changes (new sender name, new link domains, more images) that shifted spam filter scoring independent of reputation

    4. Sunset flow before mass suppression

    Once you know the spam rate and whether it's Gmail specific, then move to hygiene but sequence it: 

     

    • Re-engagement send to 90+ day unengaged (low risk subject line ask if they still want these)
    • Suppress non responders after that, rather than a single large deletion a sudden big cut can itself cause a short-term reputation dip right when you're trying to recover

A few weeks ago I posted that I've been experience a lower than usual open rate falling from around 42% to 29%. Someone suggested I look into Google Postmaster for information on spam rate and deliverability. I got this to work and started investigating but can't determine what I should do. I provided information below. Thanks! Edit: It is important to note that I use the same template and sending method (a data extension for every monthly send so nothing has changed here)

 

Deliverability analysis:

 

"A significant percentage of your messages have delivery errors, typically a result in sudden increase in sending volume or issues with your infrastructure. The errors are causing a delivery delay for the affected messages." 

Recommended action: Check the STMP logs for your outgoing email. Reduce sending rate and check the SMTP bounce message for more details and instructions. 

 

Delivery Errors for recent sends

 

Error type: reject, reason: suspected spam, percentage: 7.32% 

Error type: reject, reason: suspected spam, percentage: 71.53% 

Error type: reject, reason: suspected spam, percentage: 0.69% 

 

Spam rate: 

July: 0.04% 

August: 0.08% 

September: 0.03% 

 

I was also told to run it through Senderscore for my IP address and it came back with a high score of around 90 so it shouldnt be the IP address.

    Hi Taylor, 

     

    Two different signals here: Spam Rate (0.03–0.08%) = user complaints on delivered mail — that's fine. "Suspected spam" delivery errors (71.53%!) = Gmail rejecting/deferring mail at SMTP before it's even delivered. That's your open-rate drop right there — rejected mail can't be opened. 

     

    Since template/process are unchanged, likely causes: 

     

    1. List engagement decay — reusing the same DE monthly means unengaged/dead Gmail addresses pile up over time. Gmail's filtering is engagement-based, so this alone can trigger a spike even with zero content change. Prune addresses with no opens/clicks in the last 3–6 sends. 

     

    2. Auth drift — SPF/DKIM/DMARC can silently break (DNS changes, key rotation, lookup limits) without touching the email. Check a recent header via Google's Messageheader tool. 

     

    3. Check Postmaster's own Domain/IP reputation graphs (not SenderScore — different data source) for a Gmail-specific drop to Medium/Low. 

     

    4. Tracked/redirect links in the template can carry their own reputation issues independent of content — test them via Google Safe Browsing/VirusTotal. 

     

    Start with #1, it's the most common cause of this exact pattern.

I would like to change a rating from 5-star to 3-star.  I created a picklist titled, "Grade," and the values are 1,2,3.  Then I have a formula field with the following, 

 

IMAGE( CASE(Grade__c, "1", "/img/samples/stars_100.gif", "2", "/img/samples/stars_200.gif", "3", "/img/samples/stars_300.gif", "/img/samples/stars_000.gif"), "WAS Rating")

 

Even though I only selected 1,2,3 for my picklist and 1,2,3 in the formula, the field still shows 5 available stars.  I want this to show 3 available stars.  Please let me know how I can do this.

    Hi Michael,

    The issue is that /img/samples/stars_100.gif, stars_200.gif, and stars_300.gif are Salesforce's sample images, and those images are based on the standard 5-star rating scale. Changing the picklist values doesn't change the number of stars in the image itself. 

     

    If you want a true 3-star display, you'll need to use your own 3-star image files as a Static Resource and reference those in the formula.

    For example:

    Create the appropriate 0-, 1-, 2-, and 3-star images and upload them as a Static Resource. That way the displayed scale is actually limited to 3 stars.

    Hi, Use pass keys it can be saved in the PC or chrome profile so it'll authenticate without mobile app.

The last few sends have seen a significant increase in blocked bounces, which makes me think we're dealing with a sender reputation issue. We're using a SAP with a shared IP and only sending to about 1,000 recipients per month. Are there any common reputation-related issues I should be looking into beyond authentication and content testing? I've tested the emails in Email on Acid and they're returning low spam scores, so I'm struggling to identify the root cause.

I'm also considering switching to a sending domain used by another BU that has significantly higher volume. However, I'm concerned that if the underlying reputation issue isn't addressed, the problem will just follow us. Has anyone tried this approach, and did it actually help?

    A few things stand out. At ~1,000 sends/month, a shared IP is actually the right call — a dedicated IP needs steady high volume (think 100k+/month) to stay warm, so moving to one would likely hurt deliverability, not help. The trade-off of a shared IP is that your reputation is partly tied to the other senders in that pool, so a sudden jump in blocked bounces can come from them even when your own auth and content are clean (which your Email on Acid scores back up). 

     

    Because your volume is low, reputation is domain-driven more than IP-driven — so check Google Postmaster Tools (domain reputation + spam rate) and pull your bounce logs to see exactly which receiving domains are blocking and the reason they give; a blocked bounce almost always names a blocklist or policy. Worth checking the shared IP against Spamhaus too. 

     

    On switching to the other BU's domain — I'd hold off. That mostly moves the problem (and risks dragging their domain down); better to pin down the actual block source first.

Hello! Does anyone have any suggestions on call tracking features in salesforce? We are leaning towards Aircall CTI, but if anyone has any suggestions on something similar and/or better let me know!

 

We want it to be as seamless as possible - our reps make a call in salesforce and it's automatically tracked/notes, states how long the call was etc. and we can report on it.

    Aircall sounds like a good fit for what you need. The automatic logging and call duration tracking are especially useful if your reps make a lot of calls. I’d also compare the reporting and CRM integration before deciding, since those can make a big difference once the team starts using it regularly.

I have a drip email Campaign - Many Emails and Wait times between the email sends - The Campaign is driven from an Actionable List.   If I add members to the Actionable List after the Campaign has been activated, will they start the Journey at the beginning, where it currently is at, or not at all?

    Is the campaign set to run on a recurring schedule? 

     

    Whether newly added members enter the flow depends on the campaign schedule. If it is a one-time send and that scheduled run has already occurred, adding members to the Actionable List afterward will not cause them to enter the flow. 

     

    If it is running on a recurring schedule, newly added members can enter at the next scheduled run. 

     

    They will not join the flow at the point where existing members currently are. There is no functionality for members to enter partway through the flow—they always enter from the beginning when the flow runs.

We have a user in our Marketing Cloud connecting to our CRM that is from an old supplier and should be changed. What is the impact of disconnecting and connecting a new user? Is that a possibility?  

 

We also had to change the password of said user and now it seems the connection between SF and MC is broken but only on the direction MC->SF. Even though it says connected in the integration setup page, the update object activity from journeys is not communicating to SF anymore.  

 

From SF to MC information is still flowing (probably because the API user is unchanged).  

 

Appreciate any insights you might have

    Thank you both for the answer. I think I did not explain the problem thoroughly, basically one of my admins had revoked some app of the dedicated user (because it was an old agency user) and it threw the integration off tracks. We did keep the name of the user, changed the communication email and in the end only reset the password. 

     

    After much research I was very scared of having to reconfigure the whole connector, so I reached out for support. They instructed us to change the configs of the connected app in the CRM to: 

     

    Setup -> Apps -> Connected Apps -> Manage Connected Apps -> Salesforce Marketing Cloud. 

    -> Under 'Permitted Users', could you please select 'Admin approved users are pre-authorised'? 

    -> Under 'Refresh Token Policy', could you please select 'Immediately' 

     

    And that, somehow fixed the connection. I still cant make sense of it since I did not have to reauthenticate the user. I asked for more clarifications, but what's important is that the connections was reestablished successfully. The object activities from journeys and the IER are flowing back to CRM.
