Hi all! 

 

Quick context: we are an education philanthropy that moved to SF + OBJ about 2 years ago. One challenge we are grappling with right now is how to manage multiple contacts associated with our FRs. This list includes:

  • Applying contact
  • Primary leader/founder
  • Secondary leader/founder
  • Grant signatory
  • Payment contact
  • Fiscal sponsor contact (when relevant)
  • FS signatory 
  • FS payment contact 
  • Relationship management contact (we provide ongoing support) 
  • etc...

For this type of thing, are folks using the default "FR Role" object? We have found that that type of thing, similar to Affiliation, is really difficult for our staff to use and keep track up. We had been using "flat" fields for some of these contacts, like the primary/secondary leader, since we also report on leader demographics but this meant folks need to update info across contact records, affiliations, and the FR. We're moving to move contact record lookups directly on the FR but curious if there's another way we should be thinking of!

    The Funding Request Role object is the right home for this — it's built exactly for the case of many contacts, each with a role, on one FR, and adding a new role type is just a picklist value, not a schema change. Your instinct to move off flat fields is correct; the pain is that you're spreading the same info across flat fields + Affiliations + roles at once. 

     

    A hybrid that fixes both the reporting and the UX: 

     

    1) Make FR Role the single source of truth for the full, variable list (signatories, payment contacts, fiscal-sponsor contacts, the rest). It handles the long tail without a field explosion. The FR also has a native applicant lookup for the primary applying contact/account — use that for the applicant, FR Roles for everyone else. 

     

    2) For the one or two roles you actually report on (primary/secondary leader demographics), keep a flat lookup on the FR but auto-populate it with a record-triggered Flow: when an FR Role of that type is created or updated, stamp the FR lookup. That kills the manual double-entry you called out, and demographics stay a simple FR-to-Contact report. 

     

    3) The FR Role UX complaint is usually fixable without dropping the model: add a screen flow or quick action to attach a contact in two clicks, and put a clean related list (Role, Contact, key columns) on the FR layout. 

     

    4) Keep Affiliations for the durable who-works-where org relationships and FR Roles for per-request context — different grains. Forcing Affiliations to carry per-FR roles is part of what is hurting. 

     

    Net: junction as source of truth, Flow-sync the handful you report on, invest in a good entry component.

I wanted to share a Flow (NO CODE) that can do a Nonprofit Charity Check and retrieve tax record Data for US-based nonprofits and foundations.  I recorded a Demo and overview of the build if you're interested.  I think this could be really helpful for nonprofits and foundations that need to review 990s, tax exempt status, and lookup EINs.  It still has room to grow as I hope to dig into NTEE codes and Funding Codes that are part of the 990 data and could help identify orgs funding or working on a particular issue.

So Part 2, what are your ideas?  What other things do you wish you could have a flow reach get, to display about an organization, or update your records in Salesforce with updated data and save your staff time and help your organization?  Do you know of a free API where this data exists but you don't know how to access it?  If so, please share it in the comments.  I'd like to continue to expand this flow to make it easy for

nonprofits to keep data up to date and have easy access to data that can help inform their work all without having to leave Salesforce.

    I'm excited to check this out, thanks! While the nonprofit I work at doesn't really do this kind of data tracking or work, as with most things, I'm sure there's elements I can incorporate into what we do.

     

    My biggest back burner idea/hope is around helping my coworkers who constantly have to go to our state's assessment/taxation website to look up their client's property records and copy the data to our system. We use grant funding to help make energy efficiency upgrades to homes like efficient lightbulbs, weatherizing homes with insulation, and solar panel installation accessible to low/moderate income residents.  And use all that information for reporting purposes. I know there is some kind of "Open Data Portal" for our state, but I haven't had time, or the knowledge/experience, to properly investigate.

#SFDOSprintIdea  For all of those who were looking for linking Funding programs with the GAU, we're going to be continuing our discussion around this linkage from the last Sprint in Denver, while in Portland and hoping ot make some progress.

 

 At Denver, we had stalled on a few scenarios to help get these two items connected.

  1. Utilize GAU Expenditures from the package with additional changes (like record type or other considerations)
  2. Utilize a new custom object
  3. Add additional lookup field to the existing GAU Allocation object in the NPSP (this would require some customization by Salesforce.org to allow for better extensibility).

We're hoping to build on this conversation from Denver and get some resolution so we can see this in the package soon!

 

Ways that you can help, if you have some scenarios or experience and will be at the Sprint, we'd love to have you join our table for a few minutes, or for the whole sprint.  However as we know many people won't be able to attend the Sprint, we'd love to have your feedback here.

Just wondered if anyone had given any kind of community access to their grantees, i.e once a grant has been given (or even before) so contacts can update personal details, submit reports/ other documentation, etc? If so, how well is it working for you?

    Hello, I am fairly new to this community but excited to see how salesforce can integrate with other sites / platforms we use. We accept applications and reports currently through Survey Monkey Apply. Am i right in thinking that there is functionality to integrate the two?

Our PAC makes contributions to candidates and we would like to start tracking it in Salesforce. Has anyone has used outbound funds to track something similar to that? Would love to here any examples or case studies on it. #outboundfunds

Hi, Apologies if i'm going over old ground here but i'd be grateful if I can run my build past you guys to make sure i'm not missing anything. I have installed the NPSP extension and set up GAU objects that link to Allocations from Donations and Disbursements from my Funding Programs. As far as I can see this is tracking the incoming and outgoings relating to a particular funding program correctly on the GAU. 

 

My question then is is there any way to keep the Funding Program fields updated based on the data in the GAU? I think what i'm looking for is a method of automatically updating the Total Program Amount filed on the Funding Program based on the Allocations assigned to the corresponding GAU. If not, am I right in thinking that the only way to update this field is manually?

    Liam, not knowing anything about the #Outbound Funds package I imagine that by using a #Flow someone could make that automation happen. I doubt you could make the connect between those objects in Process Builder. I hope that helps!
