We are not on OAuth 2.0 but on a Service Account which will not be supported as soon as we move from EWS to Graph and we plan to move in next week and before that move away from Service Account to OAuth 2.0. What will be my steps to perform once I move from service Account 2.0 to OAuth 2.0 to retain Lightning Sync until its potential end of life on Graph?

Hi Everyone, 

Let me start with our issue: 

After sometime building a reliance using the Salesforce to Outlook calendar sync it appears that the standard program will no longer work. Issue is: 

1) Our MS Account is controlled on the corporate level and uses a different email, alias, address than out Salesforce email.  

2) Modifying the MS email is not possible due to a change in the corporate username format. 

3) Being only a small company within a large organization we would not have the pull to build a connector or ask for org level changes.  

 

My question,  

1) Has anyone out there had this issue? If so, were you ably to work around it by: 

     a) Maybe a 3rd party? 

     b) Some coded solution?  

     or....

To perform lightning sync between outlook and salesforce, it is necessary to choose a connection method. If I choose the Service Account method, I have to log in with it and set up the different domains.  In my specific case, the service account created and logged in, does not have access to emails with different domains than the service account, so if I put in other domains, would it still be able to synchronize contacts for a user with different domain?

For example if my service account as domain "test.com" and the user to sync has domain equals "extratest.com", but service account has not visibility on the "extratest.com" domain it is possible to sync this user? If this is not possible, how can this be done? Is it possible to set up two service accounts at the same time?

Hi everyone!

I'm trayng to conect Salesforce to Outlook bout, with Lightning Sync and Einstein Activity Capture. What do I need in the Outlook side to integrate them? Exchage? I'm Trying to dowlad the Salesforce Add-ins but as I don't have Exchange and I can't. Do I have to get Exchange? Is the Salesforce Add-ins needed with bout of them, Lightning Sync and Einstein Activity Capture.

    Hi @Salvador Estorch If you are trying to download the plugin to just your own email client (lets say outlook 2013, 2016) , simply go to manage add ins and install the salesforce addin. Here is step by step trailhead link. Only if you want deploy it to users so that it is available to everyone in your org, you can login with your exchange credentials and add the plug in so that everyone can see the outlook side panel. Ofcourse users would need to authenticate by logging into salesforce via the sidepanel. In order to sync, we recommend you to use Einstein activity capture which is far easier to setup then lightning sync. Please keep in mind that lightning sync is not available to new customers starting winter 21. Here is the article. Here is a video on Einstein activity capture. Please do watch it.

After i sync an email from outlook to salesforce, is there a way to access EmailMessageId or TaskId in my Aura Component (implements clients:availableForMailAppAppPage) displayed on Salesforce Outlook panel/layout?

    Just spent 3 weeks researching this. Solution: Global actions create new individual actions like create opp and new contact. Outlook integration and sync, let users access, create new email application publisher layout, add the new global action you created, and assign as default to profiles/groups.

Question about lead creation through outlook. 

When the user selects "new lead" or "add to salesforce" [the same thing] there is a set of fields that they need to populate. 

 Q1: Where does outlook pulls this info from?

Q2: Can it be edited? We have a validation rule requesting extra information to be populated.     It comes from global actions. Go to setup and find Global Actions.

     

    There is a standard action for new leads. You can edit the layout or even create a brand new action and assign it to you outlook integration

Hi there,

I'm testing out integration between outlook and salesforce for the organisation I work for. The 'Salesforce for Outlook' plugin for outlook works just fine, but I'm struggling with the Salesforce side, mostly with Lightning Sync vs. Einstein Activity Capture. I know Lightning Sync is being depreciated, and I'm happy to use EAC, but I can't seem to be able to use it properly. 

I want to set up on a user basis rather than org-level, but I can't because it says there's still users using lightning sync (see screenshot below). How do I find out which users these are? Lightning Sync is switched off for both Outlook and Gmail, and I can't find any settings regarding users with Lightning Synce left switched on. Some help with this would be greatly appreciated!

I'm working in sandbox at the moment as a test, not sure if that affects anything.

    Thanks for this - the option for 'Let users sync contacts, events, or both between Microsoft Exchange and Salesforce' isn't available, as the settings have been migrated.

We have Lightning Sync set up and users are complaining about all the SFDC contacts going into their phone lists. We know you can remove that list from your contacts, however, when creating a new email or searching for a contact they still tend to appear on a phone.   If we remove the sync of contacts from SFDC to Outlook are we still able to attach emails to contacts in SFDC as we do now?

    Hi Michelle, 

     

    If you remove the sync of contacts, I believe that the email should still attach to any contacts that exist in Salesforce. However, if a new customer sends an email that is not in Salesforce, the email might go to Unresolved Items because it can't find a contact to associate the email with. However, the user could still use the Salesforce Pane in outlook to manually create that Contact in Salesforce which should link that email to them.

I would like to know if when i modify the subject of an event on Salesforce, the update is well syncronized and visible on the event on outlook! 

The configuration is set up on bidirectional sync.

Hi everyone,

 

Our sales team wants to use Outlook Integration to sync Contacts and Events from Outlook to Salesforce.

 

We started to configure Lightning Sync to enable this in our Classic Sales Org - our MS Exchange Email Admin helped log in with the global admin access, however when coming to the step "Permissions requested Review for your organization" our IT management team has issues with the level of access required, specifically:

 

"This app would like to "Use Exchange Web Services with full access to all mailboxes: "Allows the app to have FULL ACCESS via Exchange Web Services to ALL MAILBOXES without a signed-in user."

 

Our Admin and Security team have concerns with allowing this level of access to Exchange (full access to all mailboxes without a signed-in user) and we won't be able to activate this for the users to sync Contacts and Events unless there's a solution available that does not require FULL access to ALL mailboxes.

 

Salesforce Support has informed me that both Lightning Sync and Einstein Activity Capture both require Full access to All mailboxes for this functionality - is this true, or are there any workarounds or any other suggestions? There was a brief mention of third-party apps however the organization most likely does not want to pay additional per-user costs for this. Is there an out of the box solution within Salesforce? Or is there a best recommended free third-party app to achieve this?

 

Given recent cybersecurity breaches in the news the company does not want to allow Full access to all employees' inboxes to activate this feature when only a small subset of employees will use this!

    Hi @Dan Pearce

    EAC is only available in LEX, so this would not be a viable solution here anyway, although it does offer a user-connection oAuth, which resolves this access issue. Potentially you could use the service account connection method, which allows you to scope the access to the exchange server to a list of users you specify. Not sure if you meet the tech requirements though:

    There would be no other out of the box functionality available in Salesforce.
