Follow a Constituent Through Scheduling

Now that you know what Workforce Scheduling is and how its architecture fits together, let's follow an appointment from scheduling to completion.

City of Cosville resident Laura O'Brien is applying to become a foster care provider. She needs two appointments:

  • An in-office licensing interview
  • A home inspection one week later

As Laura moves through the process, you'll see how Workforce Scheduling supports constituents, agents, dispatchers, and field workers using a single scheduling platform.

Schedule a Licensing Interview

Constituents can schedule appointments through a constituent portal. The scheduling flow connects the appointment to the constituent's Account, the Salesforce record that represents the person or household receiving services. This connection keeps the appointment associated with the constituent's case history.Laura signs in to the Cosville portal. From her foster care licensing application, she selects the option to schedule her licensing interview.

  1. Select a Work Type. Laura selects Licensing Interview. The selected Work Type determines the scheduling experience. Because a Licensing Interview is classified as on-site work, Workforce Scheduling applies Cosville's on-site scheduling rules.
    • If Laura instead selected a field Work Type—such as a Home Inspection, the scheduling flow would present available field arrival windows based on worker availability, travel, and scheduling policies.
  2. Choose a location. Laura picks a nearby Family Services office.
  3. Select a time slot. The portal displays available appointment slots based on the branch's operating hours and Cosville's scheduling policy.
  4. Confirm the appointment. After Laura confirms her selection, Workforce Scheduling creates the Interaction, the scheduling object for this Work Type, connects it to the underlying scheduling records, and updates the assigned worker's schedule automatically.

If Laura didn't have a portal account, Cosville could schedule the same appointment through guest scheduling. After scheduling, Laura would receive a secure email link that lets her view or modify the appointment without signing in.

A few days later, Laura needs to change her interview time. She returns to the portal, opens her upcoming appointment, selects a new time slot, and reschedules without calling the Family Services office.

Manage On-Site Arrivals

On the day of her interview, Laura arrives at the branch. Not every constituent schedules ahead, and even scheduled appointments require an efficient arrival process.

Laura checks in at the front desk, where a greeter confirms her appointment and marks her as arrived. Staff can monitor arrivals directly in Salesforce, helping them keep appointments moving without relying on paper sign-in sheets or separate systems.

Schedule a Home Inspection

Following Laura's licensing interview, Cosville determines that a home inspection is required. A dispatcher calls Laura to schedule the visit and launches the scheduling flow from Laura's account.

Because this is field work, Workforce Scheduling evaluates Laura's address, identifies the appropriate service territory, and returns a list of available arrival windows.

The arrival windows are ranked based on Cosville's field scheduling objectives, such as minimizing travel time, matching worker skills, and keeping work within the assigned service territory. The dispatcher recommends the highest-ranked options first, and Laura selects the arrival window that works best for her.

Once Laura confirms her choice, Workforce Scheduling schedules the visit and automatically assigns it to the most appropriate field worker, such as licensing specialist Connor Tan.

Manage Work with the Operations Console

Cosville dispatchers oversee both Laura's in-office interview and her upcoming home inspection from the Operations Console.

The Operations Console provides a single workspace for monitoring schedules, managing capacity, resolving conflicts, and keeping both on-site and field work moving efficiently.

Dispatchers use different views depending on the task at hand.

  • Gantt View—When schedules change unexpectedly, dispatchers use the Gantt view. Each worker appears as a row, while appointments appear as draggable tiles. If a worker calls in sick, the dispatcher simply drags Laura's visit to another qualified worker. Workforce Scheduling updates the assignment while keeping the scheduling records synchronized.
  • Map View—For field work, dispatchers use the Map view. Appointments appear as map pins alongside worker routes, allowing dispatchers to review travel across service territories before workers begin their day.
  • List Views—Dispatchers can also work from configurable lists of Visits, Interactions, or Service Appointments. Filtering by status, territory, worker, or appointment type makes it easy to locate specific records or identify work that needs attention.

Complete the Field Site Visit

On the day of the visit, Connor doesn't need to return to the office. He completes his work using the Salesforce Field Service mobile app, which provides Workforce Scheduling's mobile experience for field workers.

From the app, Connor can:

  • View his daily schedule.
  • Review constituent details before arriving.
  • Complete required forms and regulatory questions.
  • Update appointment status.
  • Work offline in areas with limited connectivity. The app syncs the worker's schedule and appointment data while the device is online, and any changes sync automatically when connectivity is restored.

After completing the visit, Connor updates the Visit, records his findings, and submits the required information. The Visit and its related scheduling records remain synchronized throughout the process.

Laura's licensing interview is complete, her home inspection is finished, and all scheduling information stays connected in Salesforce from beginning to end.

Compare On-Site and Field Scheduling Capabilities

Laura's journey highlights the core scheduling experience, but Workforce Scheduling also includes capabilities that are designed for specific types of work.

On-Site Scheduling

On-site scheduling focuses on coordinating appointments at a fixed location, such as a government office or service center.

In addition to standard appointment scheduling, organizations can configure capabilities such as:

  • Group appointments, which allow multiple constituents to attend the same scheduled session, such as an orientation or training event.
  • Multi-resource scheduling reserves all the resources needed for a single appointment. For example, when Cosville schedules an in-office licensing interview, Workforce Scheduling can schedule both a licensing specialist and a meeting room, ensuring everything is available at the scheduled time. Organizations can also schedule appointments that require multiple staff members when needed.

Field Scheduling

Field scheduling focuses on assigning work that takes place away from the office.

During scheduling, Workforce Scheduling evaluates field-specific scheduling logic and optimization objectives—including worker skills, travel time, service territories, operating hours, and priorities—to recommend the best available arrival windows and worker assignments.

When schedules change after appointments have already been assigned, Resource Schedule Optimization (RSO) can automatically rebalance work across the field workforce, helping organizations adapt to changing priorities and worker availability.

Shared Scheduling Capabilities

Some Workforce Scheduling capabilities are available for both on-site and field work, including:

  • Self-service and guest scheduling
  • Agent-assisted scheduling
  • Appointment rescheduling and cancellations
  • Dispatcher management through the Operations Console

Whether appointments happen in an office or in the field, Workforce Scheduling uses the same scheduling platform to keep appointments, resources, and workers synchronized throughout the appointment lifecycle.
