Our organisation works in the Health space and as such we have a legal obligation to keep records on file for 10 years. On the other side of the coin we also have to comply with Privacy legislation that allows clients to 'be forgotten'.  

 

What solution do you know of / recommend for archiving, that would allow us to get records away from end users but still accessible to selected users for legal purposes? 

 

Do you have a preference for a native solution, or a separate one? 

And do these solutions generally integrate with back-up functionality or would you keep that separate?

     Hi Irene, 

     

    The two rules don't really clash. You keep the records the law says you must keep, and you strip out the personal details you are not required to keep. The record stays for legal purposes. The person is no longer findable by name. Your privacy officer can confirm where that line sits for you. 

     

    Once that policy is written down, the tool choice gets easier. Three levels, from least to most effort: 

    1. Stay inside Salesforce as it is. Flag old records as archived and use sharing rules so only a few people can see them. No new tools. Plenty of nonprofits stop here.
    2. Big Objects. Old records move into Salesforce's low cost storage, out of the daily view but still in the system. Needs a developer to build it, and reporting on that data is limited.
    3. Salesforce Archive. This is Salesforce's own paid add-on. You set the retention rules, it moves the records on a schedule, only people you choose can see them, and it handles "forget me" requests and legal holds. Nothing to build. Pricing comes from your account team, and nonprofit pricing is worth asking about. AppExchange apps like DataArchiva do the same job if you want to compare.

    Before choosing, check two numbers: how much storage you are using, and how many records would actually qualify for archive today. If both are small, option 1 will carry you for years. 

     

    Backups are a different job. A backup gets data back after a mistake. An archive keeps data out of sight for a long time. Salesforce sells them as two separate products too.

Cannot verify step complete, trailhead says step not complete, 

 

An unexpected error occurred while inserting Opportunity records and we couldn't check your work. Make sure Opportunity records can be inserted in this org, and click "Check Challenge" again. If this continues, contact the Trailhead Help team.  

 

I've tried everything i've found online to fix this, to include the field dependencies having all reasons selected for close won and close lost, as well as deselecting the required values checkbox for the close reason field in the opportunity object, 

 

I am not sure what to do at all,

    @Max Siwik Under set up || Object Manager.. Then go to Accounts, Opportunity and Contact Object. Then navigate to Validation Rules and kindly turn off any validation rules that is active and not needed as per challenge

I am 30 years old and have a lot of potential to learn, but I am brand new to Salesforce. My father in law highly recommended I come here to find my path.

I find excitement in new challenges, and hope to find a job that with the right training, I can be capable of excelling and expanding off of my ability to organize and prioritize.

As I grow older, I have learned that I love to create, I love art, music, and especially love learning how to do new things. I don’t know if this helps, but I hope it does.

i have signed up into a new trailorg ( developer org ) from beow link to practice pardot but i a not able to find account engaement, can anyoe help me in this journey.

    Good news - that Pardot Developer Edition org does include Account Engagement, it just has to be switched on first. Steps: 

    1. Gear icon (top right) > Marketing Setup, then set yourself as a Business Unit admin (assign your user to the Pardot Business Unit). 

    2. In Marketing Setup, under 'Go Beyond the Basics', find 'Turn on Pardot Lightning App in Salesforce' and enable it. 

    3. Then open the App Launcher (waffle icon, top-left) and search 'Pardot' (a.k.a. Account Engagement / B2B Marketing Automation) - it will be there. 

     

    If it still does not show, confirm your user has the Pardot/Account Engagement permission set assigned.

I'm struggling with the completion. Is there a missed configuration step. For me, the 'Ask ***' is visible and takes questions. No response if given.

    Hi , 

     

    Check whether Einstein Setup is enabled. 

     

    Go to Setup → Einstein Setup. 

    Verify that the Generative AI-related settings are turned on.

I am completing the “Protect Your Data in Salesforce” project, specifically the “Create Sharing Rules” step.

I created the VPs Public Group with these four roles:

  •  VP of Services 
  •  VP, International Sales 
  •  VP, Marketing 
  •  VP, North American Sales 

The group Label is “VPs”, Group Name is “VPs”, and “Grant Access Using Hierarchies” is enabled. The four roles are also correctly created under CEO in the role hierarchy.

However, when I verify the challenge, Trailhead still says: “We can't find members in the VPs Group. Make sure you've included all the VPs in the list.”

I have verified that the required roles are selected in the VPs group. Could you please help me resolve the challenge verification issue?

    @Deepak Sharma Of course I checked. It's Roles. The group name, user license is all as given in the module. It's not sorted yet.
