In Lightning, I want a note created by user 1 (internal user) on a record to be automatically visible  to user 2 (internal users) &  user 3 (external user) who has same level of record access as user 1.  How is this achievable ?   Note: I don't want to use Share button on note creation to share this note with another user.

@* Sales Cloud - Getting Started * I am running Lightning, but have the same issue in classic.  I have created a report for Notes.  It gives me last activity.  The problem is that when I run the report, only the notes I have added or are shared with me is available in the report even though I am looking at all files.  I am an administrator so I should be able to see all notes.  The same is true when I go to the files tab, I can only see my files or files shared with me.   My Profile as a System Admin has the access Modify All is active on all Standard and Custom Object.  One solution I am told is to have everyone share the notes with me or a group but I do not believe that is a practical solution.  Any help is greatly appreciated.

    We are running into this issue of not able to report on Notes unless it is directly shared with me. Is there a way as an admin, I can run a report of all the notes related to the Account object? Or is there any appexchange tool to help with this?

Recently many users are experiencing an error when trying to add a Note under a contact record.  The error being received is the following.  I'm unsure why this is happening, but can someone please provide some insight into resolving this.  I appreciate it!

@* Sales Cloud - Getting Started * We are using Lightning.  We have noticed when using the new notes when you are entering text and the autosave kicks in there can be a delay in several seconds for what you are typing to be displayed on the screen.  This causes problems in that it slows down users because they think there is a problem with the text not being displayed.  Has anyone else seen this problem?  Are there settings that can be changed for the Autosave times?

    we are having a similar issue when using IE11. The auto save feature is too quick to save and then the cursor is moved from the notes area to another place on the screen.

Notes Related List behaviour...

 

With Summer '17 release pending, I have noticed curious behaviour with Notes & related-list in the LEX UI (Dev Org Spring'17). I found the following known error - apparently "fixed" for Spring '17. 

 

Lightning: Notes related list intermittently fails to refresh after new Note is created and Note may not be immediately visible in user interface.

When logged in a Std User, saving test notes, and waiting a period of time, the Notes only appear in the Notes (tab) object, not on the related object records. Then later, when logged in as ADMIN, the Notes Object didn't show a any Notes records.

 

Is this behaviour going to be improved in Summer '17 ?

    - thanks for your feedback. The "new" Notes and Files enablement is a bit confusing at first. Although I recall changes were afoot, I have better context now after some research. I found the following article quite helpful to work through:

Best way to transition from notes and attachments to files, is there a tool to transfer all attachments to files?

    Thanks everyone. We are just looking at making the transition to lightning and this was one of the many hold backs. I'll for sure look at your project @Doug Ayers and see if that works for us!

Some questions on attachments and files for activities/emails.

 

In Classic, when you have an attachment on an activity, it displays in the Notes & Attachments section of the related records. E.g. there's a task with an attachment related to an Account, the attachment displays in the account's attachments related list. 

However, even if you display the Attachments related list in LEX, those attachments don't display. So users in one of our customers are confused/frustrated "it was there before, where is it now?"

 

Also, say you're including an attachment in an email synced through Salesforce for Outlook (a number of our clients aren't ready for LFO and need to use SFO) - that attachment displays as an attachment in the related list on the Task record in LEX, but not on the related record (opportunity, account, etc).

Another customer is frustrated because it's really important that the attachments are shown at the opportunity level (e.g. contract documents) but they're lost in the task record in LEX.

 

For these orgs and others we've tested in, the "Files uploaded to the Attachments related list on records are uploaded as Salesforce Files, not as attachments" setting is turned on https://releasenotes.docs.salesforce.com/en-us/spring16/release-notes/rn_files_notes_attachments_list.htm, but files aren't being created 

 

We don't want to have attachments turned on in only one place and files elsewhere, and we want the documents attached to activities to show up on related records. Does anyone know of any suggestions of how to fix this / known issues / ideas / roadmap / anything else that could help? Thanks in advance!

    Great conversation indeed, as this is an area that generates confusion.

    With Salesforce for Outlook (SFO), Outlook email attachments are saved in Salesforce on the Task as an attachment. The fact the attachment shows up on the task's account, is due to logic implemented by the Account object itself called activity attachment roll-up. That's not actually something SFO, or tasks, or attachments control.

    With Lightning for Outlook (LFO), Outlook email attachments are saved in Salesforce as a CRM Content File. That's because Files give you a lot more capabilities, such as searching content, following, can be shared with many objects etc.

If we implement the new notes feature (Summer 16) - can OLD NOTES be converted easily to new notes?

 

(We are planning on implementing Platform Encryption.)  Would these Platform Encryption bullets affect the answer on best method (or feasibility) to convert?

I enabled the new Notes feature and find that every created note on a record results in a Chatter post on that record stating that the user created a new note (I guess because it is now a "File").  Any suggestions on how to turn off that automated Chatter post when simply adding a note?  I confirmed that I don't have the "All Related Objects" box checked on the Feed Tracking page for the object.  This is in Classic.  Thanks.  @* Salesforce Administrators *

    Notes posting to Chatter is incredibly annoying and noisy. So little of the new notes is customizable and I am very disappointed.
