Nonprofit Cloud Case Management

This is a public group to discuss Nonprofit Cloud Case Management.

Hello! I'm tracking down info on the Last Service Date field. It's a roll up that's recalculated nightly with an Apex Job. There is a Last Service Date field on Contact, Program Engagement, Service and Service Session.

Our Last Service Dates are totally inconsistent. Sometimes the Program Engagement field will be correct, but missing on Contact. Sometimes missing on both.

I've gone through the steps on this Help Doc. (Except the fields aren't on a Page Layout). I've ensured the Scheduled Apex Job and the Feature Gate settings are correct.

I saw one post where someone thought it was tied to an Attendance Status = Present, but that doesn't seem to be the case, testing on two records.

What might be reasons for the the inconsistencies? Thanks!

I'm a few years late to this conversation, but this post kept coming up as I was trying to troubleshoot a very similar problem. I had a number of Program Enrollments that had Service Deliveries but no 'Last Service Date' even though most of the Program Enrollments in the org had a 'Last Service Date'. It turns out that you need to have a Quantity value entered on the Service Delivery for the 'Last Service Date' to calculate. Hope this answer helps someone else searching the same issue!

🎉 🎉 🎉 Announcing the new NPC Certification Exam 🎉 🎉 🎉

Hi everyone! I am so excited to announce the launch of the brand new Salesforce Certified Nonprofit Cloud Consultant (NPC) exam, which tests on the NPC product built into the core of Salesforce. This exam was created in partnership with a diverse team of subject matter experts and stakeholders from across the nonprofit community, and we couldn’t be happier with the final result!

The new exam is going to live alongside the *existing* certification exam, which tests on the nonprofit managed packages. Please read the FAQ documentation closely, as it explains our rationale for having two exams, and highlights future name changes to come.

Thank you to all of the community members who participated in designing and authoring this exam. Our goal is to support you and to ensure your success with NPC. We truly could not have created this exam without you, and we hope this certification serves you well. 🫶

The agency for which i volunteer captures extensive background information about program participants as a part of their onboarding and intake process. This information is stored in custom fields in the Contact object.

The founder wants the entire intake process captured in a single screen, so I have added several Update Record actions to the Intake layout.  Because of past challenges with staff not capturing all of the information, she also wants the entry of all of the information to be mandatory.  I have made all fields in each action required, but it is possible to save the intake without the actions being updated in saved.

Any ideas on how to accomplish this (requiring all actions to be completed and saved before the Intake record can be saved) would be MUCH appreciated.

Thanks!

    Hello Kevin,

It seems like even though you've marked all fields in each Update Record action as required, users can still save the intake without actually updating those actions — which is super frustrating. The problem is, Salesforce doesn’t treat those update actions as part of the save process unless the user actually clicks and updates them. One solid fix is to ditch multiple update actions and instead create a Screen Flow that includes all the fields you need on one screen (or a few screens), with all of them marked as required. That way, the user can't move forward or save until everything’s filled in. Another way is to set up validation rules on the Contact object to block saving if any of the required fields are blank — sort of a last line of defense. Combining both approaches works best for making sure nothing slips through the cracks.

Summer Release Docs for Nonprofit Cloud ARE LIVE!

An update from @Aaron Svoboda

Here are the highlights from the release notes:

  • Fundraising: Create and manage philanthropic research data, including prospect profiles, wealth assessments, and milestone summaries, all in one place. Increase speed and efficiency when entering single or batch gifts using the new Gift Entry Grid. Simplify the management of complex gift planning processes using new Gift Planning objects.
  • Program and Case Management: Track the referrals originating from within your organization from one program to another to better understand the resources you're providing to your clients. Log benefit disbursements directly from the participant record to save time and make it easier to track the benefits that were delivered. Easily track all services and goods by creating off-schedule and ad hoc benefits disbursements in bulk.
  • Grantmaking: Automate the creation and scheduling of funding award requirements and disbursements to reduce manual effort and errors. Generate progress reports from predefined templates to save time and improve consistency.
  • Volunteer Management: Reduce the time and effort required to manage volunteer programs and improve the volunteer experience by using the Volunteer Management data model. Use the data model to manage volunteer initiatives, track volunteer hours, and report on volunteer metrics. Volunteer Management in Experience Cloud users can create a volunteer management portal to share volunteer opportunities with constituents and give ‌volunteers the opportunity to browse, search, and register for volunteer opportunities.

Hi In an upgrade the Client Notes functionality on the Contact record was updated.  Unfortunately I cannot see this.  Is there something you have to activate or enable to be able to see this?

This is the section I am talking about.

View Client Note History

To easily review important information about clients with less clicks and less time, it's important to have their Client Note history all in one place. View this information on the Contact record.

  1. On a client's Contact record, click the Client Notes tab. You can filter the list as follows:
    • To show notes from a specific time period, enter a Start Date and an End Date.
    • To reorder the list, change the Display order.
    • To show notes for specific Program Engagements, Record Types or creators, click Filter, then select the appropriate items. The available filters depend on the data. For example, if all of the notes are created by the same person, the Created by filter doesn't display.
  2. To hide details for all Notes, click Hide Details. To hide details for a specific note, click the minus symbol on the note. Hiding details is useful for Case Managers who want to quickly scan through the contents of each note.
  3. To create a new Note, click New Note.

I don't see the following configuration steps in the CMM Documentation. You need to edit the Contact Lightning Page as follows: add a tab on the Contact page, name it "Client Notes History", and drag the Client Notes History (Custom) component onto the tab.

The usage is documented in the "View Client Note History" section of CMM Manage Clients. Hope this helps!!

UPDATED NONPROFIT CLOUD DOCUMENTATION!

Sharing an update from @Aaron Svoboda

 --

Thanks to a ton of collaboration between CX, product, support, and adoption teams, we’ve made some major improvements to the Nonprofit Cloud (NPC) documentation.

  • Check out the new What’s Included in Nonprofit Cloud topic! This is far more informative and helpful in understanding what makes up NPC.
  • Behold the new setup docs! We’ve redesigned these docs to be simpler, more digestible, easier to navigate, and to embrace our reuse model. This duplication reduction should also help with Agentforce and making sure that our users trust that the steps are accurate and up to date!
  • Editions and permissions tables everywhere! Our topics have been missing these tables and now they are where they need to be!
  • ICYMI a few days ago, check out the updated Nonprofit Cloud Migration and Implementation Guides. The new Implementation Guide is now linked from H&T.

Thank you to all who reviewed docs and provided very valuable feedback. We’re not done! CX will keep working with PMs, support, and adoption teams to iterate and keep making things better! “Good enough” is never good enough ;)

Have a happy day!

-- Thanks to Aaron and the documentation team who created/updated ALL these great resources for you, check it out!

I'm simply trying to assign this Action Plan Template to a program. The target object in the template is set to Program, and the template is published but I keep getting this error. I have checked all my permissions and CRE settings and everything should be working just fine. I made a few other tests targeting different objects and have still gotten the same errors. Really not sure what else could be going wrong here.

Unable to assign Action Plan Template

Hello, everyone!

In what scenarios should a user associate a Case Program to a Case object in Salesforce? Should this association typically occur manually during a specific stage of the case lifecycle, or should it be incorporated as part of an automation process, such as flows or triggers? What best practices should be followed to ensure it aligns with the purpose of the program?

Thank you!

What would be the cause of the Action Plan Templates tab missing from nonprofit case man? I checked that the user profiles have permissions on the Action Plan Template Object, the Tab is marked as Default on and it shows up in the App Manager. The user is assigned the permission set license. However, the tab does not display. I believe this is a standard object. I can see case_man objects are being shown (like the Action Plan Template Groups) but that's not helpful w/o the Action Plan Template. I opened a case on this, but just wondering if anyone else had run into this issue. Many thanks!
