Thanks to everyone who joined the Nonprofit Ask Me Anything on Weds, June 21!

This was AMA #1 of 2 this week!

Special thanks again to our amazing hosts @Dar Veverka @Rob OBrien and @Tracey Morris

A recap of the questions and responses shared:

QUESTION: How do you track earned revenue in Salesforce?  My CEO wants to track fundraising and earned revenue towards the tier annual goal.

  • Using a campaign for the annual fund; have about 10 child campaigns for events (internal and external). Are you tracking against any kind of KPI dashboard?
  • Usually would track fundraising with campaigns
  • Wants to see donations + the goal, needs an opportunity
  • Can you get an import or export from finance, take a look at your workflow
  • Could set up NPSP data imports and this could go right in so you aren’t feeling like you’re doing double entry
  • Campaign hierarchy will roll this up for you, if these are not in the same hierarchy you might need new functionality

QUESTION: My questions is related to Soft Credits and the related list on the account level. I created a custom field in the OCR object and created a flow to update it if there is a partial soft credit. Just want to validate if adding custom fields and flows will be a valid route or if there is any other way to do so.

  • Are you using account soft credits related to NPSP? Yes
  • If your automation is working in the soft credit, maybe don't touch it!
  • Just make sure your flow scope is narrow, don't have it fire every time an account record is updated. This should be true for any automation
  • If you’ve found a way to do something and it works, enjoy it!

QUESTION:  Best tools to use to keep dupes to a minimum. Using matching rules but would love some input. Have lots of data backlog.

  • Apsona has a duplicate and matching tool (at a reasonable price); there are some competitors: demand tools by validity - the biggest difference, Apsona's process is iterative (manual process driven by the user starting strict then getting wider) vs DemandTools is automated (can run it at night) and price points are different, you should look at both.
  • De-dupe seminar coming up by Apsona, keep an eye out!
  • Would love Apsona, but not as the decision maker, what to use in the meantime?
  • Cloudy is another option, can be cheaper than demand tools
  • Other tips: have you identified other sources or is it technical debt? It's technical debt... transferred from sheets to raisers edge to ngoc, been collecting data since early thousands
  • Could be spending time de-duping data that no longer is valuable to the org
  • Data governance committee could be helpful here
  • Comment from the chat: I've been using Omatic Cloud for importing/integration. Have been helpful to avoid the creation of duplicates. For the duplicates already in Salesforce we use Apsona for identification and clean up
  • ALSO: data retention policy, cut off for all data, so it auto
  • Tracy uses dupe catcher, its free, it catches accounts, contacts and leads and it gives you an alert and then you can dedupe them when it happens, its simple to use
  • General Data Gov stuff including some policy templates, etc- covers from a general view, not just SF: https://drive.google.com/drive/folders/1ICvGOqpTghvNoZ4RpHGNv9cZb_2fO55d?usp=sharing

QUESTION: We are migrating from Sales Cloud to NPSP are there workbooks I could download to use to transform the data before importing to NPSP?

QUESTION: About archiving data… if I archive contacts and accounts, will the info go from the opportunity? They want the historical data, but what would you suggest here?

  • You have to mass re-parent, if you archive it would take the parent with them, you’d have to identify a holding account to re-parent them, and the same with any other child or dependency after that.

QUESTION: Twofold question that kind of ties into each other: I've been asked to set up team and individual metrics dashboards as well as a moves management system that includes creating donor segmentation (both for philanthropy interests and giving levels). I would love any tips or tricks you have to move this project from "frantically searching the knowledgebase for ideas" to "actually implementing."
