Hi, we recently identified two challenges related to email attachments sent from Salesforce and would like to understand how others are handling similar situations.

 

     When an employee sends an email to a customer with an attachment, the file is also automatically uploaded to our Experience Cloud site. However, attachments larger than 35 MB are processed through Content Delivery, which generates a

public link to the file. This creates a security concern, as anyone with access to the link can potentially view and download the document.

 

     We also face email delivery issues with large attachments. Many email providers, including Outlook, enforce attachment size limits of around 25 MB. As a result, emails containing attachments between 25 MB and 35 MB may

fail to be delivered to the recipient, even though they appear to have been sent successfully from Salesforce. In many cases, employees are unaware that the customer never received the email.

 

How do you manage large file sharing with customers while maintaining security and ensuring reliable delivery?

  • Do you use alternative file-sharing solutions?
  • How do you prevent users from sending attachments that may exceed recipient limits?
  • Do you have mechanisms to notify users when an email fails due to attachment size?

We'd be interested to hear about your best practices and any Salesforce-native or third-party solutions you've implemented.

    @Vincent Laplanche This is a common challenge for businesses working with large files, especially when those files need to be shared through a public-facing Experience Cloud site. 

     

    One approach is to offload the files to a system built specifically for document storage and security. Instead of storing and delivering the files through Salesforce, you can keep them in SharePoint while Salesforce continues to manage the customer and business data. 

     

    Customers can log in to Experience Cloud and access the appropriate SharePoint files through secure links and controlled permissions. These links can be locked down, so only the required permissions are given to those who need it, instead of the public links you are experiencing currently. 

     

    sFiles connects Salesforce and SharePoint for exactly this type of use case. It supports file uploads, links, and access directly within Experience Cloud, so the files remain available to both your internal Salesforce users and external customers without being stored in Salesforce. 

     

    An additional benefit is reduced Salesforce file-storage usage, which can become very expensive when large files are uploaded regularly.

I am trying to change the default order of the attachment folders when sending an email from a case.  

Another solution would be to add a screen telling users which folder to use

I have a record triggered flow on create. When a constituent fills out a form on our site, it creates a web form record. When the record is created the form itself is dumped as a pdf into files. Additionally, contacts and other objects are created and then an email goes out to specific users. The hope was to be able to attach the form that is linked to the web form record.

 

When I debug I see the Get ContentDocumentLink found records AND i see that the ContentDocumentLink is picked up within the action yet for some reason when the email is delivered there is no attachment. I browsed through the documentation and I am not sure I fall under any of the troubleshooting.

 

I thought maybe my job's Spam filter dropped the attachment so I tried other emails, like gmail, still no attachment? any ideas??

    @Raquel Riemer - I had a very similar issue recently bringing in attachments from Formstack and associating with a SendBetterEmail... for me it was about timing.  The submission of the form and the creation of the attachments were a few seconds apart... just enough to not be there yet when the flow was triggered.  I had to build in a 1 minute delay to get the attachments and send the email.  Hope this helps!!

I am working a case where my user cannot attach a Pdf file when replying an email. This is the error the user is getting:  "We can't send this file because Content Deliveries isn't enabled either for you or for your Salesforce organization. Ask your administrator to enable Content Deliveries if you need to send files."

The "solutions" that I have tried but with no results are the followings:

  • Salesforce CRM Content is enable in my Org.
  • I checked “Autoassign feature licenses to existing and new users” in Salesforce CRM Content but still got the error.
  • My users have access to Libraries.
  • My users have all access to the Document Object. 

 

  • My user uses Salesforce Lightning (User does not have access to Classic and we do not want to give access only for this matter)
  • I tried to send the actual file with my user (Administrator) and was able to attach it.
  • I tried to send a different file (a Pdf test file that I created) and I was able to attach it with the user account, but when I tried to attach the file that she needs to send I got the same error.

The file that the user needs to send is 19M, in our setup we got this option enable:

Email Attachments > “Include as attachment up to 3 MB or as links if more.”

 

Therefore, I tried to Enable 'Create Public Links' from: https://help.salesforce.com/s/articleView?id=000317480&type=1

I searched within the System permission but did not find the one for “'Create Public Link”.

There is a note in that support page that says:

If the content permission is not available, make sure that you have “Autoassign feature licenses to existing and new users” and Salesforce CRM Content enabled first. If it still does not show up, then you may need to Create a Support Case to request Support to enable the Content Delivery setup on your organization. For more information, review Enable ‘Content Deliveries’.

I had checked the “Autoassign feature licenses to existing and new users”, and still couldn’t find the “Create Public Links”.

 

I am running out of ideas to solve this and we do not want to request the Enable Content Delivery to SFDC support because we understand that it can be solved in another way since with Admin User I was able to attach and send the file. 

 

Could someone kindly suggest any other solution that I haven't tried? Thank you!

    Hi Manish and @Divya Vudem, we ended up requesting Salesforce Support to enable Content Deliveries and then, the user was able to attached large and several small files.

     

    I hope you can solve your respective problems!

Lightning For Outlook: User is able to attach an email, from Lightning For Outlook panel, on an Account but user cannot attach the email on another Account.

Considering that user has read/write sharing on both Accounts, which could be the issue?

What could prevent to attach an email on Account activity even if user have got read write access?

Hi all,

my customer (Salesforce Platform user license) is complaining that they cannot see the message "Attachment uploaded successfully" when they upload an attachment.

How can I check this issue?

Hello everyone,

 

I need your suggestions. I am quite stuck. I am building a flow and trying to move attachment from the Email Message Object to my Custom Object using ContentDocument Link object. Actually, when I log any email from my Outlook to Salesforce's Custom Object. The logged email is saved as Email Message on that Object's record and the email attachment is saved on Email Message. I want that attachment to be saved on the Object's record. Let me know if you have any suggestion to make.

Does anyone know of any tools to help migrate word docs (with logos, headers/footers) into Salesforce Knowledge? Also is there an option to send an article in cases like an email attachment/pdf vs as a link?

I want to attach FILE to email attachment using apex, but after sending mail that related file attachment get corrupted , what is the actual problem? following is my code--
