How can I ensure that each sales rep only sees their own email addresses when sending emails from Salesforce? (Einstein Activity Capture is enabled and gets used)

 

The customer has multiple sales reps, and each sales rep uses several email addresses. The goal is for each rep to only see their own "FROM" email addresses when composing an email in Salesforce records. 

Initially, I added all email addresses as organization-wide email addresses, but that made all email addresses visible to all sales reps and is also not best practice. I also tried restricting access to specific profiles and using permission sets to grant access to certain users, but that didn’t work either. 

 

How can I implement this correctly?

    @Nadine Coccia You can control access to the Org-Wide Email Address through profiles and permission sets. 

     

    Assuming all of your sales reps in mention share the same profile, you will want to control access through permission sets. All the org wide email addresses should have the value "User Selection" for Purpose, and then only select System admin in the profile list. You can create a new permission set in setup > create new permission set for org wide email > Organization-Wide Email Address Access > and add the relevant email

     

    If all of their profiles are different you can add their profiles to the Org-Wide Email Address in Setup > Organization-Wide Addresses > Select your relevant address > Edit > Purpose should be set to "User Selection" > Toggle on the "Allow Only Selected Profiles to Use the From Address" > Then select the profile
