Accounting Subledger

The Accounting Subledger is a Salesforce.org product that prepares information that accounting and finance needs most, ensuring consistent revenue, payment, and other data across all of your activities.

Hey, guys! I wanted to ask if someone could recommend an app to integrate Salesforce and Quickbooks Online. We have someone create deposit batches in sf with each opportunity (donation) as a separate record. We'd like these separate records go into Quickbooks Online. Is there an app you'd recommend? Would Subledger do the job?

    I’ve worked on a similar donations setup where each Opportunity needed to land in QuickBooks Online as its own transaction. Subledger can work depending on how tightly you want accounting logic embedded in Salesforce, but it’s worth mapping out first whether you need just a push of financial records or full accounting behavior. 

     

    In our case, we kept Salesforce focused on fundraising data and used Skyvia to sync Opportunities into QBO as the appropriate financial objects. That gave finance clean transactions in QuickBooks without overcomplicating the Salesforce side.

Can anyone share best practices of importing an ASL report from Salesforce into Quickbooks? It has been recommended to me that we use Import Excel | Google Sheets | CSV - Business Importer to assist in getting the CSV file imported. I believe part of the issue is mapping the custom fields created in Salesforce over to Quickbook Online and having them be recognized to complete the import.

 

Does anyone have experience using this app? Or has anyone found a better way to get spreadsheet with the custom fields imported into Quickbooks?

    I’ve dealt with this when moving Salesforce reports with custom fields into QuickBooks Online, and the main challenge was always how QuickBooks handles custom fields on import. What worked better for me than generic CSV importers was using an integration layer like Skyvia, where you can explicitly map Salesforce custom fields to the right QuickBooks objects.

For revenue being recognized up front (before payments are made) it seems ASL requires "Ledger Entry Creation Active" to be checked in order to generate Allocation ledger entries.

When the out-of-box Accounting Set (Default) is enabled, this checkbox is automated, and gets checked automatically when the gift moves to a "Committed" stage (as configured in Stage to State mappings).

However this automation does not happen when a custom Accounting Set is enabled - even if it's an exact replica of the Default set. I'll move the Opportunity to a committed stage, but no check appears in "Ledger Entry Creation Active" and no ledger entries get created.

I'm not sure why this is, but for the moment I'm thinking of using a flow to check that box automatically based on stage, so we can get ledger entries out. Any downsides to this? Is there any explanation behind why this behaves as expected for the Default accounting set, but not for nearly identical custom ones?

    Hi Trevor, 

     

    I recommend you set it to active once you expect to receive the revenue, and then leave it set.  If you later lose the opportunity, etc. you would check written off rather than unchecking this checkbox.  If you uncheck the checkbox, it would just not generate additional ledger entries.

I'm working on setting up accounting subledger for a NPSP client. Everything seems to be working fine, except for it will not let me update the posting status.

I've checked the permission sets, created a new accounting subledger permission set, and given myself full access to read, edit, and delete the Ledger object. I also did enable edit permission to the Posting status field. I've checked the custom settings and everything else I could find over it but it is still giving an error of "You encountered some errors when trying to save this record

You are not allowed to insert, update, or delete Ledger Entry records." Any ideas what I could be missing?

For some reason ASL is not creating any Ledger Entries for Opportunities in a Stage mapped to a Committed State. Transaction and Payment type Ledger Entries are being created as expected for Opportunities in a Finalized Stage, but for an Opportunity with a Stage of Pledged, mapped to a State of Committed, no Ledger Entries are created at all when the batch is run, even though there is a related GAU Allocation and scheduled Payment on that Opportunity. I would expect to see a transaction and allocation type Ledger Entry created for this Opportunity.

Any idea why Committed State Opportunities are not creating any ledger entries? All Opp RT's are enabled for ledger entry creation, and the ASL date range filter includes the Opp create date.

Recently it has been brought to my attention that all but one of the custom fields we wanted to be present in a ledger entry record do not have any values filled in. I understand I need to add Field Mapping logic but, when I tried this in a test environment for one checkbox custom field, ledger records were created for all payments when this custom field was ever checked. I would like to avoid this. If I use mapping behavior point-in-time instead of current value, will I avoid creating ledger records for anytime a relevant value was in place and have it simply work for new ledger entry records?

    Hi Melanie,  yes  pit mapping ensures that ledger records are only created when the checkbox has a relevant value at the time a ledger entry is created. This way, you wont end up with extra ledger records for every time the checkbox is checked, and it will only apply to new or updated entries.

We are using the legacy Accounting Subledger product in NPSP. The settings include a daily scheduled job (2am) and Accounting Review. The generated ledger entries are passed daily through an integration to our Lawson financial database following the NPSP job completion. 

 

Our users need to merge contacts in NPSP but are challenged by unwanted ledger entry creation, usually as a result of the donorID field changing. The extra ledger entry records are confusing for the finance team which has already seen the initial records come through. We have struggled to find a way to prevent these from being created or to automatically mark them in some way that is specific. The ledger entry records appear to be locked down from editing unless one manually inactivates the abacus.LEDG_PreventModification_TDTM trigger.

 

Does anyone have advice for managing the record merge scenario in your org where the legacy subledger tool is in play?

    Thanks for that insight, @Samuel De Rycke. I added my vote.  I'm very curious how other teams have found ways to "safely" merge records without affecting the ledger entry creation.

Hi all!

I just met with our VP of Accounting to discuss enabling pledges in NPSP. I've already read a bunch about pros and cons of using Opportunity pledges vs. recurring donations-although one question I have is whether the new enhanced recurring donation feature still works for pledges (we use Legacy and this would be another reason to remain on Legacy). Aside from the above, my question is about Accounting totals. Our VP wanted to know how non-profits calculate adjusted totals/rates like:

 

Pledge Total

Discounted Rate/Total

Doubtful Rate/Total

 

These are accounting terms, I know, so I'm wondering if anyone has solved for this in SF/NPSP or if they've handled this in their own Accounting platform/application?
