Hello trailblazers!

As new users of Einstein Activity Capture we want calendar events from gmail to be automatically added not only to the activity timeline of related account and contact, but also on opportunity. Seems like EAC can't do it automatically anymore, because Only Show Events that are Salesforce Records setting is on by default. https://help.salesforce.com/s/articleView?id=release-notes.rn_sales_productivity_eac_event_consistency.htm&release=234&type=5 

Are there any other ways to do it?

    Yes, You're correct that Einstein Activity Capture (EAC) no longer automatically adds events from Gmail to Opportunities when the "Only Show Events that are Salesforce Records" setting is enabled. This setting limits EAC from capturing events that are not directly related to Salesforce records.

    However, there are a few alternatives you can explore to achieve the desired functionality of automatically syncing Gmail calendar events to the Opportunity's activity timeline:

     

    1. Enable Manual Association via Salesforce Inbox

    Salesforce Inbox allows users to manually associate events with specific records, including Opportunities. This would require your users to link the Gmail calendar event to the Opportunity manually when they create the event in Gmail.

    • Salesforce Inbox Features: Users can manually add events to multiple Salesforce records (e.g., Account, Contact, and Opportunity) using the Salesforce Inbox panel available in their Gmail inbox.

    Steps to Enable:

    • Enable Salesforce Inbox for your users.
    • Educate users to associate the events with opportunities during event creation.

    This approach provides more flexibility but depends on user action to link the events.

     

    2. Custom Solution Using Salesforce Flow or Apex

    You can create a custom automation using Salesforce Flow or Apex to automatically associate calendar events with Opportunities based on related Account or Contact records.

    Approach:

    • When EAC syncs a Gmail event to an Account or Contact in Salesforce, you could use a Flow or Apex Trigger to check if there are related open Opportunities for that Contact or Account.
    • If a related Opportunity exists, the automation could link the event to the Opportunity's activity timeline.

    This requires custom development but provides a fully automated solution for your use case.

     

    3. Third-Party Integration Tools

    If you need a more robust integration solution, consider using third-party tools such as Zapier or Workato that allow deeper integrations between Google Calendar and Salesforce.

    For Example:

    • Use Zapier to create a Zap that automatically pushes new Google Calendar events to Salesforce, linking them to the correct Opportunity based on email or other criteria.
    • You can set conditions to match the event participants with Salesforce Contacts, and if those contacts have open Opportunities, associate the event accordingly.

    4. Salesforce Event Sync (Classic Sync)

    While Einstein Activity Capture is the latest tool for syncing events, Salesforce Event Sync (Classic) allows more granular control over which events are synced with Salesforce. You can still use this older method to achieve the desired sync, but note that it may lack some features of EAC, like insights and analytics.
