SFS Data Capture Open Beta

Used to capture feedback and get help for SFS Data Capture during the Open Beta

During our current FLS Mobile rollout, we have built many FLS Mobile screenflows that we are calling a number of different ways, including Deep Linking with formula fields, Global Actions, Record Actions, etc. They have saved us from going full LWC on a number of different requirements.

Now Data Capture forms has arrived, but I can't understand where it fits in? Unless I am missing something, the form has to be either manually added to each work order, or you need to create a flow to add it to all or a subset of work orders... what's the point? If we have to built a flow anways, wouldn't it be easier just to go with a screen flow?

Does anyone have specific examples where they found it made sense to do a Data Capture Form over a Flow? Thanks

@Bruce Stewart - Data Capture still has many of the same limitations as when I originally posted. The improvement is you can at least call the DCF from an Action now, but from the forms tab, you can't commit the changes without losing the form entry. Auto Capture only stores the record locally (on the device) until committed, so users cannot iterate over the form the way the would with a traditional Flow or LWC. We have used Voice to Form and it works fine, but the limitations of DCF are still there. Employee Agent will be Voice-to-Vocie soon, so that's the direction we are headed, full control over the logic. Thanks!

Hi,

I need help : I would like to test the Data Capture Flow feature.I have FSL Mobile licences, they use Android phones (OS version 11) and my FSL app version is 254.2.27. The apps is up to date and I've updated the connected app in Salesforce

setup.To

setup this feature, I follow all the recommended steps:

- I've setup Lightning Data Service for FSL : I defined & assigned "Lightning SDK for FSL" Permission for my test user (his profile is also System Administrator so all the Form junction object fields are visible and editable by default),

=> cf

https://help.salesforce.com/s/articleView?id=service.mfs_lightning_data_service.htm&type=5

- I've setup Form junction object to my Work Order & Service Appointment Layouts (its are assigned to my test user's profile)

=> cf.

https://help.salesforce.com/s/articleView?id=service.mfs_data_capture_setup.htm&type=5

- I built a simple Data Capture Test Flow with one screen and no visibility condition (see screenshots below) that I activated ; I

- I created a Form record linked to my active Data Capture Test Flow,

- I restarted the FSL application with my test user's (I cleaned up the caches and resynchronised the datas)Result: I see Form Tab with my Form record in my FSL apps but when I launch the form by clicking the "start" button my flow doesn't work : a warning message is display "The page isn't available. Your Salesforce admin can help with that."Have you ever encountered this problem?

Is it related to my flow input variables (recordId, parentRecordId, parentObjectType) or is it related to a general setting that I've forgotten?

I'll be very grateful if you could help me! :-)

Thank you very much!

Hi all,

I'd like to use the Repeater element in a screen of a Data Capture Flow.

The flow designer allows me to add it to the screen, relate to a record collection variable for prepopulated items, include desired fields, etc.

The issue comes when I try to save the flow. At that point, and not before, I'm getting the following error message:

Automation Errors

  • You can't use a data source to pre-populate the Repeater component. Remove the data source connection and try again.

I've followed the same steps in a Screen Flow and it saves properly, and while debugging works as expected.

Is there any extra consideration I might have missed to use a Repeater in a Data Capture Flow type?

Kind regards,

Hi All,

Can someone help me understand how I can get the field techs to be able to view a form after it is completed, sometimes they need to update it, or just want to review. but once the form is complete, it can't be opened again. Is this something I am doing?

thanks

@Nicole Ervin With the Winter ‘26 release, you’ll be able to launch a Data Capture Flow directly from a Quick Action on a Service Appointment or Work Order (or WOLI). This means the “Take Pictures” feature can be permanently available in the actions pull-up bar, rather than being tied to a Work Step.

On that note, you can currently reopen the Data Capture Flow from a Work Step, even if it’s already checked off — though our field crew often gets confused, thinking they can’t because it’s marked as “completed.”

The only place where reopening or reviewing a completed form isn’t possible is under the Forms tab — which is quite inconvenient, as we’d like the ability to review or even edit a form after it’s been submitted.

Hi All,

I have a requirement to add the geolocation tag from images the techs take.

I have followed the notes to create a geolocation field on the content document object and have access to this field, it does not seem to be populating.

I did update my location settings on the app to work while open and in the background.

Am I missing a step?

thanks

What is the best way to ensure every time my "power study" work type is added to a work order the form "power study" is always applied.

Can i use a flow trigger to add this?

Would be great if on the work type record you can stipulate which forms should be attached.

thanks

    You can (sort of).

    0. You have designed a data capture flow called "Survey 1"

    1. Add a custom text field on WorkType (E.g. "Survey flow name") to hold the name of the Data Capture Flow that fits the work type

    2. Edit the Power Study work type and add "Survey 1" in the new custom field

    3. Create a flow that triggers on create and update of WorkOrder (when work type is set/changed) and set these values on a new "Form" record: (not that i just used the subject field on WorkType in this example)

You can (sort of). 0. You have designed a data capture flow called

Note: it might make sense to add further flow control to ensure surveys that were started cannot be replaced - or to prevent changing record type once the order is in progress.

Hi all,

I'm currently testing the new Data Capture feature in the Salesforce Field Service Mobile App, specifically the upcoming Summer '25 enhancement that allows launching a Data Capture flow directly from a Work Step.

According to the Summer 25 release note:

"Launch Data Capture forms directly from work steps to streamline your work plans… After you create your Data Capture flow, go to the work step from which you want to launch your Data Capture form. Select a flow from the dropdown list on the Action Definition field… The form auto-saves, and the status of the work step is updated automatically."

My setup:

  • I have configured a Work Step with a valid and active Data Capture Flow.
  • The flow is correctly referenced via the Action Definition field on the Work Step.
  • I’m using the iOS Beta version 256.0.2 (Build #25602) of the Field Service Mobile App (via TestFlight).
  • Our Sandbox is Preview on Summer 25
  • I can launch the data capture flow from the "forms" tab without problems

Issue:

 When I attempt to

complete the Work Step

, I receive the following error:

"Only field service mobile flow type is supported in the mobile app. Contact your Salesforce admin."

Has anyone in the community managed to get this working yet? Or any insights from your end @Kunal Borde would be greatly appreciated as I cannot find any documentation about this online yet.

Thanks heaps!

Launching Data Capture Flow from Work Step in Field Service Mobile (iOS, Beta 256.0.2) - Summer 25 not working?

@Kara Carreri The issue stemmed from a newly introduced standard field on the Work Step object—'Process Type' —which had no Field Level Security configured by default. As a result, no profiles (not even Administrators) had visibility into the field.

Once we made the field visible for the relevant profiles and updated to Field Service Mobile App v256, data capture forms could be launched from a Work Step.

Unfortunately, this change wasn’t documented in the release notes or official help articles, which made the troubleshooting more difficult than necessary.

Hi,

I would like my tech to add the product they have used for the survey.

I have created a text field for them to add the name of the product, then i create a second screen and used a picklist record collection to show all products that contain the value of the product text field.

This works in normal flow but as this is different design I can't get it to work.

Is this even possible? thanks

Hi,

I have created a form and when finished they select next and then this screen shows, can we remove this or force it to go back to the form tab, unsure what the point of this screen, it is annoying and means more clicks to get back to the main page.

thanks

The plan is this screen will be removed in the 258 build, so fall of 2025.

I've added the Forms related list to work order and service appointment page layout.

Why do I get the error  - Missing permissions,  Ask your Salesforce admin for help, when trying to access the Forms tab of the work order on the field service mobile app?
