Most of our donations are sent through the mail. The are scanned and deposited by the bank, and they send us the scans. We look at the scans and enter each gift (batch item) individually. We have been using Apsona for batch entry. It's a completely manual process and terribly time consuming. 

 

I have been exploring ways to automate the process. BofA first said they could send the data directly into SF, but then backpedaled. Apparently, since it's not an accounting software, they can't connect to it. The bank can send us a spreadsheet with all the data, so we can upload it into a batch. Apsona said that we could upload the batch items and review and commit manually. Then they said we couldn't. 

 

This morning I got a message from Apsona saying that batch items could not be imported in bulk. I am so disappointed. 

 

I am searching for another solution. As our org grows, manual batch entry will become untenable. Do you have a better way to handle mailed donations?  

 

We are currently using NPSP, but are planning to migrate to NPC in FY27, so a future solution is also worth consdiering.... thanks for your help!

    I would reccomend an integration with an FTP site using Mulesoft or similar. Your bank can send files directly to this FTP and the integration would then transform, match and load them into Salesforce, with little to no user interaction.  

     

    If you are worried about duplicates and matching, Findock Guided matching can be added as an extra layer to the integration load.

#NPSP #Batch Gift Entries 

Hi, I was wondering if this was a feature or a bug. It's important for my organization to record the Donor Cover Amount for donations. I would like to include the Payment field npsp__Donor_Cover_Amount__c  in our gift entry templates, but I can't seem to get it to show up as an available option. I can confirm that there is a corresponding field on the NPSP Data Import Object with an advanced mapping to the Payment field (in fact, this is all there by default).

 

I say that this might just be a feature because I've noticed that none of the other "elevate" field mappings are available in templates, and I believe the Donor Cover Amount field was added to NPSP along with all of those. Thank you for any insight or advice with this!

I have a Donation Record. 

There is a Child to the Donation called Tribute.

There is a Child to the Tribute called Acknowledgee.

 

I created all my fields for the NPSP Data Import Object, and in NPSP Settings, mapped my Tribute Object as a child to Donation.

 

****It's not letting me add my new Acknowledgee Object Group, though.  It's not offering me the Tribute Object Group to select. (I did scroll - nothing below Recurring Donation.) 

 

Please don't tell me I can't map a child to a child......

    Just kidding... you can handle the truth. ;-) You can't map a child to a child.

    "You can connect additional objects that are directly related to Contacts, Accounts, or Opportunities."

     

    You'll need to solve for this in another way, such as with Flow provided you account for what happens in larger batches if that's an issue.

Can anyone think of why Gift Entry will import a new donation and then create a duplicate when it processes the batch?

 

I've turned on tracking history to see if I can identify cause because manually matched records are creating duplicates as well. This one was a brand new donation so has me even more confused! There are 95 duplicates in the latest batch I need to fix :(

    Hi @Judi Sohn, no it is creating a second opportunity, sorry I wasn't clear I've updated subject.

     

    The import record is showing it created donation one on line three, then another on line one. I would have expected it only to create one (see the original value is replaced with a new value of the second opportunity). I think it may be related to the matching rules, but not sure how...

Notice says Batch gift entry will be expiring July 13.  Documentation for Configuring Batch gift entry says "if gift entry doesn't allow contact matching rules on a per batch basis, we recommend continuing to use batch gift entry". Is it expiring or not expiring? Can we continue to use it?

We have a batch of 72 items that isn't processing. It gives no error, just doesn't do it.

 

Smaller batches are processing ok.

 

Anyone else seen anything similar? I'm going to log a support case as well.

Is anybody using a scanning solution that has a Salesforce integration to scan checks + donation forms with scanlines and then create opportunities or batch gift entries?
