#Foundations Community Group #Outbound Funds Module

Hiya friends! I have a

Proud Moment

to share:

Outbound Funds Module has been such a great centerpiece for my org's grantmaking operations. There was just one annoyance for our team... Disbursements weren't being created with consistency and when they were (because we will give out sometimes 90 grants in a cycle) there were too many clicks to get them setup.

Well, I've recently added a whole bunch of new fields required for Funding Program setup. Included are defaults for grant periods, reimbursement requirements, reporting requirements, etc. Among those are disbursement schedules - some are one-time, but others are monthly or quarterly.  When Requests reach the awarded status, FLOW automations kickoff overnight and create the appropriate number of Disbursement records set to 'Pending' for the correct date in the future. Plus, a new lightning page now houses some dashboards and a screen flow to pull those eligible Disbursements (by Program or Organization), mark them as 'paid' and exported into a csv with GL codes for our Finance system to injest and spit out payments.

So much efficiency.

So satisfying.

Just wanted to share.

One of my sandboxes updated to the Spring '25 release and the ICU Locale Format update that was enforced failed and I received an email, subject "Sandbox: ATTENTION: Sandbox Enablement Failure", and first line of the body containing "Your sandbox org .... was not enabled on the ICU locale formats as notified due to the API version below 45 used in the org ". One of the packages that had an API version issue was Outbound Funds (Core). On investigating I found the Apex class "disbursementsCreateController" and it's test class had API versions less than 45. Is there an update to the Outbound Funds (Core) package which fixes the API version issue? If not, when will one be available?

When we approve 60 grants with the same disbursements and funding requirements is there a way to create it once and allocate it to all approved recipients? The time and repetitive nature of doing this individually means a grants manager has to create two requirements plus Three disbursements for each approved grant for a total of 5 X 60 redundant tasks. #SFDOSprintIdea  For all of those who were looking for linking Funding programs with the GAU, we're going to be continuing our discussion around this linkage from the last Sprint in Denver, while in Portland and hoping ot make some progress.

At Denver, we had stalled on a few scenarios to help get these two items connected.

  1. Utilize GAU Expenditures from the package with additional changes (like record type or other considerations)
  2. Utilize a new custom object
  3. Add additional lookup field to the existing GAU Allocation object in the NPSP (this would require some customization by Salesforce.org to allow for better extensibility).

We're hoping to build on this conversation from Denver and get some resolution so we can see this in the package soon!

Ways that you can help, if you have some scenarios or experience and will be at the Sprint, we'd love to have you join our table for a few minutes, or for the whole sprint.  However as we know many people won't be able to attend the Sprint, we'd love to have your feedback here.

Please share any use cases or other relevant information on this thread, and the team at the Sprint will be monitoring the discussion here.

We have started to use outbound funds, and I noticed that the funding request is a lookup relationship to the funding program, thus not allowing for rollup summary fields.

It would be super helpful to be able to rollup information like: total amount of funding requests received, total amount dispersed, total amount rejected.

I know that I can do this in a report, but having this as a quick "on the fly" view would be super useful...

Hello Outbound Funds people!

We are getting our foundation up and running with Outbound Funds after several months of configuration and learning. My next frontier is to connect our application process, currently using Google Forms, with Salesforce.

I've read up on Form Assembly, and it seems like a good solution for most of our use cases. But it's pretty expensive, too. I have a few questions and I thought this group might have good insights.

  1. Does anyone use "Leads" to collect incoming inquiries so that you can only "convert" the ones you're interested in pursuing? That seems like a logical way to handle initial applications, but I am not seeing any reference of that on this board when I search. If anyone out there does use Leads as an intermediary between inquiries and funding requests, I'd love to hear how you set it up.
  2. Our application form collects a lot more information than the Funding Request currently holds. I saw the GitHub article recommending an "application" object with a lookup relationship to Funding Request - is that how most people have this set up?
  3. We have a "contact us" form on our website through Squarespace, and it seems like we could use Zapier to insert that data into Salesforce in lieu of using Form Assembly. Zapier also seems to work with Google Forms. Does anyone use Zapier to integrate their application process with their Outbound funds? If so, does that work out ok?

Thanks so much!

Sheri

@Sheri Gurock  We have several clients who use Leads as Inquiries and convert ones that make it through to a full proposal. It seems to work well because of the built in Lead to Opportunity conversion. That said, since you are using Outbound Funds you wouldn't be able to take advantage of that. As Shari points out, there are several different ways to handle this but it really depends on what your organizational needs/wants are.

As for external form tool options, you may also want to check out the Demo Jam that was just done that showcased Form Stack, Form Assembly, and FormTitan.

If it helps, nearly all of our clients utilize an external form tool and none of them use Zapier as the form tool does everything that is needed.

As we are getting ready for the Virtual Community Sprint this week (Wednesday, Oct 20 and Thursday, Oct 21), I wanted to send out one last invitation to the members of this community group to join us - Register Here and learn more about sprints in the @Open Source Commons & Community Sprints Group.

We are going to spend time gathering ideas about where we want to head next as a community group. We'd love to have any and all of you join us and share what you've learned about OFM and what would help your organization. Even if you can only attend the first day where we will be brainstorming - that would be great! We want as many voices as possible!

We are using outbound funds to keep track of the funds we spend for grants so we can then pull reports for monthly reimbursements based on what we spend each month. We use the awarded amount and disbursements to show what charges have cleared our bank account so we can properly charge them for reimbursement to our granters.

Recently we've had credits given back to us for hotel spending that we need to record for our granters. How do I record a negative amount in the awarded amount field & disbursements so when I pull a report for this month it subtracts that credit and shows it on the report?

I want to be able to see the date of most recent grant awarded and the amount (stored in Outbound Funds) while I'm in the NPSP Account view. Is this possible?

@Sheri Gurock wow, that would be awesome to get those DLRS recipe's from you. The new DLRS Community team is actually participating in our Sprint next week as well! @Caroline Renard is leading an effort to collect recipes, documents, instructions, etc. from the community and create a "cookbook". I'm sure she'd love to see what you've got! 🙂
