Program Management Module for workshops and trainings

Hello, I work for a non profit that has many workshops and trainings. Does anyone have experience setting up the Program Management Module for trainings? Also we use Google Forms, so information about a "Zap" between Google Forms and Salesforce would be helpful.

    Hi Shay, on the Google Forms half of your question: you may not need 

    a Zap for it. 

     

    Disclosure: TwinStack, we built the free app below. 

     

    Zapier works fine, but for a straight Google Forms to Salesforce 

    connection you are paying a per-task subscription for something that 

    can go directly. A native AppExchange app posts the submission from 

    the form into your org with nothing in between.

    For your workshops and trainings use case specifically, the pattern 

    that works is: capture the registration as a Form Response record, 

    then a record-triggered Flow matches or creates the Contact and 

    creates the Program Engagement against the right Program. That keeps 

    the Program Management module as the source of truth and means the 

    original registration is still there if you need it for reporting. 

     

    One caveat: if your wider workflow spans several apps beyond Google 

    Forms and Salesforce, Zapier is genuinely doing work that a 

    single-purpose app does not. Worth knowing which situation you are in 

    before choosing.

User Role required now?

Has anyone else come across the issue where the user role is now required? My org doesn't really use them except in specific circumstances for our Development officers (my previous org didn't use them at all so I know I'm not alone in this). I noticed in August when I was reactivating a user with a standard license and was forced to pick something. It did the same thing when I created a new user (also with a standard license) as well. It defaults to the first choice on the list if you have any roles created, and I can't select none.  

 

I asked SF Support when I couldn't find any documentation on it. They thought it might have been a setting I turned on, but were surprised when they opened their own demo org and saw that it was required for them too. They told me this morning that they were asking some higher ups about it. 

 

I've attached screenshots of my account where you can see that when my account was created, a role was not selected but if I were to edit it, it defaults to the first choice on the list and is required.

    I've run into a similar issue. We also do not utilize roles. I had a non-sys admin who was responsible for creating new user records, and he had permissions via the manage internal users permission. I forget when it started, one day he could no longer save new records. He could still edit existing ones. I am pretty sure it is also related to roles. He did not have the 'not specified' option that I see as an admin.  Nothing we tried restored his ability to create new user records, but we did not bother calling Salesforce for it, maybe we should have?  I created a screen flow that he now uses to create new user records.

How do you visually track total giving for donors who give through both their household and their own business(es)?

Hi everyone, 

 

I've posted on the Impact Exchange hoping to get some assistance with this, but I also wanted to ask the community to get more eyes on my problem. I am to the point of overthinking this problem to the point that I can't make a decision to move forward. Essentially I am having trouble figuring out how to accurately report on major donors who give through multiple entities — their household plus one or more personal businesses/LLCs — in NPSP. I'm trying to get an accurate combined giving for the primary contact without breaking lapsed-donor reporting or requiring a lot of manual upkeep. Curious what's worked for others (Account Hierarchy, Contact-level rollups, something else). I am having trouble make soft credit work for my needs. 

 

 

 

Here is the description of my Impact Exchange project for more context:  

neverthirst is a nonprofit running on Salesforce NPSP (Household Account model), with a growing base of major donors who give through multiple entities — their personal household account plus one or more owned businesses (LLCs, foundations, etc.), sometimes four or five per person. We need to reliably report each donor's total giving across every entity they touch, for major-donor stewardship, lapsed-donor tracking, and Top-Donor reporting — without a donor falsely showing as "lapsed" just because they gave through a different business account than last year. 

 

I've prototyped two approaches and want an outside expert to pressure-test the direction and help us build it out properly: (1) NPSP Account Hierarchy, with businesses as child accounts under a household parent, rolled up via custom fields — functional, but dependent on manually maintaining the hierarchy every time a donor's business gives for the first time, and it breaks down when two people co-own the same business and both need full credit. (2) A Primary Contact + soft/hard credit model using NPSP's native rollup fields — less manual maintenance, but a bigger restructuring effort. 

 

Looking for someone with hands-on NPSP experience specifically with multi-entity/household+business donor attribution, who can help us pick (or improve) an architecture, build the supporting rollups and reports, and leave us with documentation our (small, non-technical) team can maintain going forward. Comfortable with an iterative, hands-on engagement rather than a one-time consult — this needs someone in the weeds with us.

    This is one of those Salesforce puzzles that can become complicated surprisingly quickly. I think the Account Hierarchy approach offers a cleaner long-term structure, although it does require some maintenance. A custom rollup field could then help show giving across related child accounts. Having a simple process for linking new businesses when they appear should keep the data tidy.

Pro Bono support for nonprofits

Hi everyone! After spending over 3 decades in higher education - including 8 years in the Salesforce ecosystem - I've created my own nonprofit called CAUSE: Center for Agency, Understanding, and Student Exploration. We support high school and postsecondary students through self-discovery and interest exploration leading them to meaningful careers through peer to peer community support and offer experiential learning opportunities. I know the importance of having a solid, scalable technology foundation, especially with the right data architecture, but as a startup I am still pursuing funding opportunities. I'm wondering if there are pro bono resources available to nonprofits to support some MVP development of Nonprofit Cloud (or possibly Education Cloud) and other products? Or, even aside from tech development, other types of resources which provide general planning and management support for nonprofits? I see a lot of options out there for accelerators, investments, etc. for tech startups, but not a lot for nonprofits. Thanks for any guidance, advice, resources, etc. anyone here is willing to provide!

    Congrats on launching CAUSE! Your focus on helping students connect self-discovery with meaningful career paths sounds like a great fit for a strong nonprofit tech foundation. Look into Salesforce’s nonprofit programs and pro bono/volunteer networks, as there are often people willing to help with initial architecture, configuration, and MVP planning. Also check local nonprofit associations, university networks, and capacity-building organizations since they can sometimes provide support beyond technology. Such support includes strategic planning, fundraising, governance, and operations. On the data side, tools like the Nonprofit Check Plus API and Charity API can also help automate organization verification when you're building workflows that involve partners, funders, or other nonprofits. For a startup nonprofit, getting the data model and core processes right early can save a lot of headaches as the organization grows.

Enhancing Girls' Education: FoGALA Optimizing Salesforce to Increase Fundraising and Efficiency

FoGALA is the board for GALA, the only all-girls STEM school in California. We aim to streamline our use of Salesforce to enhance our efficiency with donors, volunteers, and events. To achieve this, we need volunteers experienced with Salesforce.

 

Our current challenge is fragmented data: some is in Salesforce, while other data is scattered across multiple Google Sheets in various drives. This lack of consolidated information hinders our ability to assess the performance of leads for grants and events.

    FoGALA's challenge with fragmented data between Salesforce and external sources is a classic nonprofit problem. I think the starting point is a centralised data strategy that creates one reliable source of truth. Salesforce's data import tools could help bring external spreadsheets into a more unified system, while clear data governance rules would reduce future fragmentation. A phased approach may be the sensible route, starting with donor data before moving on to volunteers and events. That gives the team time to build confidence while gradually creating a more complete picture for better fundraising decisions.

    The key questions for a Salesforce Consultant interview focused on nonprofit practice would probably centre on the sector's specific challenges. Expect topics such as donor relationships, grant tracking, programme impact measurement, and reporting requirements. They may also ask about your experience with the Nonprofit Success Pack and data migration from spreadsheets into Salesforce. Another likely area is staff training, particularly when people are resistant to new technology. I would also prepare for scenario-based questions involving fragmented data across multiple systems and how you would bring some order to the situation.

Archiving functionality

Our organisation works in the Health space and as such we have a legal obligation to keep records on file for 10 years. On the other side of the coin we also have to comply with Privacy legislation that allows clients to 'be forgotten'.  

 

What solution do you know of / recommend for archiving, that would allow us to get records away from end users but still accessible to selected users for legal purposes? 

 

Do you have a preference for a native solution, or a separate one? 

And do these solutions generally integrate with back-up functionality or would you keep that separate?

    Hi @Irene Buijvoets 

     

    Big Objects could be a good option for long-term archival, particularly for large volumes of historical data. Scheduled/Batch Apex can be used to move eligible records based on the retention policy, while access can be restricted to selected users.  

     

    For the privacy requirement, I would recommend defining the retention/deletion policy first—legally required records should be retained as required, while data that no longer needs to be retained can be anonymized or deleted.

We enabled Person Accounts, loaded contacts, no one can see them!

Hi all, I need Sys Admin help in a big way. I enabled "Person Accounts". We are a small overseas NGO that doesn't use accounts, and this seemed the best way to not have to deal with accounts anymore. 

 

Then I loaded up all the org's contacts under my login, launched the app, and no one can see any contacts. They can only see "My Contacts" (namely zero contacts), since I guess the contacts are all "mine".  Users (even other SysAdmins) don't even have the option of "All Contacts" in their List Views, the little arrow on the tab does not contain "All", only "My", and any List View has the filter of "My Contacts" hard-coded and this cannot be removed. 

 

I have fiddled with Sharing Settings, I set accounts to "Public Read/Write", and Contacts to "Controlled by Parent", so far no matter what I do, no one can see any of the contacts I loaded, not even other Sys Admins. I can't believe this, why is this so hard?  Please help!

    I found it.  Paid a consultant on fiverr who spotted it immediately, it was this "Intelligence View" thing to the upper right of the list views, which was the default.  Switched that to List View, and now all the contacts are visible.  It had nothing to do with permissions, person accounts, profiles, anything like that.  Wow!  Now to disable/disappear this not-so-Intelligent View button..
