Tableau

I would like to display managerial comments for each chart in a Tableau dashboard.

Currently, I am considering the following approach:

  • Create an Excel template for comment entry.
  • The template would contain fields corresponding to each chart in the dashboard (e.g., Chart A, Chart B, Chart C, etc.).
  • Managers would enter their comments into the Excel file.
  • Tableau would use the Excel file as a data source and create a worksheet dedicated to displaying comments.
  • The comment section would then be placed on the dashboard and shown/hidden as needed.

I would appreciate your advice on the following points:

  1. Can long-form comments entered in Excel be displayed in Tableau as-is?
  2. If a user inserts line breaks within an Excel cell, will those line breaks be preserved when displayed in Tableau?
  3. Can comments be displayed in a way that looks natural for a single chart, such as:
    • Multiple paragraphs
    • Bullet-point style comments
    • Several lines of narrative commentary
  4. Are there any practical character limits or display constraints in Tableau when showing long text?
  5. Is it more common to use an Excel (.xlsx) file directly as the data source, or would CSV be a better option for this use case?
  6. If CSV is recommended, are there any characters or formatting considerations (besides commas) that users should avoid when entering comments?
  7. Are there any recommended data structures or alternative approaches for implementing this type of comment management process?

If anyone has implemented a similar solution for management reporting or executive dashboards, I would greatly appreciate any recommendations, lessons learned, or best practices.

Thank you in advance for your help.

@Kasumi Kikugawa unfortunately you will be constrained / limited by an internal character limit in Tableau.  Depending on the data source it is 255 to 1024 characters maximum.  There may be a workaround to extend that using a solution from Interworks: https://interworks.com/blog/tmccullough/2013/12/20/displaying-long-text-fields-tableau-excel or changing the DB/SQL Server type to a larger value: https://furtherrandomthunks.wordpress.com/2012/12/13/tableau-and-the-1k-string-limiting-with-sql-server/

Another option might be in the Tableau Exchange Gallery, using a Write Back extension in the dashboard.  There are several, but you'll need to explore with each developer as to any constraints or limitations:

Those are probably your better options.
