At the moment, I have a team who goes through a deletion review process for cases that don’t need to be retained or don’t need any action taken on them (i.e. Out Of Office/automatic replies, spam, etc.). We took away the team’s ability to delete cases manually by themselves (removed the delete button on their page layouts) but added a “Deletion Review” checkbox if the case is deemed eligible to be deleted. Once that checkbox is selected, it’s routed to their manager for review and they’re then sent to me to mass delete.

 

 

 

The problem they’ve been having is when the checkbox is selected, the page layouts for the cases they’re under have required fields for a variety of things such as account name, contractor/subcontractor, etc. My question is how can I make this a more efficient process for them by not having the required fields required anymore based on the condition of the Deletion Review checkbox selected? Ultimately, how would I be able to create an option to where if they select the Deletion Review checkbox, then they aren’t required to complete the required fields on the page layouts? Is there a way?

    Update: We decided against creating an additional user (generic user) and went with assigning the deletion review cases to a Queue that was created specifically for the case deletion efforts.That way the manager overseeing the group can use that particular queue to track them. We are also going to create a case history report type that will detail the total amount of cases owned by that particular queue, as well as display previous case owner, new case owner and who it was edited by.
