Hello,

 

I am in the process of implementing Maps into our org so that we can have a specific subset of users check in when they are on location with a client within a 1 mile radius.

 

The functionality of the set up works really well, but I have some use case scenarios where how we need it to function for our end users is not very user friendly.  

 

Currently, we implemented where an event needs to exist in an account (the event page being where all the information for the Customer Account Managers are storing their information in reference to their visits).  When the go to the location, they need to go to the Maps app which is the only place we want them to check in for the sake of getting the coordinates and the arrival time correct. 

 

As they check in, a task is created that records the coordinates.  When the check in is complete, this fires a process builder that sends the coordinates to the current event and time and date stamps the arrival.

 

The issue is that they may need to go on a visit where the event was not created ahead of time, or they need to be able to edit the information in the event while on site.  This gets a little dicey as checking in only creates a new task without the process builder and we dont want them going in and out of multiple apps when they are trying to be efficient on their visit.

 

We are looking at the potential of creating a basic event in the maps app and using the functionality in the maps app to switch back and forth to SF mobile so they can edit the event by using the View Record button in the Maps app.  We have another process builder to then allow for a new event to be created based on a custom follow up date to allow a future meeting to be scheduled in advance without having to reenter all information.  This still seems clunky though.  I am going to provide my two use case scenarios.  Does anyone have any experience trying to do the same type of deployment and how were you able to make the process user friendly for the end users?

 

Scenario 1 -

CAM arrives at Account location

From mobile device, CAM creates a new activity on Account record and enters the following details (or information is captured automatically)...

Visit Details

Feedback

Rating

Image/Video/Audio

Long/Lat of location at time of form entry

date/time

schedules follow-up activity for date in the future

 

Scenario 2 - 

CAM is scheduled to visit an Account on a future date for a Spot Visit

Record of upcoming activity is visible in Salesforce

On day of meeting, CAM arrives at Account location

From mobile device, CAM opens existing activity, completes additional form details and closes existing activity

    The check in custom disposition will follow the field requirements that you have stipulated on the object field permissions. You can make adjustments to field permissions to allow users to fill out the form without required fields.

    The two options I provided previously are the recommended next steps. If you would like, you can connect with the Salesforce Maps Professional Services team and they can review options to create a Statement of Work to modify the Maps product.
