Outbound Funds Module (SFDO Product)

This is a public group to discuss the Outbound Funds Module. This is a foundational solution for foundations and nonprofits who disburse awards and grants to track their funding programs and requests, gain insight on financial commitments and manage disbursements. It is free and open source. This package is designed to work with all Salesforce instances and NPSP is not a requirement. Important note about Funding Requests as of July 2019: If you were an early adopter of the Outbound Funds package, the Funding Request object had a master-detail relationship with Funding Program when you installed it. However, various members of the community requested that this relationship be changed to a lookup to provide more flexibility. This change was made generally available with package version 1.15 as of 7/11/2019.

The next OFM Community Gathering is MONDAY (August 10)! RSVP here

Join us on Monday, August 10 at 2pm ET/11am PT. We will be doing a "demo jam" of applications. We will be sharing sample applications and talking about how to select the form tool that is right for your organization. RVSP HERE

We are hoping many of you will be willing to give a quick 2-5 minute peak at your application and why the tool you are using is working well for you. We already have a few people willing to show screenflows, FormAssembly and a survey tool - but the more the merrier! If you are willing share your app, please let me know in a comment, or just come the day of ready to raise you hand.

Hi! We're deepening our grantmaking operations & our integration with our financial system, and at the point where we want to add a grantee-facing unique identifier (a grant number) to our award letters. Our grantees can receive upwards of 10 grants a year from us, so our primary goal is to help them reconcile specific payments to specific awards.

I'm comfortable creating a new Auto Number field, but also considering using a formula in a Flow to use a different type of alphanumeric code as the identifier.

I'm curious to hear how other grantmakers have tackled this.

  • Do you love an auto-number, or have you created your own coding system?
  • Are there headaches your org went through that you wish you could have avoided?
  • Particularly interested in nuances like if amendments use the same grant number as the initial grant, or if your identifiers are grant level (Funding Request) or Disbursement level, for multi-Disbursement grants.

Oooo, grant numbers. My response is a bit more policy-based, so if you don't have a policy around this, then you can totally just make it up!

I've worked with orgs that have a very specific naming convention for grant numbers. Maybe it's a specific portfolio code and then a string of sequential numbers; or maybe it's just the organization's abbreviations and then a string. But emphasis on the "sequential" part.

When you shouldn't use auto-numbering: because they track very specific grants vs. applications, they won't use the auto-numbering because they might get 100 applications, and only 10 grants, but those 10 grants must be in immediate sequential order, so the autonumbering would cause confusion (e.g. 0001 = grant #1; 0002 to 0050 = applications but not grants; 0051 = grant #2 feels very disjointed to them).

Likewise - it sounds like you are using outbound funds - if so, every record already has an auto-number for the NAME, so you could just start using the numbers in the record name as the unique grant number, and then build a formula to distinguish by program if you need (like what Steve said - e.g. '{{somePrefix}}-'& right(name,4) ). That way you can start with what you have and run a pilot with your internal team at least, and see if they like it, or even a group of very well-known grantees and see if that works for them, or if they need something more consistent. Or if you don't care about the prefix, simply use the record name as the grant number, or the funding disbursement name as the disbursement id, etc.

For amendments, I've seen people also create an auto-numbered name that follows all of the other auto-name for records OR simply adding a formula that appends .1, .2, .3, etc. to the end of a grant number.

    Hope that helps!

Recently I had a need to move Funding Payments from one Funding Request record to another.

However I found this is not currently possible because the Funding Payments are part of Outbound Funds standard managed package. The setting that would normally allow records to be re-parented ("Allow Reparenting") is locked and cannot be enabled as part of this package.

Is there an option to modify/upgrade this part of the managed package in the future?

Thank you that is helpful - yes I meant Disbursement (we renamed to Funding Payment).

I shall submit the idea on the idea exchange - thank you!

The next gathering will be on August 10 - and we will be having an Application Demo jam! It will be a great opportunity to share a quick peak into why your application solution is the BEST - or at least works well for you. Let me know if you want to share!

    @Samantha Shain

Yes! We do still need people to share. I would love for you to share! (YAY!)

Generally people just do a walk through of their set up and answer questions, but feel free to prepare whatever makes sense to you. The session is an hour so you'd have 30+ minutes to share and then we can fill in the rest with discussion. We can chat in slack if you have questions or want me details! Thank you!!

Hi @Outbound Funds Module (SFDO Product) community.

I wanted to share a new resource available, we have started a YouTube Channel to share recordings of our recent meetings.  It's a brand new channel, but we have our Anniversary Meeting and the Due Diligence & Compliance demos on the channel.

Outbound Funds Community on YouTube

I also wanted to thank everyone who contributed to the conversation and the chat.  We really appreciated all the great comments and resources shared with the group.  I've collected a number of the items shared by fellow community members that were recommended to use for your own Due Diligence and Compliance processes:

Next OFM Meeting is in March, link to sign up is in the right-side information panel. If you've already signed up for this year's meeting series you don't need to sign up again.

I have not seen this done in expereince cloud before, but I don't see why that wouldn't be possible.  I've built a flow that leverages the ProPublica API and I know others that have used Candid's API to do US Tax ID verfication of nonprofits and to collect organization details like DBA names, tax exempt status, tax exempt org type, addresses, NTEE codes, etc..

So in theory you should be able to create a user facing screen flow that does this and make it avialble to the user in the portal to enter a tax ID, look up and present the org information it finds, then let the user confirm this is they org they are submitting for and then use that flow to find/match and to link the application to an account or create an account based on the IRS data or Candid profiles.  The only thing I'd be cautious of is linking the user to the organization just to prevent them from seeing or acessing information that they shouldn't see.
