Hello! I hope you're doing well
I've been trying to create a flow in SF to send emails for campaigns, but I'm having trouble with creating the flow (it's never been my strong suite in the world of SF lol)
Which type of flow would be best? I was using schedule-triggered but I'm stuck with how to format the actual steps.
This is the request:
Requirements:
- Send an automated email to certain donors that meet the criteria (in our case it is $25k prospects in our WealthEngine)
- The donors will get an automated email sent out each week until they reply back. Once they reply, the automation stops for that donor.
- The templates for this will be provided once the structure is built out and tested
- When a new donor is added to this list/meets the criteria, they get the automated email flow starting from the beginning
Example:
- 500 donors are added as prospects
- 500 emails are sent reaching out to speak to them (email 1)
- 10 people reply
- 490 emails are sent the following week to follow up (email 2)
- 50 people reply
- 440 emails are sent the following week to follow up (email 3)
- 10 people reply
- 20 donors are added as prospects
- These donors get sent email 1
- 430 emails are sent the following week to follow up (email 4)
Any guidance would be appreciated, thank you!

Hi Dua! Creating an email campaign flow in Salesforce for your requirements is definitely doable. Let's break it down into a few simple steps:
- Choose Flow Type: Stick with the Schedule-Triggered Flow. It's perfect for sending out weekly emails.
- Define the Criteria for Prospects: Your criteria are donors with $25k in prospects. Set up the flow to query records from the donor object or related object where the donation amount meets or exceeds $25k.
- Setup Email Sending Logic:
- First Email: Configure an action to send the first email to the donors who meet the criteria.
- Tracking Replies: You'll need a mechanism to track if a donor replies. This could be a field update on the donor record, which you can check before sending subsequent emails.
- Subsequent Emails: Schedule the flow to run weekly. Each time it runs, it should check if the donor has replied. If not, send the next follow-up email.
- Handling New Donors:
- Ensure the flow checks for new donors meeting the criteria every time it runs (i.e., weekly).
- New donors should enter the flow and receive the first email initially, then follow the same sequence as existing prospects.
- Email Templates: Prepare your email templates in Salesforce. Once your flow structure is set, you can use these templates for sending emails.
- Testing the Flow:
- Test with a small group of donors to ensure the flow works as expected.
- Pay special attention to tracking replies and stopping emails for donors who have responded.
- Deploy and Monitor: Once testing is successful, deploy the flow and monitor its performance. Make adjustments as needed based on real-world feedback.
Creating flows can be tricky at first, but once you get the hang of it, it's a powerful tool. If you need more detailed help or get stuck at any point, just give a shout! Happy to help further.
