Managing Your Pipeline Series - Dec 2017

Success Community for attendees of the Live Online series: Managing Your Pipeline in December 2017. NOTE: All materials and recordings will be posted a day after the final Live Online session on December 15! This Success Community Group will be active until the end of February 2018.

There were a few questions that came in today about how to manage renewals.

"The reason for the renewal question is that it was advised that a sales executive should not copy a prior opportunity and use it as a new opportunity. For many of us, we use this as a method of recording renewals."

Another comment: "Many of our renewals have no changes, except renewal dates and stages of the opportunity."

@Dan Glaser - what are the best practices for using Opportunities to capture renewals?

    Hey @Anthony Pergolotti

    - Great question! What I have seen work best in most cases is to create Add-On Opportunities to reflect contract modifications. This allows you to track the original deal, along with any additional or decreased business.

A few benefits, just off the top of my head:

    * Provides an accurate way to measure how often and how much your deals adjust from the original contract value.

    * Uses the standard Opportunity object for sales reporting and forecasts.

    * Allows for appropriate sales credit in the month the additional sale portion was completed

    * Simplifies reporting for adjusted deals-- removes that inevitable fuzzy gray area around "Well... is this additional? Or new?" (Especially critical if compensation is variable depending on which of those two is the correct answer!)

Thank you for joining us today for the final session in our "Live Online: Pipeline Management" series, focused on Activity Management in the Lightning Experience! We posted the link to the recording in the information section of this group, or you can access it here: https://sfdc.co/bKKOnM

Attached is the deck we used today that is rich with links to useful information and resources. We are happy to answer any other questions!

Cheers!

Question from the webinar: "We heard before that if we emailed out of Salesforce that those who have gmail accounts it would show up from @salesforce.com email."

A question came in today about best practices for naming/titling opportunities - @Dan Glaser, what have you seen that's worked well here?

One thing I'll add here is that you can use a Process or Workflow rule to help automate this (even by Record Type!) so that there is guaranteed consistency, regardless of user input on that field.

Another question from today's session: "Can you elaborate on the use and value of the Forecast Category field?"

The Forecast category is designed to be used alongside Salesforce Forecasting tool (https://sfdc.co/bdCAfk

). By default, each Forecast Category correlates to one or more stages.

However, the rep can set the Forecast Category separately from the stage. Essentially, this provides a way to add personal judgment to the likelihood of an opportunity closing beyond the sales stage.

Example 1: I may have an opportunity at an early stage as defined in our process, but maybe the decision maker has told me that we're his preferred option and it's ours to lose. In that case, I may choose to set this at "Commit," even though the default would show it as "Pipeline."

Example 2: I might have a late-stage Opportunity in "Negotiation," but the entire sale rests on a vote by the board of directors, and we don't know which way they will vote. In that case, I may choose to set the Forecast Category to "Best Case" rather than "Commit."

There were a couple of questions about resources available to help you transition to Lightning Experience. In addition to the many resources called out in each of our series' decks, here are some fantastic resources for getting started:

If you are a Premier or Premier+ customer, we'd love to follow up with you for a 1:1 after this series is complete to help you think through your transition. You might also find one or more of thes Accelerators (1:1 engagements) useful: http://www.salesforce.com/assets/pdf/cloud-services/accelerator-library.pdf

Today Dan presented the Opportunity Kanban view as a key feature in Lightning Experience that helps sales users easily manage their Opportunities. In order to take advantage of this feature, please note the following:

  1. You can’t view the Kanban for Recently Viewed list views.
  2. Filter your records to select a single record type or view a particular subset of your records. Records are separated based on record type.
  3. Quickly move a record to a different column by dragging the card.
  4. Yellow alert symbols help users know that they need to keep a deal on track, for example, create a task or event.

Here's a question that was posted in the GoToWebinar the Reports & Dashboards Session. It took a bit of looking so I am posting it here:

I would like to see your report for change data.   For example: my forecast went down by 15%, what changed?   Did deals move to win?   Did deals move to lost?  where values reduced on existing opptys?  (Answer coming in the comments!)
