I want to send an email to the customer 7 days before their asset expires, we use a custom field for the asset expiry date.

 

I have created a workflow that says '(Asset: Asset name equals X) and (Asset: Asset expiry equals next 7 days)

 

Do I set an immediate workflow action to fire the email alert or a time dependent one?  I was going to do time dependent, '7 days before Asset: Asset expiry', but will that clash with the fact that the rule will trigger on the same day?  As my rule fires 7 days before expiry, can I just have an immediate workflow action?

 

If I do a time dependent one, how do I test that it actually works?

    Hi Sara,

     

    You have to do the time dependent actions.

     

    7 days before asset expiry.

     

    evaluation criteria should be :

     

    created, and any time it’s edited to subsequently meet criteria

     

    you can monitor your timebased workflows by going to

     

    Setup - Monitoring - Time - Based Workflow.

     

    Please note that workflow will only work for records created after the workflow is activated.

     

    for existing records you can do a data refresh using the data loader to trigger the workflow rules
