Managing IT Changes

In an ideal world, IT systems would remain functional, secure, and error-free long after you implement them. In the real world, IT environments must evolve alongside your organization. Changes are necessary to maintain system stability, and to innovate and adapt systems to improve performance.

But these changes carry risk. Modifying any in-use system is a bit like changing a tire while the car is still moving. When not carefully coordinated, even small changes can lead to widespread service downtime, broken dependencies, or lost or corrupted data. Even worse, they can cause security vulnerabilities that threaten whole systems, or data compliance failures that result in liability.

That’s why most IT teams have processes in place to carefully measure the impact of each change and ensure that it doesn’t cause unforeseen issues. Unfortunately, the legacy tools and systems they rely on for managing changes often make it difficult to calculate risk, identify conflicts, coordinate fixes, and balance fast resolutions with platform stability.

Change Management provides a simplified approach to facilitate changes to IT systems. Rather than manual, rigid processes and ticketing systems, Change Request Management uses AI and automation to help identify risk and priority, route approvals, and organize necessary fixes. This way, your IT team can manage any type of change with efficiency and confidence.

Using a form, change managers and fulfillers create and classify a change request whenever a system modification is needed. The change request record connects to any related incidents, problems, and releases to provide a full view of important information about the change and dependencies. Each change also appears on a centralized IT Service Calendar to help IT teams schedule their work and avoid potential conflicts.

Automated Risk Assessment and Conflict Detection

For each change request, IT reps fill out a risk evaluation questionnaire to define the impact, complexity, and other details about the change.

Using this information, Agentforce then objectively calculates the involved risk and assigns a risk score to measure the severity of its impact on business operations. Risk score calculations are grounded in Business Rules Engine expression sets and decision tables, which you can customize to match your business processes.

Teams can monitor the IT Service Calendar to identify potential conflicts between changes and any scheduled business moratoriums or releases that may affect the timing of the resolution.

Intelligent Approval Workflows

To manage risk, every high-impact change must be approved before moving on to the implementation phase. With Advanced Approvals, you can automate and manage complex authorization workflows based on the risk and priority of the change request. Flow orchestrations trigger sequential or parallel approval paths that automatically notify stakeholders via email or Slack. Approvers can view a summary of the change and sign off on the request with a single click.

AI-Generated Knowledge
