I need to get my first Salesforce based year end appeal organized. I would like to know how others manage large segmented campaigns with varied criteria and specific exclusions. With past systems I had utility programs to define each group and create segments. In Salesforce could do this with a bunch of reports to create campaigns but that really seems like it is going to get confusing and unwieldy.

Our breakdown goes something like: corporate donors, major donors, donors, lapsed donors, engaged contacts, newsletter subscribers, and various exclusion lists like boards and committees, foundations, open opportunities.

Your thoughts and suggestions are greatly appreciated.

    We do reports based on all our constituents. Our goal is to have each contact only appear in one report. The logic to do this gets more and more complex over time as we desire to more and more microsegment. Our logic goes something like this right now:

    Donors TY

    Donors LYBNT

    Donors SYNLT (Lost for now)

    Not Donors but Prayer Team

    Not above but Volunteers

    Not above but Have Opened Newsletters in the Past

    Not above but Subscribers (Unengaged)

    New Subscribers [which actually creates overlap with some of the above so we have to go manually fix if there are any new subscribers are any of the previous categories]

    Each is a standard contact report with conditions on HH donation totals and dates and cross filters on membership in other master campaigns (teams, newsletters) and/or VR email history reports. We add it to a new specific campaign from each report using the "add to campaign button.". We send out using Vertical Response. The overall logics above was to go from "most sticky" to "least sticky" so we could risk giving more info to the more sticky crowd and focus on moving the less sticky contacts up in trust. This helps us avoid unsubscribes, disconnects, and getting marked as SPAM. We track responses back in SF using Vertical Response history. We're dying to upgrade to a native tool that would take care of this complex segmentation, send emails, and have follow-up logic, but that's not what we can afford yet. We've applied to be a grant recipient of what seems to be our dream tool:

    #PredictiveResponse. We do use their tool called #CampaignFlow to help maintain the master lists of newsletters and teams.
