I would like to have some advice/opinions on how best to go about using the bulk mail merge facility in the following scenario:

 

- As part of their daily function, staff in our organization would frequently like to create invitation letters to various meetings and events and send them (as a word/PDF) to several contacts they select from Salesforce. for reasons of protocol, they have to be documents (formal letters) and not emails.

 

- Selecting the appropriate contacts through SalesForce and running the bulk mail merge facility is easy enough, but each invitation letter created is different and I (as an administrator) don't want to be bound to having to upload a separate mail merge template each and every time a user wishes to perform a bulk mail merge for their specific event. 

 

How can our staff have access to mail merge in such a way that they can freely write specific invitation letter templates and merge them with Salesforce contact data - using the bulk mail merge facility?

    You should try looking at Conga Composer off appexchange. It has easier to use bulk word merge capabilities, though it costs. Try the 30day trial at least.
