Hi all! I am having some issues with sharing rules. In our Salesforce instance, we have records (contacts and cases) that we would like to be visible to a subset of our team, but all records. For example when the field "team" = X, this team should be able to see these records. I've tried the following: 

  • Contacts are set to private on org defaults, however accounts are public read/write 
  • Cases are set to private on org defaults
  • Both contacts and cases have CRUD permissions but not modify all or view all 
  • The team members have been assigned to a public group and role (I've tried assigning to public group, role, and role and subordinates 
  • I also do have role hierarchies set up, but this team is at the bottom of the hierarchy tree so I would not think it would have any impact on visibility into these records

However, even though this sharing rule has been set up, when I log in as one of these users they cannot see any of the records they are supposed to be seeing, almost like they still only have private access. If there any ideas on where I could be going wrong please let me know!

    • A contact that isn’t linked to an account is always private, regardless of your organization’s sharing model. Only the owner of the contact and administrators can view it. Sharing rules and workflow rules don’t apply to private contacts. If your organization uses divisions, private contacts always belong to the global division.
