We have this figured out and automated this when it comes to credit card transactions, but we aren't sure what we should do to automate our process when it comes to entering in checks or cash payments.
We have events where constituents can purchase a ticket. There is a charitable donation portion of the expense and a non-charitable purchase included in the single payment. What we have done is we've taken the Transaction record (iATS in our case) and linked it to two separate Opportunities with a GAU Allocation on each to allocate the charitable and the non-charitable amounts of the total individually. (We have a placeholder Account to store the non-charitable portions)
We can enter in a batch of checks and make two opportunities for each check as we go, but where we are stumped is how we would build in some automation to link the two opportunities together. We can do it manually, but we would of course prefer not to if we can help it. Again, they are intentionally on two different accounts because having them on the same account throws off the donation totals for the year.
Any ideas would be greatly appreciated! Thanks.
@Katherine West Hello and thank you for the response! My apologies for the slow reply here - We were in crunch time for our Gala! This was actually really helpful. :) What we ended up doing was we set up our donation page for the event. Upon form submission, we had it create a Transaction record (iATS) which we used as the pivot point between everything. We then had two opportunities created and linked to that transaction record.
One of them was a "ticket" donation which we automated to allocate the ticket purchase to its own GL Account. We had that opportunity live in a "Gala Placeholder 2022" Account. The other opportunity which had the charitable donation portion of the transaction went to the contact/account identified via the form submission. (Formstack)
This way the accounts total gifts calculated by NPSP settings isn't thrown off by the total purchase thus keeping our annual tax letter process clean and simple. We set up formulas on the Transaction record which separated the purchase vs the donation portions of the total calculated on the number of tickets and/or sponsorship/level. Otherwise, we used flow to automate everything from the form submission forward.
I can explain in more detail if would be helpful to anyone.
