We originally setup our SalesForce for allow all users to access all contacts (except for their Sales). Now, we need to setup securities around them, which would be much easier if every contact had 1 person that could "own" that profile.  With our model, we need to have multiple reps from different agencies have access to the same contact record.  We can't have 1 of those reps be the "owner", otherwise there will be some disgruntled agencies.

 

If we already have an external database (ERP) that defines which reps cover which contacts, how can we easily/automatically setup these relationships of ownership in SF?  I'm trying to no create a million sharing rules and hopefully use the database to automatically update this nightly (we use Informatica).  Thx!

        One thing that is very important when solutioning for contact access is the access requirements on the accounts.  Please reference this official document on contact sharing, it will give you some things to consider.

    Depending on your org and requirements, you could have all contacts be owned by a background user or sys admin.  Then open up access via standard sharing features.  

     

    Depending on your account access, you could leverage Territory Management within Salesforce to share accounts which would allow for a dynamic vehicle of sharing accounts(and contacts) with reps.
